Keyboard Shortcuts for Navigating the Drawing Window
- F1 - Open the Help window
- F3 - Open the Format Shape task pane
- F5 - Enter the full-screen view
- Ctrl+1 - Select the Pointer Tool
- Ctrl+2 - Select the text tool
- Ctrl+3 - Select the Connector tool
- Ctrl+4 - Select the Pencil Tool
- Ctrl+5 - Select the Freeform Tool
- Ctrl+6 - Select the Line Tool
- Ctrl+7 - Select the Arc Tool
- Ctrl+8 - Select the Rectangle Tool
- Ctrl+9 - Select the Ellipse Tool
- Alt+F6 - Zoom in
- Alt+Shift+F6 - Zoom out
Move your mouse to different icons on the Quick Access Toolbar and the Ribbon, and if the icon has a keyboard shortcut, it will show in the description of the icon.
Press the ALT key on the bottom row of your keyboard to activate the access keys, which basically gives you a keyboard shortcut for every possible menu item.

- 00:13 The function key f5 on your keyboard.

- 00:19 To leave that we're going to press the Escape key, okay?
- 00:23 And now you're back to regular screen mode.
- 00:25 So if I pick on F5 then it goes into full screen mode and
- 00:29 if I press the Escape key, then it goes back.
- 00:34 Now another one that's going to be really helpful for you is zooming in.
- 00:38 In this case, I'm going to press Alt+F6,
- 00:43 Alt and the f6 key, see how it's zooming in.
- 00:46 And then if we do Alt+Shift+F6 it'll zoom out.
- 00:53 So I'm holding down Alt and I'll do F6, that zooms in.
- 00:58 I'm going to hold down Alt again, Alt+Shift+F6 will zoom out.
- 01:04 So those are going to be really helpful for you.
- 01:06 If you hit the F3 key, the F3 key is going to open up this Format menu
- 01:12 on the right hand side, from which you can go a lot further with a shape.
- 01:17 So for example, I'm going to close that window with the X.
- 01:21 But if I click a shape, there's going to be many ways to format that shape and
- 01:25 we'll have other lessons about that.
- 01:28 But in this case, if I press F3, then you can see how that brings up the Format
- 01:32 menu on the right from which we can go a lot further with that shape, okay?
- 01:36 So that's going to be important for us.
- 01:38 I'm going to close that window.
- 01:41 I wanted to show you the access keys.
- 01:43 The access keys gives you many, many more keyboard shortcuts.
- 01:47 What you want to do is just press the Alt key but
- 01:50 don't hold it down, press the Alt key on the bottom right of your keyboard.
- 01:54 Now notice what occurs.
- 01:57 Each menu now has a letter or a number assigned to it.
- 02:01 Even the ones in the keyboard on the Quick Access Toolbar have a number
- 02:04 assigned to this.
- 02:05 So for example, if I want to go to the Insert menu,
- 02:08 notice how it has the letter N below the word Insert.
- 02:12 So I'll press the letter N on my keyboard.
- 02:15 And now we're in the Insert menu and each one of those has a letter or
- 02:19 a number assigned to it as well.
- 02:21 Now you see the ones with the two letters, or the two numbers you don't do this at
- 02:25 the exact same second, you do one after the other.
- 02:28 So those are called access keys.
- 02:30 When I'm done with that,
- 02:31 I'll press the Escape key a couple times and put that away.
- 02:34 So I'm going to press the Alt key, but you don't have to hold it down,
- 02:39 just press it one time.
- 02:40 And then each menu now has a letter or a number assigned to it.
- 02:44 So for example, if I want to go to the Home menu right now I press on H.
- 02:49 And now I'm on the Home menu, and you have each of those choices has a letter or
- 02:53 a number assigned to it as well.
- 02:55 Now what the ones with the two letters,
- 02:57 you don't do this at the exact same second.
- 02:59 It is one after the other and then when you're done with those,
- 03:02 you press the Escape key.
- 03:04 So if you look at the quick access card, that comes with this module,
- 03:08 you'll see the keyboard shortcuts.
- 03:10 So those are the ones that we talked about.
- 03:13 And then here's the ones where you move your mouse on an icon and
- 03:17 if it has a keyboard shortcut, it'll tell you that time, within the description.
- 03:22 Here it's talking about pressing the Alt key,
- 03:26 like we just did, and that gives you the access keys.
- 03:30 And then for a complete list of keyboard shortcuts, you can go to this website.
- 03:34 So on the quick reference card, you'll be able to go to that website.
- 03:39 There should be a clickable link otherwise, you could just copy and
- 03:43 paste that onto your browser.
- 03:44 So for example, if I move my mouse there, I'm going to do Ctrl+Click, and that
- 03:49 should bring me to the Microsoft website, which gives a lot of keyboard shortcuts.
