Quick reference
Channel Meetings
Channel meetings are created when you specify a Channel in the Teams Calendar application.
When to use
Create a channel meeting when you want to place a notification about the meeting in a channel.
Instructions
To create a channel meeting, simply add the Channel name to the form when creating the meeting.
Hints & tips
- Be sure to send the meeting request to the people you want to be in the meeting using the Add Required Attendees line in the form. The meeting request will not go out to everyone on the Team by default even though it is placed in the channel.
- When the meeting is started, anyone on the team can join the meeting.
- 00:04 There are times whenever you create a team meeting and you want it to appear in
- 00:08 the channel so that everyone in the channel knows about the meeting, yet
- 00:12 you may not have invited everyone to that meeting.
- 00:15 So it becomes an opportunity for people to join when the meeting happens and
- 00:19 then also there's a history of the meeting that takes place
- 00:22 external in the meeting posts section.
- 00:25 Let me show you how that works.
- 00:26 You click on the calendar function, we'll click new meeting, and
- 00:31 we'll fill out this form.
- 00:32 In this case, we'll add the meeting to a channel.
- 00:35 We're going to add it to the Go To Market Plan channel, and then we'll click, send.
- 00:41 Now let's see what happens when we add that to the channel.
- 00:45 And we can see that in the Go To Market Plan,
- 00:48 we have a meeting entry in the post section of the team.
- 00:52 This is visible to everyone in the channel.
- 00:54 Now it's important to note that the only people who got an invite to this meeting
- 00:59 was Isaiah.
- 01:00 In practice, you probably have more people.
- 01:03 Now, you might think that by putting the meeting in the channel, everyone in
- 01:06 the channel would receive an invite to the meeting, but that's not what happens.
- 01:10 Only the people who are on the to list receive the invitation.
- 01:13 Even so, people in the channel will be able to see that the meeting
- 01:17 is going to happen or has happened.
- 01:20 Let's see what happens when the meeting begins.
- 01:22 We can see here that apparently Isaiah has started the meeting, and
- 01:26 Megan can join the meeting as can anyone in the channel.
- 01:29 We move fast forward to the end of the meeting.
- 01:32 Once the meeting is over, everyone can review the meeting including
- 01:35 any recordings that were made or notes that were taken.
- 01:39 This makes it easy for everyone on the team to keep up to
- 01:42 date with meetings that are important, but they couldn't attend.
- 01:46 So let's review what we've discussed about channel meeting.
- 01:49 Assigning a channel to a team meeting invitation, creates a channel meeting.
- 01:53 The invitation only goes to those on the to list for the invite.
- 01:58 Team members can join the meeting when it starts.
- 02:00 The meeting details, recordings, and
- 02:02 notes are available after the meeting in the channel posts.
- 02:06 In our next lesson, we'll work with Outlook and
- 02:09 show you how it's integrated with teams.
