Quick reference
Using the Teams Mobile Client
Microsoft has a free Teams Mobile app, often called a "mobile client" for Android and iOS.
When to use
The Teams mobile app is great to use on for your phone or tablet to keep in touch when traveling or away from your PC.
Instructions
Download and install the client from Google Play or the Apple store. Once logged in, you will see your Teams content and apps which looks and acts very much like your the Teams desktop or web client.
The mobile client will receive notifications about meetings, team posts, and @mentions so you can stay up to date. You can also join meetings, chat, and start calls from the mobile client. By default, the mobile client allows you to send recorded voice messages, set your online status, and tweak the settings for your notifications so you don't get too many pop-up notifications from Teams.
Hints & tips
- Tune up the chattiness of the Teams mobile client by adjusting the notifications.
- In Setup, you can tell the Teams client to be silent during off-hours.
- Install the Microsoft Office mobile applications for Word, PowerPoint, and Excel in order to open those documents from Teams. Just like on the desktop app, you can share slide deck and present in Teams meetings, all from your phone
- 00:04 When you're away from the office you can stay connected to your Team's activity,
- 00:08 including attending meetings and chats and calls, using them Team's mobile app.
- 00:13 This is a free app that you can install from the Play Store or from Apple.
- 00:17 In this case, we'll install Microsoft Teams from the Google Play Store.
- 00:20 Along with Teams, you may also want to install Outlook, Word, Excel,
- 00:24 PowerPoint and any other Office applications.
- 00:27 And you can even share those documents in Team meetings, allowing you to do
- 00:31 PowerPoint presentations from your phone in a meeting.
- 00:34 Now we'll click Open and this will launch Teams, we'll click Sign in,
- 00:38 and then Log in as a main user.
- 00:43 The first time you log in from your mobile device,
- 00:45 you'll be asked to validate your email address.
- 00:47 This one time process isn't shown here.
- 00:50 Once you do you can click Sign in, and you'll see the main application.
- 00:53 There are a few welcome screens to introduce you to the application.
- 00:57 Once it starts up, we'll just click through those and
- 00:59 we'll wind up looking at the mobile version of Megan's chat feed.
- 01:03 At the bottom of the main screen, you'll see Activity, Chat, Teams,
- 01:06 Calendar, and More.
- 01:08 Of course,
- 01:08 these roughly parallel the same options on the left side of the Team's application.
- 01:13 We don't need to review all of these because they're very similar in many ways
- 01:16 to the Team's app.
- 01:17 But let's take a look at some of the most useful features.
- 01:20 With Chats selected Megan can start a new chat or
- 01:23 click on a chat to continue a conversation.
- 01:27 At the bottom of the screen are the familiar formatting icons
- 01:30 including attaching a file, sending add messages and
- 01:33 unique to a mobile app, sending a voice recording as a message.
- 01:37 Meghan can click on Lydia to see the details from her contact card.
- 01:42 To navigate back to previous screens, you can use the back arrow at the top or
- 01:46 the back arrow at the bottom.
- 01:48 Clicking on Teams, you can see the same Teams and
- 01:51 channels that you can in the applications.
- 01:53 In the Calendar view you can see the history of your events as
- 01:57 well as upcoming calendar meetings.
- 01:59 And you can join meetings from here or start new ones as well.
- 02:03 If you click on More, you'll see the additional features including calls.
- 02:08 From here you can initiate calls with people you've had recent calls with.
- 02:12 Start a new call by clicking the phone icon or listen to voicemail.
- 02:18 Sounds like we're getting a call looks like it's from Irvin.
- 02:21 We'll take that call, and now we're in the familiar Team's call application.
- 02:26 From this main screen you can turn on and
- 02:29 off the video which is very important in low bandwidth or poor Wi-Fi scenarios.
- 02:34 You have mute, and you have the ability to turn on Office speakerphone which
- 02:38 makes it easy for you to share a conversation with others in your area.
- 02:42 As you might expect, you can click on the ellipsis and see more options.
- 02:47 This includes putting a call on hold and
- 02:49 sharing content from your phone during the call.
- 02:53 Finally, if you want to add people to a call,
- 02:55 click on what appears to be the people plus icon in the upper right hand corner.
- 03:00 From here, you would just click add people to invite people to the call.
- 03:04 Here we are back on the main screen.
- 03:06 On the upper left are some options that are important in the mobile app.
- 03:10 These may look familiar from the Team's application,
- 03:13 especially the ability to set your online status.
- 03:16 There are times when you may not want to silence your phone completely but
- 03:19 you don't want to receive calls from Teams.
- 03:21 This is the place to do it by setting Do not disturb.
- 03:24 Let's take a look at notifications because some of those are important to
- 03:27 the mobile app.
- 03:28 I don't receive notifications if you select Only when inactive on desktop.
- 03:33 Then Teams will send the mobile app notifications
- 03:36 from Teams once you've been inactive on your desktop for three minutes or more.
- 03:41 If you want the mobile app to receive all the notifications all the time,
- 03:45 then select Always.
- 03:47 Under Configure notifications, you have some additional options for
- 03:50 toggling on and off various notifications in the Team's app.
- 03:54 All in all the settings under the Notifications in the mobile device
- 03:58 let you tune up how chatty you'd like it to be on your phone.
- 04:01 So as you can see, there's a lot of capability in the Teams mobile client.
- 04:04 So let's review.
- 04:06 The client is free and available for Android and iOS.
- 04:10 You should also consider downloading Excel, PowerPoint and
- 04:13 Word mobile versions as they work really well to help you review files in Teams.
- 04:19 You can participate in Teams activity and
- 04:21 chats while you're away using the mobile client, including looking at channels,
- 04:26 Teams chat, individual chat and online meetings.
- 04:30 You can also make calls using voice and video.
- 04:33 Unique to the mobile app, record your voice and send as a message in chat.
- 04:38 And of course, you can set your online status and
- 04:41 customize your settings to tune-up notifications for the phone.
- 04:45 In the next lesson we'll talk about creating and managing Teams and channels.
