Formatting Fonts
Format text with fonts and colors
When to use
This is a normal function inside Microsoft 365 Word. It adds uniformity to business documents and adds interest to less formal documents.
Instructions
- Select a word (with a click and drag, or double-click on a word)
- Click the Font Style drop-down arrow and choose a font
- Click the Font Size drop-down arrow and choose a size
- Click the Font Color drop-down arrow and pick a color
Tips:
- Double-Click to select any word and the mini-bar will also appear.
- Triple-Click any word to select the entire paragraph.
- CTRL-A will select the entire document (or triple-click in the left margin)
- Pay attention to the mini-bar when it appears. It is useful and close to your work area.
- If the font style and/or size box are blank, it is because your selection contains two or more styles and it is confused so it appears blank. Simply choose a font style or size and it will be fine.
- 00:04 Continuing with the same document we created in the previous lesson,
- 00:08 the document named My First Document, let's go ahead and apply some formatting,
- 00:13 some font coloring, and font sizes.
- 00:15 I'm going to draw your attention to the Home ribbon,
- 00:17 the little group over here called Font and all of the little buttons.
- 00:20 Now notice how many have letter As on them, that means alphabet.
- 00:24 You're going to do something with the alphabet, you're going to clear
- 00:27 the formatting, you're going to increase the font size or decrease the font size.
- 00:30 Maybe you want to change the case from lowercase to uppercase,
- 00:34 maybe you want to change the font color.
- 00:36 Well, the way to do this is to first click where you want that change to appear.
- 00:41 I'm going to single click on the word February, placing my insertion point.
- 00:45 Now I'm going to come up to the font color and change that to red.
- 00:48 And it applied to the entire word, but not the entire line.
- 00:52 Now here's a trick.
- 00:53 If I want to select just the word,
- 00:55 I can single click it to apply a color or double click it.
- 00:59 A double click on a word will select the word, but
- 01:02 look what just popped up right above that.
- 01:05 It's called a menu bar, it has the formatting tools on it.
- 01:08 I call it a gift from the gods of Microsoft, this thing is awesome.
- 01:12 My goodness.
- 01:13 You see, I'm not always hanging out on the Home ribbon up here, sometimes I'm on
- 01:17 a different ribbon and I don't have these font tools in front of me.
- 01:20 But a double click, and here they are.
- 01:23 And now I can change the color.
- 01:24 Let's do it again, there's another word in here, video.
- 01:27 Double click that one, change that color.
- 01:30 You see, a single click on the word won't bring up that menu bar, but
- 01:34 a double click pops it up for you.
- 01:36 There you go, one more color.
- 01:38 Okay, what does a triple click do?
- 01:40 You see, a double click will select a word, but a triple click, one, two, three,
- 01:44 will select a paragraph.
- 01:46 I can change the color of that entire paragraph.
- 01:48 Why would I do that?
- 01:49 A lot of times when I'm editing a document,
- 01:52 I'll change the color of a paragraph when I'm done editing it, and
- 01:55 then whatever is left over in the black color, I know I still have to work on.
- 01:59 At the end, I'll change it all back to the same color.
- 02:03 Let's do that.
- 02:04 How do I change the whole thing in one fell swoop back to the change color?
- 02:07 Why select the whole thing?
- 02:10 Ctrl A stands for all, so I can click anywhere and press on my keyboard Ctrl A.
- 02:16 I just selected the entire document, I can change the color.
- 02:19 Another way is over here on the left hand margin.
- 02:22 Simply triple click in the left hand margin, one, two, three, select it all,
- 02:27 and go ahead, and plus I got the format in the menu bar.
- 02:30 So I can just set that all back to the black color.
- 02:33 Well, what if I want to change the size?
- 02:35 So Dear Sirs, I select Dear Sirs,
- 02:37 I was just over on the left hand margin, selected that line.
- 02:42 The menu bar pops up and I can tell it font size larger, and
- 02:45 I can even change the font style.
- 02:48 You can type your way to a font style if you want.
- 02:50 Let's go down to Sincerely.
- 02:51 Select Sincerely, Font Style, just start typing Script.
- 02:56 And it pops up and we change our font style.
- 03:00 Now watch what happens when I select all, okay?
- 03:02 I've got three font styles, I have Arial.
- 03:05 Notice I click into the paragraph, shows me up here it's Arial.
- 03:09 I have Calibri, I have Sincerely.
- 03:13 And then I triple click on the left margin, one, two, three,
- 03:17 check out the font style and size, blink and blink.
- 03:20 Sometimes when I'm confused, my brain goes blink as well.
- 03:23 You see, we've told it three different font styles, it doesn't know what we want.
- 03:26 So let's set it straight.
- 03:28 With the entire document selected, I'll hit the drop down,
- 03:32 I'll choose Arial, and for the size, I'll choose 12.
