Paper Orientation and Size
Learn how to change paper size and orientation depending on the document type.
When to use
Changing the paper orientation from portrait to landscape occurs typically in large reports or manuals where an organizational chart or similar diagram may be added. Changing paper size may matter depending on your profession, i.e. legal or executive correspondence.
Instructions
Two places to find Paper Orientation and Size settings:
a. Layout Ribbon.
b. Print Preview screen (or Ctrl P.)
To change from Portrait to Landscape, click the Layout ribbon, Orientation, and choose one of the options:
To change the paper size, click Layout ribbon, Size:
If you have a special paper size, you can enter your own paper measurements; click “More Paper Sizes” at the bottom of the list, then choose “Custom”

- 00:07 size is actually kind of a great exercise just to know you have the power to do it.
- 00:12 In order to do this, I really want to see the entire full page on my screen.
- 00:16 So I'm going to click the One Page button that is under the View ribbon, One Page.
- 00:22 I've added it to my Quick Access Toolbar because I always use it.
- 00:25 So right now I have an 8.5 by 11 piece of paper.
- 00:28 So what we're going to do is change the orientation to the landscape.
- 00:31 Now, landscape means horizontal, portrait means vertical.
- 00:35 Okay, so on the Layout ribbon, we have the Orientation button.
- 00:38 It's already portrait, so when I click on Landscape, there we go.
- 00:42 I want to shift this again so I can see more of the page on my screen.
- 00:46 And just in case you're, I don't know, typing a menu up and
- 00:49 you want to fold it in half, this is a great way to just lay it out landscape.
- 00:53 All right, let's switch that immediately right back to portrait so
- 00:56 you can see the difference.
- 00:58 Now let's go ahead and change the size.
- 01:01 The paper size is important because under the Size button on layout, we have
- 01:06 tabloids, legal papers which is just slightly longer than a regular 8.5 by 11.
- 01:11 We have statements that will be billing statement.
- 01:14 Executive letterheads are always just slightly smaller than a letter.
- 01:18 These other options are international letter sizes, and
- 01:21 at the very bottom, we do have our envelope sizes, and more paper sizes.
- 01:26 So let's go ahead and choose Tabloid.
- 01:28 And Tabloid 11 by 17, this is if you're putting out a local newspaper or
- 01:33 newsletter or something.
- 01:35 And this is a very long sheet of paper.
- 01:37 Actually held menus as big in restaurants.
- 01:40 But let's go ahead and change that orientation to landscape.
- 01:46 Look at it full size.
- 01:49 Could you imagine now a fold line down this, that would be a nice,
- 01:53 nice newsletter.
- 01:54 Okay, let's set this back to portrait, and I want to customize our size.
- 02:00 So I chose the Size button with the bottom More Paper Sizes.
- 02:06 And I'll change this just to letter and I'm going to type in my own sizes.
- 02:11 Back in the days when we actually wrote handwritten notes,
- 02:14 sometimes we had nice stationery that we purchased.
- 02:18 We could have a 5.5 inch wide by a 7.5 inch tall,
- 02:23 but my margins are so big.
- 02:26 So I can go ahead and click the Margins, and
- 02:29 I could change those to a 0.5 all the way around the edges.
- 02:33 And then when I hit OK, there it is.
- 02:37 There's the final product, very small piece of paper.
- 02:41 Now if you want to zip very quickly back into all of that,
- 02:44 remember to double-click on that ruler, put your mouse on the ruler, double-click,
- 02:49 and there it is, right back to it.
- 02:51 So you can save the time from traveling up to the layout,
- 02:55 then over to the orientation, because on the Margins button is your orientations,
- 03:00 and right behind the paper, there are all the sizes, okay?
- 03:05 Go ahead and practice that.
