Join Teams and Work with Files
Learn how to join existing teams and manage files within teams and channels.
When to use
We join teams and access team files when we have an interest in the subject matter of the team.
Instructions
The file-sharing library in Teams is simply an extension of the document libraries we see in SharePoint and Outlook.
- Open Teams from the App Launcher
Many teams are linked to Microsoft 365 groups. When someone creates a new team in Teams, an Outlook 365 group is automatically created.
However, this does not work the other way around. If we want to create a team based on an existing Microsoft 365 group, we need to create the group first and link it to the team.
Join a Team
We can join public and private teams in Microsoft Teams. To join a private team, we need to receive an invite from the team owner. Public teams are available for anyone to join.
Join a Public Team
- Click Join or create a team
Public teams will be shown in the list.
- Click the Join button to join the team
Join a Private or Public Team with a Code
We can join a team by using a unique code that is specific to the team. Team owners have access to the code in settings.
- Click on the three dots next to the team name
- Select Manage Team from the list
- Click Settings
- Expand the Team code section
- Click Generate
- Copy the code and paste into an email
Once the recipient has the code they can simply paste it into the Enter code field and click Join team.
Share Files with Channel Members
- Click on the channel
- Start a new conversation
- Click the paperclip icon
- Attach a link or copy of the file
- Click Send or press Enter
Files that we've shared in Teams channels are accessible under the Files tab at the top of the channel.
The file library in Teams has the same structure as the file libraries in SharePoint and Outlook groups.
- Select any file
Notice the horizontal menu bar at the top with more options.
Upload Files into a Teams Channel
- From any teams channel, click the Upload button
- Choose what to upload (File, Folder, or Template)
- Select the file, folder, or template to upload
- Click Open
Uploaded files will synchronize and be available in corresponding Microsoft 365 groups.
Share Files in Private Chats
- Click on Chat
- Start a new conversation or select an existing conversation on the left
- Click the Attach button to upload a file
- Click Send
Files shared in a private chat are only accessible to the people in the chat conversation.

- 00:11 So I've opened up Microsoft Teams.
- 00:13 I'm currently clicked on Teams, and I can see a list of all of my teams in here.
- 00:17 And as we know, many of these teams are linked to Microsoft 365 groups.
- 00:23 When someone makes a new team or creates a new team,
- 00:28 that team is automatically going to show up as a group in SharePoint or
- 00:33 Outlook, or we can connect a team to an existing group.
- 00:38 And we've seen how to do both of those things in previous lessons.
- 00:41 Now, in general, I would say that most people don't create their own teams,
- 00:46 most of the time that people join existing teams.
- 00:49 And to join a team, it's a simple case of clicking Join or
- 00:53 Create a Team at the bottom.
- 00:55 And then any public teams will be shown here, for
- 00:58 example, Friday lunch club, and you can choose which ones to join.
- 01:02 So I can simply click on Join Team.
- 01:05 Now the other way to join a team is with a code.
- 01:08 So if you are the owner of a team, you can generate a unique code,
- 01:12 which you can then give to specific people, and invite them to that team.
- 01:17 And this in general applies to private teams.
- 01:20 So, let me just show you where you go to generate that code.
- 01:23 Now I'm going to use Project Alpha as an example.
- 01:26 If we click on the three dots next to the team and go to Manage Team,
- 01:30 the Settings tab is where we're going to be able to generate this code.
- 01:35 So if we expand the Team code section and click the Generate button,
- 01:40 this is the unique code for that team, we can then copy it, paste it into an email.
- 01:45 And then for that person to join the team, they just click on Join or
- 01:50 Create Team, and paste the code into here and then click Join team.
- 01:54 So a couple of different methods there when working with existing teams.
- 01:58 Now when it comes to working with files within a team, and we're just going to
- 02:03 choose this first team up here as our example, Sales and Marketing.
- 02:07 You can see that this team has three different channels.
- 02:10 Let's choose the Marketing Team channel.
- 02:13 If I want to share a file with the members of this channel,
- 02:17 I can start a new conversation, and I can then type a message, hello,
- 02:22 file for your review, and then I can use the paperclip icon to attach a file.
- 02:27 And you can see here I can choose from recent, I can browse teams and channels.
- 02:30 So if this file has been shared elsewhere within Teams, I can pick it up from there,
- 02:35 or I can go to OneDrive, or I can upload it from my computer.
- 02:39 So let's attach a file from OneDrive, and
- 02:41 we're going to use product list as our example.
- 02:44 So let's select it, and I can choose to share a link.
- 02:47 So again, if I share a link, it's going to link people through
- 02:52 to the original copy saved in OneDrive, or I can share a copy.
- 02:56 Now when you share a copy, people are working on a copy of the spreadsheet, so
- 03:00 it doesn't affect the original that's stored in OneDrive.
- 03:04 So I'm going to say, Upload a copy.
- 03:06 There it is, and I can simply send that through.
- 03:09 So now any of the channel members can simply open the product list from here by
- 03:14 clicking on the file, or alternatively,
- 03:16 we have a files tab at the top of every single channel,
- 03:19 which is going to show any Files that you've shared within that channel.
- 03:24 So there is product list.
- 03:26 And you should start to notice something quite familiar.
- 03:28 We have the same structure that we have when we're looking
- 03:32 at SharePoint File Libraries, Outlook groups, and also OneDrive files.
- 03:37 I can select the file, I can open it, I can share it, I can copy the link,
- 03:42 and then again, I have more options underneath the ellipses.
- 03:46 And much the same as those other applications,
- 03:49 we can even create new files from directly within here as well, or
- 03:52 we can upload any files that we have saved off locally.
- 03:55 Now, if we scroll back to the Project Alpha General channel and
- 04:00 go to the Files tab, you can see in there those three files.
- 04:04 Now, what I could do from here, is I could say Upload, I'm going to say Upload Files,
- 04:10 and I'm going to upload the file that we created earlier, Deb Test.docx.
- 04:14 So if I click on Open, that's going to upload that file into Teams, and
- 04:18 now everybody who's a member of that channel, has access to the Deb Test file.
- 04:23 And if we go back to Outlook, and click on the Project Alpha group,
- 04:28 and from here go to the Group Files, there is the Deb Test document.
- 04:34 So everything all links through.
- 04:37 Now, one part of Teams where sharing files does work slightly differently is when it
- 04:41 comes to private chats.
- 04:42 So, so far we've been working in our public channels, but
- 04:46 if we go to Chat at the top here,
- 04:48 this is where we have private chats with other members of the team.
- 04:52 For example, you can see here that I've been having a conversation with Adele.
- 04:57 Now if I share a file in a private chat with just Adele,
- 05:00 she is the only one who has access to that file other than myself.
- 05:05 And we would share a file in exactly the same way by clicking in the new
- 05:09 conversation field at the bottom, we can then click on the paperclip icon,
- 05:13 and I can choose to attach cloud files.
- 05:15 So if I want to use product list as my example again,
- 05:18 I can click on Attach and then send that message through to Adele.
- 05:23 And we can see all of the files that we've shared backwards and
- 05:26 forwards with each other by again clicking on the Files tab at the top.
- 05:30 You can see there is the product list.
- 05:32 And if we shared other files in this conversation,
- 05:35 we'd be able to see those there as well.
