Quick reference
The only way to share the Task Board or Sprint Board exactly as you see it on-screen is to capture the screen to the clipboard and paste it into your sharing application (like PowerPoint or email). However, you can use built-in reports, create your own, or even sync to the web-based Microsoft product called Microsoft Planner (licensing required).
Steps
To view built-in reports:
- Select the Report tab, locate the View Reports section, and then select the Task Boards icon to find a report that best suits your need.
To create a report that looks similar to the Task Board:
- View the lesson in this training course to learn how to use the report designer.
- Using labels, tables, and filters, create a report that looks similar to the Task Board view.
To share using Microsoft Planner:
- Select the Task tab, locate the Link To section, and then select the Planner icon and follow the provided steps.
- 00:04 Whether you're using the test board or the sprint board,
- 00:07 you may have occasion to need to print this information.
- 00:11 Whether it's to a printer or PDF, or it's a PowerPoint,
- 00:15 when you go to the File menu and choose Print,
- 00:18 you'll notice this text here print is not available currently.
- 00:23 Maybe Microsoft will update that in some future release, but as of right now,
- 00:28 you cannot print the boards.
- 00:30 I'm going to walk you through three ways to share this information
- 00:34 outside of Microsoft Project.
- 00:37 Of course, the first one is easy.
- 00:39 Take a screen capture, put it into Microsoft PowerPoint or
- 00:42 your favorite presentation program and send it off.
- 00:45 Another way to share this information outside of Microsoft Project
- 00:49 is to use the Report tab.
- 00:51 And this I think is Microsoft's preferred way of you doing that.
- 00:55 If you go to task boards here, you'll notice that there's Task and Work status.
- 01:00 Task status, meaning all the details of the task, work status,
- 01:04 meaning all the details of the people doing the work.
- 01:07 I'll just quickly walk through these.
- 01:09 Here's the board's task status, you can see here's all the remaining tasks.
- 01:14 And the status that they're in over here on the left, if I go here to
- 01:19 task boards and choose work status, you can see it's focused on resources.
- 01:25 So, just as we have all the details for the tasks,
- 01:29 we also have two reports for the current sprint.
- 01:39 Then finally, there's one last report called Sprint Status.
- 01:44 Now of course, you can build a report that looks like a board,
- 01:49 using the report builder.
- 01:52 So, I recommend you go to the report section of this course to learn more.
- 01:57 However, this is what Microsoft has provided out of the box.
- 02:02 If you want to see how they're doing it, of course, you can go to the report tab.
- 02:07 I suggest you choose one that's closest to what you're looking for.
- 02:11 Let's say you're looking to do a current sprint report.
- 02:14 And then, you can go ahead and click on the report and
- 02:17 see the values that are being used here.
- 02:20 You can see there's a new filter for Current Sprint.
- 02:24 There's also some filters for task boards as well.
- 02:30 There is one other way that you can share this information with others.
- 02:35 If you click the Task tab at the top, and then let's go ahead and
- 02:38 click Gantt Chart to get out of the report.
- 02:41 You'll notice this link to item over here and it says Planner.
- 02:46 Well, Microsoft Planner is a Microsoft Office 365 product.
- 02:51 You will have to be licensed for it.
- 02:53 So, will anyone that wants to view the information.
- 02:56 If they are licensed for planner, then you can go ahead and click this link and
- 03:00 it will link up to the website.
- 03:02 Now granted this is not a printout, and as of the creation of this video,
- 03:08 there is no print out functionality in planner, but
- 03:12 you can nevertheless link it to a Microsoft planner project.
- 03:18 Now, I'm not going to cover this detail in this video,
- 03:20 because then we'll be getting into a whole training course on Microsoft planner.
- 03:24 But suffice to say Microsoft planner is not much different than the task board and
- 03:29 the sprint board that you've been using in Microsoft Project.
