Accessing a SharePoint Site
Learn how to access SharePoint Online via a web browser and Microsoft 365.
When to use
Access SharePoint Online whenever you want to build a team site.
Instructions
To access SharePoint Online you will need a Microsoft 365 Business Basic, Microsoft 365 Business Standard, or Microsoft 365 Business Premium subscription.
To login to Microsoft 365:
- Open a web browser of your choice.
- In the address bar, go to www.office.com
- Click the Sign in button.
- Type your username and password.
Launch SharePoint Online:
- From the Microsoft 365 start screen, click the App Launcher in the top left-hand corner.
- Select SharePoint from the list of applications.
Hints & tips
- When signing into Microsoft 365 you may be required to authenticate your login credentials using the Microsoft Authenticator app. This app can be download onto your phone via the Apple Store (IOS) or Play Store (Android).
- SharePoint Online works best when using a Microsoft web browser such as Internet Explorer or Edge.
- 00:04 SharePoint is a web-based application.
- 00:07 And so we access SharePoint through a web browser.
- 00:11 And because SharePoint is a Microsoft tool then they do tend to like you to use one
- 00:16 of the Microsoft browsers, so something like Internet Explorer or Microsoft Edge.
- 00:22 And throughout this course, I'm going to be using the Microsoft Edge browser.
- 00:26 Even if you use something else like Google Chrome or Firefox, or
- 00:30 maybe Mozilla, that is absolutely fine.
- 00:32 But I do tend to find that when it comes to this type of Microsoft
- 00:36 online application,
- 00:38 it does tend to work a little bit better if you use one of the Microsoft browsers.
- 00:43 But I'll leave that choice entirely up to you.
- 00:46 Now when it comes to accessing a SharePoint site,
- 00:48 there are a couple of different ways that you can get into SharePoint.
- 00:52 The first method is to use a direct link.
- 00:56 And that might be a link to a site that somebody has sent you.
- 01:00 So maybe they've emailed you the link to the site, or
- 01:03 maybe they've posted it in a channel in Teams, something along those lines.
- 01:08 And if you have been sent a link to a SharePoint site, you just need to click it
- 01:12 and as long as you've been given access to that site by the administrator,
- 01:16 you should be able to jump straight into the SharePoint site.
- 01:20 Now when I say link I mean this up here.
- 01:23 So I'm in my practice site.
- 01:26 And if you take a look in the URL bar at the top,
- 01:29 that is the link directly to this site.
- 01:32 So if I want my colleague Mary down the corridor to add some content
- 01:36 into this site, I can just email her this particular link.
- 01:40 Now the other way to access SharePoint if you don't have a link is simply through
- 01:45 the Microsoft 365 online portal.
- 01:48 Let me show you what I mean.
- 01:50 Now if you are a Microsoft 365 user,
- 01:52 then you should be fairly familiar with logging into the portal.
- 01:55 If you go to office.com, login with your credentials, your email address and
- 02:00 your password, it's going to take you to the Office 365 start screen.
- 02:05 And this is where you can access all of your Office applications.
- 02:09 And you can see them, they're running all the way down the left hand side.
- 02:12 And the applications that you see here really do depend on the type
- 02:17 of Microsoft 365 subscription that you have.
- 02:20 So just for your reference, I'm using a Business Standard account.
- 02:25 So in this big long list of applications just over halfway down,
- 02:29 I can see SharePoint.
- 02:31 If you're finding it a little bit difficult to see it,
- 02:34 click on the App Launcher at the top.
- 02:36 And then I can see, there we go, SharePoint in the middle, click it and
- 02:41 it's going to take me directly into SharePoint.
- 02:44 I'm now at the start screen and
- 02:46 I can choose which one of my SharePoint sites I'd like to jump into.
