Work with Copilot in Microsoft Teams
Learn some of the functionality of Copilot in Teams.
When to use
Use Copilot in Teams to draft messages, ask questions, get information, and take meeting notes.
Instructions
Copilot on the Menu
When we open Teams, we have a Copilot icon on the main navigation menu.
- Click Copilot.
We can see several suggested prompts. These provide a quick way of gathering information using a prompt template.
We also have a View prompts link that opens the Copilot Lab. Copilot Lab contains more suggested prompts.
- Select the Generate Ideas prompt.
- Type the prompt: 'Fun ideas for a themed Christmas party'.
- Click Generate.
- Copy and paste the generated text into an email or a Teams channel if required.
Copilot Chats
As we start to type prompts, they will be logged in the Copilot chat. This means we can reuse prompts we have used before.
Historic charts can be edited or deleted by clicking the three dots next to the prompt.
Copilot in Teams Channels
We also have access to help from Copilot in Teams channels.
- From the navigation menu, click Teams.
- Select a team and a channel.
- Click Start a post.
- Click the Copilot icon on the menu bar underneath the message box.
- Type the prompt: 'Can someone send over the sales spreadsheet for Q1. Boss man is asking for it'.
Check Messages
It's always a good idea to ask Copilot to check your message. In this case, the message is a little disrespectful to management.
- Click Rewrite.
- Copilot will generate a new version of the message.
- Click Adjust and choose Longer for the length and Enthusiastic for the tone.
- Click Replace.
- Post the message.
Copilot in Teams Meetings
We can use Copilot functionality within Teams meetings.
- From a Teams channel, click the Meeting button.
- Click Join now.
- Click the Copilot icon from the bar at the top.
- Click Start transcription.
A message will pop up reminding us that when we start a transcription, everything said in the meeting is recorded. This is an important part of Copilot's power. Copilot can answer questions and retrieve data because it uses the transcript as its source of information.

- Click View prompts to see more prompts.
We can ask Copilot to recap meetings, list action items, summarize information, generate meeting notes, and so much more.
Copilot in Whiteboard
The Whiteboard is a virtual canvas where teams gather to brainstorm ideas and be creative. We can use Copilot in the whiteboard.
- Click Share.
- Click Whiteboard.
- Click Copilot icon
- Choose Suggest.
- Type the prompt: 'Suggest ways to optimize my website for organic search using social media'.
- Click Generate
- Click Insert.
We can change the color of our sticky notes using the floating toolbar.
- Click the Copilot icon.
- Choose Categorize.
Our sticky notes will now be organized into categories.
Hints & tips
- We can save prompts we use often by clicking on the bookmark icon to move it to the Saved Prompts area.
- Always let people in a Teams meeting know if you are recording the transcription.
- 00:04 In this final section of the course, we're going to take a look at how Copilot works
- 00:09 in some of those other applications, primarily Teams, OneNote, and Loop.
- 00:14 And we're going to start out in this lesson by taking a look at Copilot within
- 00:18 Teams.
- 00:19 Teams is a very popular application and
- 00:22 Copilot has some really cool functionality.
- 00:25 Now, when you open up Teams, the first thing you'll see is in the top left,
- 00:29 we have a Copilot icon,
- 00:30 which is going to take you to the screen that you can see here.
- 00:33 And we have some suggested prompts.
- 00:35 So I could choose any of these and get Copilot to draft a response.
- 00:40 We also have the view prompts link at the bottom which will take us to our Copilot
- 00:45 lab when we have access to more prompts in there.
- 00:48 And don't forget if you do find a prompt that you like and
- 00:51 one that you think you're going to use often, you can save that prompt and
- 00:55 then access it through the saved prompts area at the top there.
- 00:59 Now I'm going to close down this Window, I am going to use one of these prompts, but
- 01:03 we're going to use the generate ideas.
- 01:05 Now instead of listing our ideas for a fun remote team building event,
- 01:10 I want to list fun ideas for a themed Christmas party.
- 01:14 So let's just modify this prompt and then send it through.
- 01:18 Now I'm hoping Copilot is going to come up with some cool ideas because
- 01:22 thinking of a theme for the Christmas party every year is taxing on my brain.
- 01:26 And I can see here it's coming up with some really good ones.
- 01:29 The ugly sweater party.
- 01:31 I think that one's a winner.
- 01:32 What you'll also notice is once it's finished we have a copy button, so
- 01:36 I could copy those ideas into an email, send it to my team and
- 01:39 we also have some additional prompts at the bottom.
- 01:42 So let's list out what are some Christmas movies to watch.
- 01:45 I'm looking for something cool to watch at the end of the year.
- 01:48 Now notice on the right hand side we have Copilot chat.
- 01:52 So this is where we have a log of all of the prompts that we've used, and
- 01:56 we can choose to edit those or we can delete them from the chat pane.
- 02:00 So here we go, it's generating a list of movies for me.
- 02:04 And maybe I want to copy those into an email and send it to myself so
- 02:07 I don't forget them.
- 02:08 So those are some of the things that we can do in that Copilot window with those
- 02:12 preset prompts.
- 02:13 But what if we go into an actual Teams channel?
- 02:15 Let's start a post,
- 02:17 because what you'll notice is at the bottom we now have a Copilot icon.
- 02:21 And when we click this, it just tells us that Copilot can rewrite and
- 02:25 adjust our messages to make them even better.
- 02:28 And we need to type a message to get started.
- 02:31 So I guess we better do that.
- 02:33 So I'm going to close this down and let's type in a quick message.
- 02:37 So I'm going to ask my team if someone can send me a over the sales
- 02:41 spreadsheet for Q1.
- 02:43 And the reason is because the boss man is asking for it.
- 02:46 Now, before I send that through, I'm just going to check it with Copilot.
- 02:51 So let's click our Copilot icon and I'm going to say rewrite.
- 02:56 Now you can see that Copilot has actually removed the word boss man.
- 02:59 That is a little bit casual and maybe slightly rude,
- 03:02 it's changed the word the manager.
- 03:04 Let's change the length.
- 03:06 I'm going to make it a little bit longer.
- 03:09 Notice it's giving me my second version now, and
- 03:12 I'm also going to change the tone and make this a little bit more enthusiastic.
- 03:16 So this is the third version.
- 03:18 Remember, we can scroll back and forth between our versions, but
- 03:21 I'm happy with this.
- 03:23 I'm going to click on Replace and then I can post that to the channel.
- 03:27 So Copilot is brilliant for helping us draft messages.
- 03:30 The final thing we're going to look at is how we can use Copilot within a Teams
- 03:35 meeting.
- 03:35 So I'm just going to start a quick meeting.
- 03:37 Let's click Join now.
- 03:38 Now obviously, I'm going to be the only one in this meeting, but
- 03:42 that shouldn't matter because we can still demo most of the Copilot features.
- 03:46 Again, notice we have Copilot on the main menu up there.
- 03:50 And as soon as we click it, it says you can ask Copilot for
- 03:53 meeting notes, action items, and more.
- 03:55 And we have the option to start transcription.
- 03:58 Now, it's really important that we do that because this
- 04:01 is basically what feeds Copilot.
- 04:02 If we want to ask any questions of the meeting, it uses that transcription.
- 04:07 Now if we click more prompts at the bottom, you can see some
- 04:10 other things we can do whilst in meetings, so we can recap the meeting so far.
- 04:15 That's brilliant.
- 04:15 If you're five minutes late to a Teams meeting, you can click on this prompt and
- 04:20 it will give you a rundown of everything that's been discussed, again,
- 04:24 based on that transcription.
- 04:26 We can list action items.
- 04:27 We can suggest follow-up questions.
- 04:30 We can see if any questions have been unresolved.
- 04:33 And we can do things like list the main ideas that were discussed and
- 04:37 also generate meeting notes.
- 04:39 Again, all based on that transcription.
- 04:41 And it is worth pointing out that if you are going to turn on that transcription,
- 04:45 that you do let all of your meeting participants know.
- 04:48 Now I'm just going to send through this prompt recap meeting so
- 04:51 far because this is a message that will come up from time to time.
- 04:53 If you try and recap the meeting too soon,
- 04:55 it's not going to have enough information to return to you.
- 04:58 Now the final thing worth noting is if we click on share and
- 05:02 go to Microsoft whiteboard, we have Copilot functionality in here as well.
- 05:07 So I'm going to create a new whiteboard.
- 05:10 And if you've never used whiteboard it's really useful for
- 05:13 brainstorming ideas with your team.
- 05:15 Now notice it's saying try Loop components, and
- 05:18 we have a lesson on Loop at the end of this section.
- 05:21 So I'm going to add a quick loop component, why not?
- 05:24 Let's add a table into our canvas.
- 05:27 And Loop components are basically reusable pieces of content that we can transfer
- 05:32 across Microsoft applications and keep in sync.
- 05:35 As I said, we'll talk more about that in the Loop lesson.
- 05:38 So I've added a little progress tracker just here,
- 05:41 which is in the form of a table which I can update.
- 05:44 And I could even add columns to this if I wanted to.
- 05:48 Now let's click on the Copilot icon at the bottom because this is really what we want
- 05:52 to look at.
- 05:53 The only option I have here is suggest ideas and content.
- 05:57 Now, I'm just going to use the prompt that is the default in the window,
- 06:02 just there, but I'm going to remove the word without,
- 06:06 because I want some suggestions using social media.
- 06:09 And you can see here, it's giving me some content suggestions.
- 06:13 I can edit these, I can generate more, or
- 06:16 I can choose to insert them onto the canvas.
- 06:19 So if I click on edit, it's just going to take me back to that same window where can
- 06:23 make some changes and regenerate the content.
- 06:26 Now, I'm going to go through, and I'm just going to insert these into the canvas and
- 06:31 it gives me these nice little blocks.
- 06:33 And once I have the content there, I can click on it and I can make changes.
- 06:37 So maybe I want to change the color of some of these little sticky notes.
- 06:40 I can make things bold, I can add comments, all creative things like that.
- 06:45 Let's click on the Copilot icon again and click on Categorize.
- 06:48 because what that's going to do is it's going to categorize those items to make
- 06:53 them a little bit easier to read.
- 06:55 And you can see now we have them organized into their relevant groups social sharing,
- 07:00 profile optimization, key word content, and hashtag strategy.
- 07:04 I can also choose to summarize any of the components that I have on the canvas.
- 07:10 So if lots of people have been in here in the meeting and
- 07:12 brainstorm lots of different ideas and we just want to cut through the noise and
- 07:16 pull out those key points, summarize is going to be the best way to do that.
- 07:20 So those are some of the ways that you can use Copilot within Microsoft Teams.
