Change a Template design, adjust Margins and work with Layout Guides in just a few easy clicks.
When to use
Knowing these simple but important tools will help you customize your publication every time you are in Publisher.
Instructions:
Begin by opening the corresponding Exercise File with this lesson, or to go File, New and find the “Business Newsletter” called Trader News.
Make sure the Page Navigation pane is open:
Click the View Ribbon ,
Click the Page Design ribbon
Change Template
- You can change the template layout at any time while preserving all text boxes and pictures. Simply select “Change Template” and choose a new template design from the gallery.
Page Setup
- Margins: Adjust the margins to create enough space between the publication text and the edge of the paper
- Orientation: Adjust the paper direction to print either Portrait or Landscape:
- Size:
Adjust your paper size or create your own:
Layout Guides help you align text boxes and pictures by displaying (non-printable) blue guides on the screen:
Make your publication’s front page look like a magazine cover; simply click any picture and click “Apply Image”:

- 00:00 The Page Design ribbon in Publisher is incredibly important.
- 00:07 Every time you are in a publication, you will be in the Page Design.
- 00:12 First of all let's make sure we do have a newsletter open on our screen.
- 00:15 If you click file and new you're going to see the Trader News Newsletter in there.
- 00:19 Or go ahead and choose any other flyer you'd like.
- 00:22 Since mine's open I'm gonna go ahead and hit the back button.
- 00:25 Notice on the left hand panel I do have my page navigation.
- 00:28 If yours is not there, please click on the view ribbon and
- 00:31 activate the page navigation check box right there.
- 00:34 All right, going back to the page design.
- 00:36 Right over on the left we have change template.
- 00:38 Change template simply means you want to choose a different template entirely.
- 00:43 And so I can click on the home ribbon, I can choose newsletters, and here's all
- 00:48 the different newsletter style changes, go ahead and choose any one you want, or
- 00:53 in my case, I'm going to just click cancel and go back to the one I'm already using.
- 00:57 The next section is page setup.
- 00:59 Now the margins.
- 01:00 The margins is the white area between the edge of your text boxes and
- 01:05 the very edge of the paper, and of course, on top as well.
- 01:08 And so if you want to change margins, simply at the dropdown choose wide,
- 01:12 moderate, narrow, none, or set your own margins.
- 01:15 Now the paper orientation, which way is your paper shaped?
- 01:18 Is it up and down or sideways for landscape, portrait or landscape?
- 01:22 It's up to you as well to go ahead and make that choice.
- 01:25 And paper size.
- 01:26 Generally letter size, 8.5 by 11, is what we generally use.
- 01:30 But maybe legal, that would be 14 inches long.
- 01:32 Tabloid, 11 x 17.
- 01:34 That's more of a newspaper format where you would actually fold the newspaper or
- 01:39 the newsletter in half and have them sitting on a table somewhere.
- 01:43 You can create your own paper size.
- 01:45 Simply get a ruler, measure your paper and type in the paper size right here.
- 01:49 And there you have a custom paper size.
- 01:51 All right, as for the Guides, the Layout area.
- 01:54 Now the Guides will make your screen look a little busy.
- 01:57 These are simply used to lineup pictures in a nice format on the screen.
- 02:03 But notice these blue lines came on my screen.
- 02:06 I have a margin guide wrapped around and then I have a couple column guides.
- 02:10 Now these guides are completely customizable.
- 02:12 Right down here at the bottom.
- 02:14 The grid and baseline guides.
- 02:16 I choose that, I can choose my margin guide line up, my grid guides,
- 02:19 my baseline guides which simply means I wanna layout all my text,
- 02:23 edit in a certain font size, I'm not gonna type in that size.
- 02:27 I'm simply gonna look in guides that will allow that size.
- 02:30 So I can change anything I want in here.
- 02:32 Generally I just leave it the same and if I want to turn off these blue lines
- 02:36 because they look confusing, go back to guides and just hit no ruler guides.
- 02:41 Now notice when I turned it off I still have my margin guide.
- 02:45 It wasn't there previously and it didn't go off.
- 02:48 So, I'll go ahead and click on the view ribbon.
- 02:50 And I'll uncheck guides and now my margin guide will absolutely vanish and
- 02:54 there it's gone.
- 02:56 So you have two areas to turn off your guides if they're not going away.
- 03:00 All right, I wanna talk more about pages and background colors and images.
- 03:06 But we're gonna need a whole lesson for that.
