Printing
Explore the various options within the Print dialogue box.
When to use
Controlling the Print Settings is important in saving paper and ink when printing. Use these features every time you have special instructions for the printer.
Instructions
- Click File, Print (or use the keyboard shortcut Ctrl-P)
- Select the number of copies to print.
- Select the Printer to use; should be already set up on your computer system.
Print Settings
- Print All Pages, or Print Current Page.
The Current Page is the one on the Preview screen at the time you click PRINT.
Custom Print allows you to be choosy about which pages:
- To print pages 1 through 3, type “1-3”.
- To print only pages 1 and 3, type “1, 3”.
- Print One Sided is the most common setting unless your printer has the ability to print both sides at once.
- To print multiple pages on a sheet, click “1 Page Per Sheet” and the options will open above that button. Make your choice and click Print.
Note: By clicking “2 pages per sheet”, you will print a single-sided booklet of your document.
Hints & tips
- Ctrl + Page Down = jump down to next page.
- Ctrl + Page Up = jump up to next page.
- Ctrl + Home = take you to the top of the document.

- 00:08 there are some advanced things inside the print settings.
- 00:11 So let's go ahead and find that.
- 00:12 First of all, I do want you to know that I have a three page document on my screen.
- 00:16 We'll go to either two ways to get there.
- 00:18 We could go to File > and Print, but I'm going to get out of there.
- 00:24 And instead, I just want to hit Ctrl+P,
- 00:27 because it takes me to exactly the same place a lot faster.
- 00:30 So I prefer the Ctrl+P.
- 00:32 Notice up on top, we can tell it to print and
- 00:35 how many copies of this three page document, notice here it says 1 of 3.
- 00:40 And I can hit the arrow to go to the right or to the left.
- 00:44 I can tell it which printer to use.
- 00:47 I can hit my drop down arrow, choose a different printer.
- 00:50 Or if my printer's not on this list,
- 00:52 I can go to the Add Printer at the bottom of this list.
- 00:55 And a new screen comes up and Microsoft has this all set up,
- 00:58 I can just easily add a printer or scanner.
- 01:00 It will find all the settings and install for me.
- 01:03 It's pretty slick these days how quick it is to add a printer.
- 01:07 If you work for a big company or corporation and
- 01:10 you choose the company printer, you're going to find settings on there that will
- 01:14 allow you to add stapling settings or all kinds of stuff.
- 01:17 You might see that you have multiple options depending on which printer you
- 01:22 choose.
- 01:22 Notice right underneath it says Printer Properties.
- 01:24 We could click on that, and even go into detail about how we're going to print this
- 01:29 document and what settings we're going to change.
- 01:31 I can tell it's printing color, or black and white, all kinds of stuff.
- 01:35 I'll go ahead and hit Cancel on that.
- 01:37 Let's keep going on this list.
- 01:39 Notice here it says Settings, do I want to print all pages?
- 01:42 Of course, it says it describes it the whole thing, well sure, or
- 01:46 maybe just the Current Page.
- 01:48 So if I hit the arrow to page 2 and
- 01:50 then I can tell it just Print Current Page, it will only print page 2.
- 01:55 But every one you clicked on every once in a while, it's kind of handy.
- 01:58 Maybe it's an eight page document and you made a change on page 7.
- 02:02 Why print all eight pages again?
- 02:04 Just print the current one.
- 02:05 Okay, let's look more in there.
- 02:06 So we've got Print All Pages > Current Page > or Custom Print.
- 02:09 Type specific pages, sections, or ranges.
- 02:13 And now, it'll actually teach me how to do this.
- 02:16 This little i means information.
- 02:18 So when you float your mouse, it tells you how to type them.
- 02:21 Do you want to print page 1, then page 3, then 5 through 12?
- 02:26 Or you can tell it page 1, section 1.
- 02:29 So you can get very technical with this.
- 02:31 Generally, I leave it at all, but
- 02:34 sometimes I'd like to print page 1 and 3, 1, 3.
- 02:38 Maybe I'd like to print page 2-3, 2 through 3, okay?
- 02:42 So you can get very technical how you type that in.
- 02:46 In this case, I do have the option to print one sided or
- 02:49 manually print on both sides.
- 02:50 So some machines will duplicate, this one doesn't.
- 02:55 On the collated, what is collated?
- 02:57 It means sets.
- 02:58 Do you want to print sets in specific order, 1, 2, 3, 1, 2, 3, and
- 03:02 then have it stapled or uncollated, which means page 1, 1, 1, 2, 2, 2?
- 03:07 As a teacher, I often hand out page 1 one day and then all of page 2 the next day.
- 03:12 So every once in a while, you just need to know you have the option to collate or
- 03:16 uncollate.
- 03:17 All right, that said, those are a lot of printer options in there.
- 03:21 Just make sure your printer is set up and ready and you know how to change it.
- 03:25 So maybe print to a PDF instead of a printer.
- 03:28 And you can click through your pages here.
- 03:30 And you can change it to just Print All Pages or Current Pages.
