Organize with Page Groups
This lesson will show you how to manage the pages and page groups within OneNote.
When to use
As you use OneNote more and more, you will be able to organize and grow your notebook by adding more pages.
Instructions
- Go into the OneNote program
- Open the Quick Notes notebook
- Notice the pages on the right side of the window
- You can click "Add a New Page" to add pages to your notebook
- You can right-click on a page name to rename it or delete it
- You can also change the name of the page by typing into the title of the page on the left
- You can right-click on a page name to make a subpage, which is then called a Page Group
- The section can have as many pages as you want

- 00:08 So I can just click on add a page here.
- 00:12 And then now, whatever you type here will be the page name but
- 00:16 you can also right-click on that page and rename it there.
- 00:20 So this for this one, I'll call it page 2 and so on, right?
- 00:25 So you can see I can add a page here.
- 00:28 Now, if you notice when I move the mouse over here, move it to Page 1, I can just
- 00:33 pick on that plus sign, that comes up and that'll be another way to add a page.
- 00:38 So now, I'm going to call that one Page 3.
- 00:44 And then of course if I wanted to drag the pages, I pick up page 3,
- 00:49 and just drag it below page 2.
- 00:51 So I can right-click on those pages, rename them, delete them,
- 00:56 cut the page, copy it, paste it and then this will be linking
- 01:01 that page to a different workbook, if you wanted to do that.
- 01:05 And then we can move or copy the entire page.
- 01:08 Also, if you've right-click over here, you can add a new page.
- 01:12 And then there's another way to add a new page.
- 01:15 And then even here, if I move my mouse and click on page 1,
- 01:17 I get this extra plus sign, where we can add a page there as well.
- 01:21 Now, let's talk about making page groups.
- 01:25 So, let's say for word, I want to separate them between beginner,
- 01:29 intermediate, and advanced.
- 01:32 So, what I'm going to do is, let's say, for
- 01:36 page 1, I'm going to rename that and
- 01:40 I'm going to call that one, beginner, all right?
- 01:46 Now, I want page 2 and page 3 to be part of the beginner page.
- 01:53 So actually what you do is you make them into a subpage.
- 01:57 So I'm going to right-click on the page 2 and I'll make it a subpage.
- 02:02 And see how page 2 is now indented, in the beginner page.
- 02:06 So here, we just made a page group to further separate the pages.
- 02:12 I'm going to right-click on page 3, and I'll make that a subpage, okay?
- 02:17 So then I'll add another page here and I'll call this one intermediate.
- 02:26 Good?
- 02:27 So there I'm going to right-click on it, or
- 02:30 just add a page here and I'll call this page 4.
- 02:34 But watch, I'm going to right-click on page 4 and I'll make that a subpage.
- 02:39 And now, page 4 is within the intermediate page.
- 02:45 So this is a way to kind of categorize the pages themselves and
- 02:50 these are called page groups.
- 02:53 Let's do another one, on another page and
- 02:57 I'll type in advanced, all right?
- 03:02 We'll just add another page here with the plus sign.
- 03:05 And let's say I'm going to call that one, page 5.
- 03:11 Just watch again, I'm going to right-click there and I'll say make a subpage,
- 03:15 I'll add another new page.
- 03:18 And notice when I did it that time, it made the new page automatically
- 03:23 a subpage of the advanced page just because of the way I did that.
- 03:28 And then I'll type in page 6 here and so on, okay?
- 03:32 So, by the way, if you didn't want that to be a subpage anymore,
- 03:37 I can right-click on page 6 and then I can make a subpage even of page 5,
- 03:43 so I can go down multiple levels.
- 03:46 Or if I want that, to make that a main page again, I would promote it and
- 03:50 then now it's back to being a main page, right?
- 03:53 But let's put that back to being a subpage as you can see.
- 03:57 So the section can have as many pages as you want.
- 04:03 And then the pages can be broken down into subpages,
- 04:06 which makes the page groups and then you have a way to navigate those as well.
