Create and Apply a Style
Learn to format text and then capture it inside the Style Gallery for future use.
When to use
Begin your journey to creativity by designing your own Styles that will stay available for you in the Styles Gallery. This is also useful as a timesaver when you need to apply a certain text style throughout a document.
Instructions
Create a new style:
- In your document, select any text that you want to work with.
- Click the Home Ribbon, Styles group.
- Apply an existing style that is similar to what you have in mind.
- With the text still selected, change the font, size, and color.
Use your imagination and explore the Font Group. - When you are happy with your designed text, capture it in a Style:
- Click the Styles Gallery drop down arrow
- Choose “Create a Style”
- Enter a name for your Style
- Click OK to finish
- Observe that your new style is now within the Styles Gallery box.
Apply the new style:
- In your document, select any text that you want to work with.
- Click the Home Ribbon, Styles group.
- Click the new style that you just created!
Tip: use the Format Painter to apply formats from one text area to another.

- 00:06 we're gonna start getting creative and kind of making Microsoft our own.
- 00:10 We're going to abandon Microsoft styles and just design our own style.
- 00:14 So, if you would go ahead and open the exercise file that comes along with
- 00:19 the video, and select this first line that says, Microsoft Heading Style 1.
- 00:24 Come up to your Home ribbon, Styles group, and apply Heading Style 1, this is just to
- 00:28 demonstrate how easy it is to apply styles after they are in the Styles gallery.
- 00:34 Click the next line, and apply Heading Style 2.
- 00:37 Now, we're gonna take the Heading Style 1, and we're gonna change it just slightly.
- 00:41 So I'm gonna come up to the Font group.
- 00:44 I'm gonna choose a different font style.
- 00:47 Maybe make the font a little larger.
- 00:49 Maybe change a color to green.
- 00:52 And there's a style I like.
- 00:54 And I think I'll go ahead as my company style one.
- 00:57 Now I wanna apply that same one so I don't have to do all that work again.
- 01:02 I wanna apply that same formatting to the Microsoft Heading Style 2 here.
- 01:05 The quickest way to do that is with the Format Painter.
- 01:08 The Format Painter resides on the Home ribbon.
- 01:11 I've also got it on my Quick Access bar.
- 01:13 But it also is in a third place.
- 01:15 When you select Text, you get this minibar.
- 01:19 And there is a Format Painter there as well, so it's in three spots for you.
- 01:23 So I'll go head and click my Format Painter, and
- 01:25 now I have a little tiny paint brush attached to my mouse.
- 01:28 I can just wipe it right over the Heading Style 2.
- 01:31 Now, they do look identical because it took that format and
- 01:34 applied it to the second line, so I'm just gonna change it slightly.
- 01:38 I'm gonna shrink the font a little bit.
- 01:39 I'm going to italicize the font.
- 01:41 So now they're a little different.
- 01:43 All right, let's go ahead and create the styles for the Style Gallery.
- 01:46 Select that first line, come up to the Style Gallery, hit the drop down arrow.
- 01:51 And right over here at the bottom, says Create a Style.
- 01:54 When you select that, now you can just type My Company Style 1, and click OK.
- 02:00 Now, we're going to do the same thing to our second line.
- 02:03 Microsoft Heading Style 2.
- 02:05 It's just a style we're saving, not the words.
- 02:07 And hit the drop down on the gallery, Create a Style.
- 02:10 This time we're going to call it My Company Style 2 and hit OK.
- 02:15 Now, if you'll notice, take a look at the Gallery.
- 02:18 The first one there says, the tool tip even confirms My Company Style 1.
- 02:23 The second one, tool tip confirms My Company Style 2.
- 02:26 Let's go ahead and apply these to just blank text.
- 02:29 If you'll scroll down I've got some words down here already.
- 02:32 So I'm gonna select the first line of words, come up to the gallery and
- 02:35 apply my style.
- 02:37 And come to the second line of text, select that, come up to the gallery and
- 02:40 apply my second style and that is how you get creative with Microsoft Word.
- 02:45 And you start making it your own, and applying your styles throughout.
- 02:49 It's great fun to do, it's quite easy to do.
- 02:52 And it makes you feel like you're really in control of your project, and
- 02:55 not limited just to the Microsoft gallery styles up there.
- 02:59 All right, in the next lesson you're gonna learn how to modify and
- 03:02 rename those styles.
