Email Options
Email Options are for new messages and include features like: Voting Buttons, Delay Delivery, Expiration, and Delivery/Read Receipts.
When to use
Although these features are useful, they are not well known and are only used occasionally. But they are worth learning so you can be ready when you need them.
Instructions
Explore the Email Options
- Open a New Email window and click the Options ribbon.
If you’d like to practice, address the email to yourself so you can view the results.
Turn on the BCC (Blind Courtesy Copy) and FROM buttons. These will stay on for future emails unless you specifically turn them off again.
- Click Use Voting Buttons and choose one of the selections or click Custom.
- Enter the custom choices separated by a semi colon ;
- Click CLOSE and you will see a confirmation on your email.
- When the email is sent the recipients will see this:
- And after they make their selection, you will receive an automatic reply with this message:
- Activate the Read & Delivery Receipts.
- Read Receipt.
- Delivery Receipt.
- Save Sent Item To allows you to save to a selected folder.
- Delay Delivery allows you to type emails ahead of time, but have them delivered at your specific time.
- 00:04 All right, let's review some email options, and
- 00:07 that is technically the name of the ribbon.
- 00:10 It's only in a brand new email though, right?
- 00:12 You're not going to find email options in Outlook proper,
- 00:15 you must click the New Email button.
- 00:17 And now at the top we have a ribbon that just says Options, and
- 00:20 we're just going to go through this list.
- 00:23 On the left hand side we have Themes,
- 00:24 now themes are going to add color to the background, certain fonts, certain colors.
- 00:29 Now remember, if you're sending an email into a corporate environment, they're
- 00:32 going to wipe it clean of all the stuff anyway so it's mostly a waste of time.
- 00:36 I'm not going to spend any time on themes.
- 00:39 I am going to spend time though on the next options of the Bcc and the From.
- 00:43 Now, the To line means who would you like to address it to.
- 00:47 The Cc means, courtesy copy.
- 00:50 Who would you like to Cc on this?
- 00:52 But the Bcc, that means Blind Courtesy Copy.
- 00:56 The Bcc line will not be viewable to the To and the Cc.
- 01:01 They will not know that you put a Bcc on it.
- 01:04 For instance, when my kids were in school and
- 01:07 if I had to write an email to the principal of the school or a teacher.
- 01:11 I would Bcc my husband's email address to keep him in the loop, but
- 01:15 I certainly didn't want them emailing him directly back to his work.
- 01:19 So, this is a way for
- 01:20 me to keep that person in the loop without everyone else knowing that, all right.
- 01:24 Now, the subject line whatever, so the Bcc,
- 01:27 you can leave that on all the time or you can turn it off but
- 01:30 the thing is when it is checked, or when it is selected it will always stay on.
- 01:35 Now the From line, I can turn that off or on.
- 01:37 Well, I have multiple email addresses, so when I click on the From line I can choose
- 01:42 which email address do I want this to be send from.
- 01:44 Now, if you don't have multiple email addresses,
- 01:46 you'll just turn that thing off.
- 01:48 Maybe you only want to use Bcc once well turn it off,
- 01:51 it shortens its list at the top.
- 01:52 But regardless, it is your personal preference if you show these or not.
- 01:56 We'll have a separate video on voting buttons,
- 01:58 and then we have our request delivery and read receipt.
- 02:01 Now if you want to know if someone has read your e-mail,
- 02:03 go ahead and put a check mark on the Read Receipt but please note.
- 02:07 It is still up to the human being at the other side to say yes or
- 02:10 no to the read receipt.
- 02:12 And I always like to mention,
- 02:13 every once in awhile I don't want that person to know I've read their email yet.
- 02:18 I need a few more hours to research before I get back to them, so
- 02:22 I might just hit No.
- 02:23 All right, and
- 02:24 the Delivery Receipt simply is an email from the actual email system saying, okay,
- 02:29 it was received into their inbox at a certain time, that's kind of nice.
- 02:33 So if you're hitting Read Receipt,
- 02:35 you might as well hit Delivery Receipt as well.
- 02:37 In case they say no to this, you know it landed in their inbox, okay, moving on.
- 02:42 Now we have more options, Save Sent Item To, Delay Delivery, which opens up
- 02:48 a brand new screen and then direct replies to which opens up a brand new screen.
- 02:52 So, that is the same screen, all right.
- 02:55 All of these open up the same screen.
- 02:57 If I hit the tracking dialog box,
- 02:59 if I hit the more options dialog box, they open the same screen.
- 03:03 Here we have all of our settings, our sensitivity,
- 03:05 our security settings, our tracking, where we have our voting buttons,
- 03:09 our delivery receipt, read receipt, and our delivery options.
- 03:13 The only thing they've done is they've added these buttons to the top of
- 03:16 the ribbon, so you didn't have to go in here.
- 03:18 Back in the old days, we had to go into this box to get these items.
- 03:21 Now why would I not want to deliver something before a certain date and time?
- 03:25 I'm a computer nerd, I'm often drafting emails at midnight, and
- 03:29 then the next day I get emails from people, why are you up at night?
- 03:32 Okay, so I hit this, I thought don't deliver till tomorrow morning 8 AM, okay,
- 03:36 so that's how I work.
- 03:38 How about the expires after?
- 03:39 I learned this from a loan mortgage lender once.
- 03:43 And they told me that they send out interest rate percent all the time.
- 03:47 And if people don't open them because they're on vacation, when they get back
- 03:50 they'll see these and want that percentage from last week, that's long expired.
- 03:55 So they'll put an expires after today at midnight.
- 03:59 And then if that email is not opened by midnight of that day, poof gone,
- 04:03 it vanishes from their inbox.
- 04:05 They will never know they ever got that email.
- 04:08 Might be, might be worth it, okay?
- 04:10 What about Save a copy of sent messages?
- 04:13 I always have that marked.
- 04:14 This top one, have replies sent to a certain person.
- 04:19 Maybe you're going to be out of town.
- 04:20 So you're telling everyone, hey, I need to hear back from you by Friday.
- 04:25 They'll just hit reply thinking they're replying to you, but
- 04:27 you've got this set to reply to someone else to handle it while you're gone.
- 04:32 These are great options, wanted you to know about them,
- 04:34 you have to open a brand new email.
- 04:36 Hit the Options button to see them,
- 04:40 but they are worth knowing.
