Duplicating and Reordering Slides
Duplicating slides – to reuse them in a presentation.
When to use
Save time by using existing slides instead of creating new slides and content from scratch.
Instructions
- In either the Slides Pane or the Slide Sorter view:
- Right-click a thumbnail in the Slide Pane view and select Duplicate Slide.
- Select a slide thumbnail in the Slide Pane and use the keyboard shortcut Ctrl+D.
- Select the slide thumbnail in the Slide Pane and hold down the Ctrl key while dragging with the pointer to drop to a new location.
- More than one slide can be selected by clicking a slide with the pointer, and then clicking a second or more slides while holding down the Ctrl key. The slides can then be duplicated by dragging with the pointer while holding down the CTR key.
Also note:
Slides can also be reused by copying and pasting – you can use the smart tag drop-down arrow to select from various paste options.

- 00:10 Because if you've got beautiful slides laid out,
- 00:12 whether you've got charts on them or graphics or
- 00:14 complex animation sets, it makes sense to reuse slides where you can and
- 00:19 move them around in your presentation rather than creating new stuff.
- 00:23 Now I've got a presentation that needs a bit of work.
- 00:25 It's got a formatted chart and it's got animation applied to that.
- 00:28 I have a table where I can start entering some content,
- 00:32 as well as the suggested SmartArt diagram.
- 00:36 Now, I'm particularly interested in the chart because if I go into reading view,
- 00:40 which is running a presentation in the window,
- 00:42 I get the chart animating in by category, category, category, category.
- 00:48 And I may have done quite a bit of work to actually produce this chart.
- 00:52 The really good thing is it's so
- 00:53 easy to duplicate that slide through a number of mechanisms.
- 00:56 First in our slide thumbnail here, and if you can't see this particular
- 00:59 view go to the view tab and make sure you click on the Normal View.
- 01:03 You can right-click on the thumbnail and go Duplicate Slide.
- 01:07 And you can have exactly the same slide with placeholders and charts.
- 01:11 And all of the customization that's been done to it as well,
- 01:14 as the same animation's already set up ready to go.
- 01:17 So delete that slide with the keyboard delete key.
- 01:20 You can also go Ctrl+D on the keyboard, and make sure you've got
- 01:23 the slide selected when you do that or you'll get a different result.
- 01:27 And Ctrl+D is the keyboard shortcut to duplicate whatever is selected, and
- 01:32 it works in most cases.
- 01:34 So you hit the delete key.
- 01:36 And in fact you can drag the slide to a new location holding the Ctrl key, and
- 01:41 that duplicates the slide as well which is very handy, I use it all of the time.
- 01:45 If we go to our slide sorter view, we can see our four slides.
- 01:49 So this particular slide I can go Ctrl+D and there it is, so
- 01:53 let's delete that slide again.
- 01:56 I can also drag and drop to duplicate.
- 01:58 So if I drag to a new location, it changes the order of the slides, but if I hold
- 02:03 the Ctrl key while I drag and drop, it's duplicated to that new location.
- 02:08 And I'll just leave it there and there are all of our slides.
- 02:12 Now this also works on more than one slide at a time.
- 02:15 I can select a slide with a mouse, hold the shift key and
- 02:20 select all of those slides.
- 02:22 And go Ctrl+D and the whole sequence is duplicated.
- 02:27 Ctrl+Z to undo.
- 02:29 With these slides already selected I can drag,
- 02:32 hold the Ctrl key, and drop and they are duplicated as well, undo.
- 02:37 Now I can do exactly the same thing with slides that are not side by side or
- 02:41 part of the same sequence.
- 02:43 So it's like this slide, hold the Ctrl key and this one Ctrl+D to duplicate.
- 02:50 There they are.
- 02:51 Ctrl+Z to undo.
- 02:53 But also if I click with a mouse and drag to a new location holding the Ctrl key,
- 02:58 they're duplicated when I drop as well.
- 03:01 Now the good thing about duplicating slides is not only are the objects on
- 03:04 the slide duplicated, but so
- 03:06 are any of the objects that are animated as well as the slide transitions
- 03:11 assigned to the slide will be applied to the duplicated slides as well.
- 03:15 So we can check that by clicking this little animate icon under the original
- 03:18 slide with the chart and that fires the animation preview on that thumbnail.
- 03:24 When we do the same under the duplicated slide, we get exactly the same animation
- 03:28 sequence. Note also that you can copy and move slides from one presentation to
- 03:32 another and that's the subject of another video.
- 03:35 So always consider duplicating your slides within a presentation to save time at work
- 03:39 in design and construction.
- 03:42 It allows you to duplicate slides that may contain charts or
- 03:46 tables or SmartArt diagrams, as well as the animations and
- 03:50 the transitions also duplicate with the slide, if they're applied to it.
- 03:53 But you can also copy and paste.
- 03:56 And that allows you to have the option to select the formatting from either
- 03:59 the source presentation or the destination presentation within presentations.
- 04:06 So whether you duplicate slides within a presentation or
- 04:09 between presentations, it'll save you time, and it's well worth exploring.
