Quick reference
Calendar Views
Allows you change your calendar to the best view to make your decisions. It is very common to click through the various calendar views.
When to use
When you find yourself searching for an appointment or an open date, changing the view will help zoom into details or give a month at a glance.
Instructions
- On the Calendar screen, on the Home ribbon.
- Locate and click through the Arrange section options, observe the changes.
Visual indicators
- The Folder Pane calendar allows you to click and drag a specific date range to display on your calendar screen.
- The current date is highlighted and bold dates represent appointments.
- On the Monthly Calendar Screen, the current date has a bold line to identify today’s date
- Line marker for current time, on the Week Calendar view.
View multiple calendars simultaneously
- On the Folder list, click the calendars to view.
- Switching to the Day view will position the calendars side-by-side.
- Click the arrows to 'overlay' the calendars.
- Switching to the Schedule View will stack the calendars horizontally.
Weather feature on the calendar
- Click the arrow beside Washington, DC, and select Add Location.
- To remove a city from the weather list, click the drop down arrow and click the X beside the city name.
- 00:05 All right, we're gonna work in the calendar.
- 00:06 Right now, you can click your mouse on the peek pane of the calendar,
- 00:10 also Ctrl + 2 will take you to your calendar in a flash.
- 00:13 Let's take a look at the navigation buttons above it, though.
- 00:16 So you see the calendar on my screen and right above,
- 00:19 we have a little group called the Arrange group.
- 00:22 In here, I can click on Day, Work Week which just shows me Monday through Friday,
- 00:28 my entire week which includes weekends or I can click on the month.
- 00:32 On the month view, my current day or the active cell or active date is a dark blue,
- 00:38 but the current day as in today has a blue line sitting at the top of that date.
- 00:43 That date also shows up as bold.
- 00:46 All right, when I click on my Work Week, notice over on the left hand side
- 00:50 in the small calendar, the Work Week section just lit up.
- 00:54 When I click on the full week, the full week including the weekends just lit up.
- 00:59 When I click on a single day, just that day will light up.
- 01:02 Now, you can actually click and drag inside this calendar as well.
- 01:05 Maybe you'd like to see two full weeks at the same time.
- 01:08 You can click and drag to full weeks.
- 01:10 When you let go, there you have it.
- 01:12 You can even click and drag a Wednesday to a Wednesday.
- 01:16 So the first Wednesday is on the left and the second one is on the right hand side.
- 01:20 All right, to reset everything, it's really quick.
- 01:23 Just hit work week and then hit today up at the top.
- 01:26 And it's very normal to be actively clicking around these section of buttons.
- 01:31 I'm there all the time,
- 01:32 it all depends on what I need to see at that particular moment.
- 01:36 Let's take a look down below this calendar.
- 01:38 We have multiple calendars.
- 01:39 Now you create a new one simply with a right click.
- 01:43 So on the master calendar, I'm going to right click, and
- 01:46 I'm going to create a new calendar.
- 01:49 Way at the top, New Calendar,
- 01:50 and I'm going to type this is my teaching schedule, and I'll click OK.
- 01:54 Now when that opens up, I can activate my teaching schedule and see it side by side.
- 01:59 I can even throw on a third calendar.
- 02:01 They are all color coded for you.
- 02:03 Now this looks a little crazy.
- 02:04 I can hardly read anything in there.
- 02:06 So I'll switch this to single day, and there we have it.
- 02:10 All three calendars, one at a time, side by side to help you schedule.
- 02:15 Now this also works well in the scheduling view.
- 02:18 When I click the scheduling view, they'd lay horizontally across from each other so
- 02:23 you can actually just very easily look down the timelines and
- 02:26 see what's happening.
- 02:27 Okay, I'm going to go ahead and turn off those secondary calendars.
- 02:32 I'm going to reset myself to Work Week and Today.
- 02:36 And I do want to show on the small calendar, notice the bold items.
- 02:40 Those are the items where something has been scheduled, they're bold, and
- 02:44 then the dark blue one is My Today.
- 02:46 All right, another thing on this calendar.
- 02:48 Right above, we have our current date and little arrows so I can click myself
- 02:52 forward, always resetting with the wonderful Today button up on top.
- 02:56 Notice also we have the current weather.
- 02:59 I can hit my drop down arrow and choose a different location, or
- 03:01 I can add a brand new location.
- 03:05 So I'll add Portland, Oregon.
- 03:08 And it has me check that one and there we can see the weather over there.
- 03:12 So if you're traveling a lot or you have other satellite offices,
- 03:16 you can just very quickly check what their weather is like.
- 03:18 If you'd like to get rid of one of those, there's a little X on the right hand side.
- 03:21 When you click X, then now it's gone, completely gone.
- 03:25 All right, that is it for the calendar.
- 03:27 We're going to work more with opening other calendars, right up here, and
- 03:31 changing some settings.
