Mail Merge to Labels
Auto-populate a sheet of labels with text pulled from a list.
When to use
Typing a page of labels can become tedious and inefficient. If you have a mailing list already established, then you can easily merge the addresses to an MS Word document of any type.
Instructions
- Begin with a blank document
- Click on the Mailings ribbon and click Start Mail Merge
- Click Step-by-Step Merge Wizard...
The Mail Merge Wizard pane appears on the right side of the screen.
Notice the bottom of the pane where it identifies which step you are currently on.
- STEP 1: Select Document Type and choose “Labels”, then click Next at the bottom
- STEP 2: Select Starting Document and choose “Change document layout”, and click
- Select the label information to match your purchased box of labels, click OK
- You should see a label template on your screen, then click Next at the bottom
- STEP 3: Select Recipients asks you where your list is. Choose one option: Use existing, Select from Outlook, Type a new list
- If you Type a new list, click "Create" and enter the data and click OK.
- You will be prompted to SAVE the file. Make sure to write down the file location because you will need that info if you re-use the same list again.
- Click Next at the bottom. After the list is saved, your template contains FIELDS that look like:
It is VITAL that you do not erase or delete the chevron marks on the field. They are “codes”.
- STEP 4: Arrange your labels; click into the top left label box or “cell”.
On the Mail Merge pane, click Address block; make your choices in the dialogue box and click OK- Notice the new field that appeared only in the first label cell:

- STEP 5: Preview your labels; If you don’t like the line spacing or fonts, now is the time to change them.
- Select all (Ctrl + A), click the HOME ribbon, Paragraph group, Line Spacing button, and choose:

- STEP 6: Complete the merge allows you to either Print or Edit the individual labels.
It is recommended to Edit the labels because that is one last chance to preview and/or change individual labels.
- 00:04 Okay, let's take mailings a step further by using the Start Mail Merge group on
- 00:08 the left-hand side.
- 00:09 Well a mail merge simply takes a list of names and
- 00:12 merges them into fields of a document.
- 00:15 That document could be labels, envelopes, or a form letter.
- 00:18 The quickest way to start is to hit the Start Mail Merge button here,
- 00:22 skip everything at the top, and
- 00:23 go straight to the helper helper at the bottom, Step-by-Step Mail Merge Wizard.
- 00:28 When I activate that, a panel shows up and this is literally going to take
- 00:32 us through step-by-step of the process, and there are six steps.
- 00:37 The first option is to choose which document you're going to merge into.
- 00:41 Mine is going to be labels.
- 00:43 Click Next to continue and that's right down here.
- 00:46 Next, it's asking do you want to change a document layout or start from existing?
- 00:51 I'm going to change this document layout, and
- 00:54 I need to click this button Label options.
- 00:57 Now, I happen to be using Avery 5360 label set.
- 01:00 You can scroll through for anything else,
- 01:03 you can even design your own under New Label.
- 01:06 I'll click OK on this one.
- 01:11 And it's about to wipe out the document I'm looking at.
- 01:14 Generally, I'll start with a blank document before I start this process, but
- 01:18 that's okay.
- 01:18 I'm okay to have it wipe this out, that's fine.
- 01:20 Here is my label setup.
- 01:22 You can see on the navigation pane, on the left-hand side,
- 01:26 what's going on, and I'm ready for the next step Select recipients.
- 01:32 In this case, I don't have an existing list.
- 01:35 I don't want to use Outlook contacts,
- 01:37 because I've been given a brand new list I need to type up.
- 01:40 So, I'll hit the hyperlink that says Create, and
- 01:43 now I'll start entering the names.
- 01:45 Now this is going to be a tedious process.
- 01:49 So I'm going to go ahead and push pause on this recording and finish this.
- 01:52 Notice that my screen looks a little funky,
- 01:55 there's a little glitch in Microsoft right now.
- 01:58 It's okay, they'll fix it, as soon as they realize it's there, they'll fix it.
- 02:02 But I know this is title, first name, last name, company, address, city,
- 02:06 state, zip, country, and then homework and email.
- 02:09 All right, I'm going to push pause and do my data entry.
- 02:12 Okay, when this is all done, you can see the list in here, and you can see also
- 02:17 that I can choose which names I want to use, which names I don't want to use.
- 02:22 I can sort these, filter these.
- 02:24 Find duplicates, find a certain recipient or validate addresses.
- 02:28 I'm going to go ahead and click OK, and
- 02:31 notice the next thing that came up were Records.
- 02:34 These are called fields.
- 02:36 These fields tell the database first record here, and
- 02:40 then second record, third record, and so forth.
- 02:43 Notice the little tiny arrows on the right-hand side.
- 02:46 Those double arrows have a name, they're called chevrons.
- 02:50 If by accident you delete one of those double arrows,
- 02:53 you have broken the mail merge.
- 02:55 It will not work.
- 02:56 So be very gentle when you're moving around inside these fields,
- 03:00 don't delete any of these.
- 03:01 All right, I'm going to go ahead and hit the step three Arrange labels.
- 03:06 Now the Arrange labels allow me to tell the database
- 03:10 what parts of the address to put on each record.
- 03:13 Well, I could get really technical, but I want to cheat and
- 03:17 just use the address block.
- 03:19 It is the easiest way.
- 03:20 So I'll click the address block, and notice a brand new screen shows up.
- 03:25 And it's asking me which parts of the address and how do you want it to look.
- 03:30 I'm going to get very casual here, company name, postal address, and
- 03:34 I'll just go ahead and click OK.
- 03:36 Now if you're using a set of names that don't match the fields of
- 03:40 the Microsoft Mail Merge, then you hit Match Fields.
- 03:44 And this is where you tell, okay, Microsoft Mail Merge calls it First Name,
- 03:49 but in my set it's called First.
- 03:51 Okay, so you can scroll through and you can match all of these fields.
- 03:56 I'm hitting OK there, hitting OK here.
- 03:58 And now we've got a new field called Address Block.
- 04:02 Well, the address block will put in the first set, but it won't put in
- 04:07 the second or the third until I hit the second most important button,
- 04:11 which is Update All Labels.
- 04:13 We're replicating the labels to each field.
- 04:17 Ready, click, there you go.
- 04:18 So I've told it, first name here, then the next record, address block,
- 04:23 then the next record, address block.
- 04:25 Those are the commands going on.
- 04:27 Again, be very gentle in here.
- 04:29 Don't delete these fields or the chevrons.
- 04:32 All right, let's preview these, how are they going to look?
- 04:34 Hit the Preview button and there it is.
- 04:36 It's showing us a preview.
- 04:38 This is not my printable document, I am not done with this.
- 04:41 But it's kind of given me a ghost image up here.
- 04:44 Now if I turn off the preview, there's my mail merge fields, click on the Preview.
- 04:49 Okay, that's how it's going to look, but I'm not done.
- 04:52 Over here on the right-hand side, I'm going to go to step five,
- 04:56 Complete the merge.
- 04:58 Now I'm going to have a brand new document.
- 05:00 When I hit complete the merge, it's asking me, okay, send it straight to the printer?
- 05:06 No, no, no, what if I don't even have labels on my printer yet?
- 05:10 Hold on.
- 05:11 I always hit Edit individual labels, this gives me one last chance, and
- 05:15 make sure all the addresses are correct.
- 05:17 The lineup looks good.
- 05:19 So now you're going to see a brand new document on my screen, and
- 05:24 even the title of this will change.
- 05:26 And here is the document, the title changed,
- 05:29 It's not a mail merge document, this is a finished labels document.
- 05:34 Now I'm safe to hit print if I want.
- 05:38 To finish this I'm going to minimize that document,
- 05:41 go back to my mail merge document.
- 05:43 I can save this for future use or I can delete it.
- 05:46 I always save my hard work, so I don't have to figure it out again next month.
