Quick reference
Notifications and Settings
Set up notifications and explore Settings in Project for the Web.
When to use
We set up email notifications whenever we want to be informed about task activity. This is particularly useful if we don't have Planner open all day. We also might want to make minor customizations to the look and feel of Project for the Web and set language options.
Instructions
The Project Area
- Click on the cog icon to open Settings.
PWA Site
- Click My PWA Site.
This shows us the URL of our Project site where all files contained within the project are stored. This is usually a SharePoint link.
Notifications
- Click Notifications.
In the Notifications window, we have two options we can choose: Someone assigns a task to me and Someone adds me to a project or roadmap. The default is to have both of these selected so we stay on top of new task assignments and when we are required to contribute to a project or roadmap.
If we find that we are receiving too many notifications or notifications for a project we are no longer working on, we can come back into settings at any point and change these options.
Settings
Themes
We can set a theme to use in Project for the Web to add interest and personality. Select any theme from the gallery or click View all to see all available themes. Changing the theme here changes the look and feel for all of Microsoft 365, not just Project for the Web.
Langauge, Timzone and Password
In this section, we can change our language, set our timezone, and change our Microsoft 365 password.
Login to download- 00:03 So before we dive in and start creating a brand new plan in Project for
- 00:08 the Web, let's take a look at our notifications and settings first of all.
- 00:13 It's always good to get these set out straight away, so
- 00:16 that you have project working exactly the way you want it to right from the get-go.
- 00:20 We have a few settings, but only a couple of these are specific to project.
- 00:25 The others I'm going to show you are universal for Microsoft 365.
- 00:29 Now, our settings live up in this cog icon in the top right hand corner.
- 00:34 So let's click to open this up.
- 00:37 And you can see at the top here, this is where we have our project settings.
- 00:41 So underneath this project heading,
- 00:43 the first link that we have here is my PWA site.
- 00:46 Now, if we click this, notice that it has a URL in there for SharePoint.
- 00:51 And this is basically where all of your Project for
- 00:54 the Web files are going to live.
- 00:55 This is the default folder.
- 00:57 So effectively, they are stored in SharePoint.
- 01:00 Now you can change this to a different site in SharePoint if you want to.
- 01:05 I'm going to leave mine on the default.
- 01:07 Underneath that, this is where we can customize our notifications.
- 01:10 And we don't have loads of options in here.
- 01:11 Again, we just have a couple of them.
- 01:13 So this relate to email notifications again.
- 01:16 And much like in Planner, this is good to customize if you
- 01:20 don't necessarily have Project for the Web open all day.
- 01:23 I like to be informed via an email if somebody assigns a task to
- 01:28 me in a project.
- 01:29 I also like to be informed if someone adds me to another project, so
- 01:33 effectively shares a project with me, or if they share a roadmap with me as well.
- 01:38 So I like to have both of those options ticked.
- 01:41 But again, this is personal preference.
- 01:43 So let's click on Save.
- 01:46 Underneath that we just have our license details.
- 01:48 Not really anything you're going to need to look at in there.
- 01:51 And then the rest of these settings are very much related to
- 01:54 Microsoft 365 as a whole.
- 01:56 So let's just quickly run through them,
- 01:58 because these might be something that you want to change.
- 02:01 So the first thing we can change here is the theme that we're using.
- 02:04 So you can see that in my project for the web running across the top,
- 02:07 I have this kind of colorful header area.
- 02:10 And that's because I have a specific theme set.
- 02:13 But I could go through and choose something different from here.
- 02:16 And you can see, as I click on this, it changes them at the top.
- 02:19 So you can pretty much change this to whatever you like.
- 02:22 And that one's pretty nice, so I think I'm going to keep it on that.
- 02:25 Underneath all of our theme settings,
- 02:28 we then have an option to change our language.
- 02:31 And this is basically going to jump across to your Microsoft 365 account,
- 02:35 where if you want to change from your default display language, for
- 02:39 me that's English United Kingdom, you can do that from in here.
- 02:42 Again, probably not something you're going to find yourself having to change.
- 02:46 We can also change our password.
- 02:48 And remember this is your Microsoft 365 password,
- 02:50 that's just going to jump you across to your account settings so you can do that.
- 02:54 And then we can also update our contact preferences.
- 02:57 So these are contact preferences for emails that you receive from Microsoft.
- 03:01 So if you are getting a lot of mails come through related to new products and
- 03:06 things like that, you could come into here, and right to the bottom,
- 03:10 we can go into here and modify those settings.
- 03:13 So that is pretty much all we need to review when it comes to notifications and
- 03:18 settings in Project for the Web.
