Quick reference

This is where you'll find a blend of action item and list items.
When to use
This menu can be used for a variety of actions but is most useful for list items such as the customer (or vendor) name and transaction list.

We are covering the basics and as such, I'll be skipping some of the menu options. I want to show you the commonly used options:
- Banking
- Banking
- Rules
- Receipts
- Expenses
- Expenses
- Vendors
- Sales
- Overview
- All sales
- Invoices
- Customers
- Products and Services
- Reports
- Accounting
Hints & tips
- If you're going to create a sales receipt, an invoice, or write a check, it's faster to use the Quick Create (plus sign) in the upper left hand corner
- If you want to see the history of a specific customer, click on Sales --> Customers
- If you want to see the history of a specific vendor, click on Expenses --> Vendors
- If you find yourself looking up data you find within one of these menus on a regular basis, bookmark it within your internet browser
- 00:04 In this video, I want to talk to you about the left navigation bar.
- 00:08 On the left-hand side of our screen we have a navigation menu.
- 00:12 We've already talked a little bit about the plus sign in the upper left-hand
- 00:16 corner and I like to think about is the action items or
- 00:19 I want to do something place within QuickBooks.
- 00:22 The left-hand menu has a handful of things that I think are really useful and
- 00:26 sometimes get overlooked.
- 00:28 The dashboard you already know that's what we're looking at here.
- 00:31 Anytime you're somewhere else,
- 00:33 if you click on Dashboard it takes you back to this.
- 00:36 It's not necessary to come back to this to do stuff,
- 00:39 it just is a shortcut to get here.
- 00:42 So the first option we have is banking.
- 00:45 When I click on banking or if I hover over banking,
- 00:48 I get a little pop out to the right and my options are banking rules and receipts.
- 00:53 So banking says take me to the list of my downloaded banking transactions.
- 00:58 I'll click on that and show you.
- 01:00 So right now, I have this downloaded transaction,
- 01:03 it's the Alaska Airlines credit card.
- 01:05 If I had more bank accounts, I'd see them tiled across the top.
- 01:09 When I click on banking, and
- 01:11 instead I choose rules, it's going to take me to my list of rules.
- 01:14 And then banking receipts takes me to my list of receipts.
- 01:18 Thank you get the idea.
- 01:20 Behind expenses, I have two things.
- 01:22 I have expenses and I have vendors.
- 01:25 When I click on expenses, it's going to show me my most recent transactions or
- 01:30 my most recent expenses.
- 01:31 When I click on expenses and then vendors,
- 01:34 it's going to show me a list of my vendors.
- 01:37 So right now, I don't have any.
- 01:39 Let me add one manually so that I have an example to show you what this looks like.
- 01:44 This is what it's going to be like for you.
- 01:46 You're going to set up a QuickBooks file,
- 01:48 you're not going to have any vendors to start with.
- 01:50 So I just made a vendor called sample vendor.
- 01:52 We're going to see this in more detail later, but
- 01:55 I want you to see what it looks like now.
- 01:57 When I click on sample vendor,
- 01:59 I can see a history of anything that's pertains to sample vendor.
- 02:03 As my vendor list grows, I might find that I want to bounce back and
- 02:07 forth between different vendors.
- 02:09 One way to do that is to click this little hamburger on the left, and
- 02:14 then expand and my list of vendors will be down here.
- 02:17 So sales reps much like vendors got a handful of things, invoices,
- 02:22 which is kind of helpful if you want to look at a list of your recent invoices.
- 02:27 And then, customers just like vendors I'll have right
- 02:30 now nothing's we'll add a manual customer.
- 02:33 We'll call them sample customer.
- 02:37 And so see how it looks just like the vendors and
- 02:40 then I click this little hamburger on the left.
- 02:42 Once we start making invoices, we'll come back to this and I'll start to fill in and
- 02:47 start to look a little bit more interesting.
- 02:49 But it's still important to see it the way you're going to see it when you set up
- 02:53 your QuickBooks.
- 02:54 On the left-hand side, I'm going to skip down.
- 02:57 I want to show you reports.
- 02:59 When I click on reports, I get a handful of things,
- 03:02 the first thing I have is a box that's called favorites.
- 03:05 The favorites box represents any reports that have a green star to the right
- 03:10 of them.
- 03:10 So if I put a green star it just pops that report up there.
- 03:14 So we'll talk about reports in more detail in a later lesson, but
- 03:17 I wanted you to see this is what the report screen looks like.
- 03:20 It's nothing scary or intimidating.
- 03:22 You get to navigate from here and look at whatever you want.
- 03:26 I'm not going to talk about taxes, but
- 03:28 I do want you to know taxes just means sales tax.
- 03:30 It does not mean federal taxes.
- 03:33 Mileage just means mileage, you can use mileage here by entering your mileage.
- 03:39 So you could say I'm add a trip, today I went from here to here, and
- 03:43 this is why, it's business or personal.
- 03:46 You can also download the QuickBooks apps for your phone, and
- 03:50 track your mileage that way.
- 03:52 When we get a little bit further down, we have this accounting tab.
- 03:55 When I click on or hover over accounting I have two options.
- 03:59 I have Chart of Accounts and I have reconcile.
- 04:02 So Chart of Accounts means show me a list of the accounts that I have within
- 04:06 QuickBooks.
- 04:07 All my income accounts, all my asset accounts, all my expense accounts.
- 04:11 All the accounts below that is reconcile,
- 04:13 reconcile might sound familiar to you we'd looked at that earlier.
- 04:18 The other way to get a reconcile is to click the gear in the upper right-hand
- 04:22 corner.
- 04:23 And you'll see reconcile under the columns for tools.
- 04:26 That's to route so same place.
- 04:29 One is not better than another, little bit further down I have this option for apps.
- 04:34 Apps is kind of cool.
- 04:36 This is the same thing as a website called apps.com.
- 04:39 Apps.com is just it's QuickBooks version of the iTunes Store or
- 04:44 the Google Play Store, it's a place you can go to get third party applications.
- 04:50 And so when I look at it here, it's just kind of it says here's the recommended
- 04:54 apps and here's how well people have reviewed them.
- 04:57 It's exactly the same as going to this website.
- 05:00 If you're ever looking for something to make your QuickBooks do something that's
- 05:04 not currently doing or do it better than it's currently doing.
- 05:07 You can search in here.
- 05:09 So for example, I'm going to search receipts.
- 05:12 When I type in the word receipt,
- 05:14 I have a whole bunch of things that I can choose from.
- 05:17 Maybe I'm not thinking about receipts, maybe I'm thinking about inventory.
- 05:21 I was going to search inventory and there's a bunch of inventory options here.
- 05:26 If you subscribe to the QuickBooks plus or advanced edition,
- 05:29 you definitely have some inventory built into the software.
- 05:33 But maybe the inventory is built in isn't the right fit for you, or
- 05:36 maybe you have a lower edition of the software, but you still need inventory.
- 05:40 You can get a third party app to take care of that for you.
- 05:44 So when I search inventory within the QuickBooks online software a 50 results
- 05:48 for inventory.
- 05:49 If I go to apps.com, and I do the very same search, if 75 results for inventory.
- 05:57 What I'm looking at these results, I can click on Load More This is really great.
- 06:02 When I click on these results, I can sort by relevance and
- 06:05 I can also filter by star rating.
- 06:08 So between the two you will be able to figure out what you are looking for.
- 06:11 Unfortunately, and I do not know why not.
- 06:14 The feature of this isn't merged with the website, and
- 06:18 the website yields more results than within the software.
- 06:22 You do not need to get a third party app to go with your QuickBooks Online.
- 06:26 I just wanted you to know about some options of things you can do to make your
- 06:30 QuickBooks Online more robust.
- 06:32 If you need something that it doesn't currently provide for you.
