Recall a Message
Recalling a message is reversing the send process and stopping the email delivery.
When to use
Sometimes a message has to be pulled back to correct details or stop an announcement. This lesson shows you how to quickly get a message back.
Instructions
Recall a Message
- Click your Sent folder.
Recall only works on messages that have been “sent”. So first find the folder that contains the sent email; most likely it is in the Sent Mail folder.
- Open (double click) the message to be recalled.
- Click the File ribbong, then the 'Message Resend and Recall' button.
- Select 'Recall this Message...'
- Confirm the settings and click OK.
Hints & Tips
To get the button onto the Quick Access bar:
- Open any “sent” email (because the Quick Access options are different depending on the type of email.)
- Click the drop-down arrow at the end of the Quick Access Bar.
- Choose More Commands.
- Select Recall This Message and double-click it so it appears on the right side list of options.
- Click OK.
- You should now see the button added to the Quick Access bar.

- 00:34 Now, I want to be clear about this, there are two ways to do it, a short way and
- 00:39 a long way, then you can customize and make it even faster.
- 00:42 All right, let me show you the short way first.
- 00:45 I've got the message I want to recall open.
- 00:47 I come up to the ribbons, and believe it or not, under File, when I click on File,
- 00:53 here we have a button right here, Message Resend and Recall.
- 00:57 Hit that, recall the message, there we go, all right?
- 01:02 So that was the short way.
- 01:04 Now, we have a longer way.
- 01:07 On the Message ribbon up on top, we need to find the Move group.
- 01:10 You're not going to find it very quickly, it's right over here,
- 01:14 about halfway over, and now we need to find the one that says Recall.
- 01:17 So I'm floating my mouse looking for the one that says Recall a Message, and
- 01:21 there isn't one.
- 01:22 I have to hit the More Move Actions, there's the Recall This Message.
- 01:27 And now, let me show you how to customize this.
- 01:30 It is my highest recommendation right now when you're nice and
- 01:33 calm and just practicing, you also hit a right click.
- 01:36 We will add this button to our Quick Access Toolbar,
- 01:39 you're going to see it show up right over here on the QAT.
- 01:42 It might be above the Message panel on your screen.
- 01:46 But I'm going to hit Add to Quick Access Toolbar, and now,
- 01:49 I have a Recall this Message.
- 01:50 You see, I just eliminated a lot of panic time in the future.
- 01:54 If I ever need this again, I won't have to find Move, hit a drop-down and
- 01:58 find Recall, it's happening right here.
- 02:01 All right, I'll go ahead and
- 02:02 hit this button so you can see what's going to happen, Recall This Message.
- 02:06 Now it says, some recipients may have already read the message.
- 02:09 So if you're within a corporate environment, you're using the intranet,
- 02:14 you'll be able to recall them and have the options to delete the unread copies.
- 02:18 But if I'm outside of corporation,
- 02:20 there's no way I'm ever going to be able to recall that, it's a done deal.
- 02:24 I would rather just send a second message and apologize,
- 02:28 rather than go to the work of recalling.
- 02:31 Just so you know, every once in a while, it's okay to recall a message,
- 02:35 it is going to make all the end users curious, and
- 02:38 they're going to compare line item by line item to see what you messed up.
- 02:42 Honestly, the safeguard is, don't fill in the To line or
- 02:45 the CC line until you're absolutely sure.
- 02:47 Double-check everything, check your calendars, check your steps,
- 02:51 make sure everything is correct before you hit that Send button, good luck.
