Setting up Todoist Projects
Creating projects inside Todoist is the bread and butter to keeping your account organized and on track.
Using Todoist projects will allow you to organize your next actions, plan future tasks and progress with each project you are working on. Projects also provide templates, email abilities, and calendar functionality, so you never miss a beat. Whether it's a small project with a startup or a larger project with a big agency, everything can be easily organized into Todoist.
When to use
- For those teams who want to organize projects between colleagues
- For individuals who are planning their own projects
Instructions
- Create a new project
- Add title to new project with the "Add project" button, choose a colour
- Start adding tasks
- Add labels and due dates
- When creating a new task, use keys Ctrl + Arrow right or Cmd +Arrow right to make it a sub-task
- Create headers by ending the task in a colon
- Add #projectname to send it straight to a certain project
- In comments, you can also include voice recordings, files and emojis

- 00:12 As we talked about in the last feature, the Inbox is an important function.
- 00:16 I use Inbox across my day to clip certain items that I want to remember,
- 00:21 or have ideas, or research, or links or absolutely anything, so
- 00:25 that I don’t necessarily have to focus on it and my routine.
- 00:29 So I could just focus on these tasks here and
- 00:32 as you can see today is a very core part of that.
- 00:35 Now you’re probably wondering what are these things along the side?
- 00:38 They are projects, these are all tasks.
- 00:41 However, I associate most of my activities to projects.
- 00:45 And that's a good thing because they are a way for
- 00:47 you to organize all of your work.
- 00:49 You're probably quite confused because these little things called
- 00:52 emojis are here.
- 00:53 That is a custom set up that I've created,
- 00:55 which I'll explain in the full demo at the end.
- 00:58 However, when you get started you won't have all of these icons,
- 01:02 I'm sort of teasing you here, but you will be able to add them in a later date.
- 01:06 The cool thing is as you can see all the projects down the side, I'm able to create
- 01:10 projects from everything from Home all the way to YouTube, and
- 01:14 the specific projects I do, for example GoSkills.
- 01:17 It's a good way to have the system,
- 01:19 all you have to do to create a new project is hit the Add Project button.
- 01:23 Once you're on the Add Project button you can choose from a range of
- 01:27 colors to set you off.
- 01:28 There will be less colors because I'm on premium at the moment, but
- 01:31 there will be enough cause for you to enjoy the experience.
- 01:34 So as you can see, red kicked you off, and
- 01:37 you can have something like movies to watch, and that's a nice starting point.
- 01:42 Once you created a project you have this base, and
- 01:45 what's cool about the base is you can move it around, you can even add it into
- 01:50 the list I have here so that it's like nestled down in there which is very handy.
- 01:56 Now the cool thing with the project is you can obviously add more projects,
- 02:00 you could edit the project.
- 02:01 You can share the project, which we'll talk about in the next feature.
- 02:04 But once you have a project ready you can start adding tasks.
- 02:08 There's lots of different things you can do inside Project.
- 02:11 You can add sub-tasks, say for example if I had Book cinema trip,
- 02:16 I add a priority 3 to it, you can add sub task.
- 02:19 So what we have to do is press Cmd on Mac or Ctrl and
- 02:23 then right and then bring it in line.
- 02:25 So for example, I wanna want to go and see Alien Covenant and as you can see
- 02:30 it's brought that out there, so I have that as a sub task inside here.
- 02:35 So that’s something that you can create inside of your projects.
- 02:38 Now, if I wanted to associate this to a due date,
- 02:41 all I have to do is choose a due date using the calendar feature.
- 02:45 There's a few pre-created ones up here, like today, tomorrow, next week,
- 02:49 in a month, no due date, and you can even have once like every two weeks for
- 02:54 example, but I'm gonna explain that in a future video.
- 02:56 So, let's say I wanna book the cinema trip tomorrow, once I click save,
- 03:00 it comes up tomorrow and it will give an indication of all the tasks I've got,
- 03:04 how many days are left and how many tasks are due on that day.
- 03:07 Now it's very cool 'cause once you create this project,
- 03:10 you could have a lot of different tasks, you can have headers.
- 03:13 These are almost headers, however, you can have headers, say for example,
- 03:16 if I put header with colon at the end of it, it has no tick box which is cool.
- 03:22 So I could add some other items to it, like Organize to go to cinema,
- 03:28 and it would go below it, but without having a tick mark.
- 03:31 So that's a cool other way that you can enhance your projects.
- 03:34 I really like the way that to-do-list has laid this out, and
- 03:37 it's a very simple experience.
- 03:39 The good thing is you can have as many projects as you like,
- 03:42 it's really simple to get them started.
- 03:44 And once you're happy, let's say I've added a movie like Wonder Woman,
- 03:48 'cause that's out at the moment, to my Inbox.
- 03:50 All you have to do is use the hashtag feature and
- 03:53 type in, there you go, and you can bring it straight to the project.
- 03:57 As you can imagine, it goes straight down into your project and is a good way
- 04:01 to bring everything from Inbox all the way over to your specific folders.
- 04:05 It's actually a very formative way of doing this, so
- 04:08 there's lots more different hacks that you can use.
- 04:10 You got project comments up here as well so you can actually enhance it by
- 04:14 adding any voice files and also emoji here to add any projects and any comments too.
