The View Ribbon allows you better control of your publication design.
When to use
Every time you use Publisher 2016, you will be aware of the small details of information tucked into the View Ribbon.
Instructions
Follow along with the video for an introduction to the Publisher 2016 screen elements. This includes:
- Views: Normal and Master Page (the background layout, used for headers/footers, and page numbers. A separate full video lesson is available in this course.)
- Layout: Single and Two-Page Spread (two-page spread is also call “facing pages”)
- Show: view the specific items that will help you control your design
- Zoom: with a single click, control how large your view becomes in order to see tiny details

- 00:07 There are some great features on here.
- 00:08 We haven't quite hit them all yet, so let's go through them very quickly.
- 00:12 As an example, I have the Trade News newsletter on my screen.
- 00:16 I do have my Page Navigation checked.
- 00:19 I love having this open all the time.
- 00:22 So on my screen, you're always see it open.
- 00:24 I'd encourage you to get used to seeing it, as well.
- 00:26 First of all, Normal is selected.
- 00:28 So I'm viewing the normal view of a publication that I'm working on.
- 00:34 Now the Master Page, when I click that and
- 00:35 there is an entire lesson on the Master Page, so please watch that lesson.
- 00:39 But when I click it very quickly, you're seeing the background layer and
- 00:43 layout of the document.
- 00:44 Notice even my scratch area turned yellow.
- 00:46 This is so if I wanna put in page number or headers and footers,
- 00:49 this is where I would do that at work again, please watch that video.
- 00:53 I'm gonna go ahead and close the Master Page,
- 00:55 go back to my view ribbon right up here.
- 00:58 Now, the single page is selected.
- 00:59 That means I'm just viewing one single page at a time.
- 01:02 So page one and then page two, and then page three.
- 01:07 Well, look what happens when I hit the two page thread.
- 01:09 Go ahead and click that.
- 01:10 If we have facing pages like page two and three would open like a book and
- 01:15 face each other, that's where it shows up right here.
- 01:18 And I do like that feature, so I usually leave mine at two page spread.
- 01:22 But again, it depends on what I'm doing.
- 01:25 I'll click back on the single page.
- 01:26 Now when I hit Boundaries,
- 01:28 Guides and Fields, you're gonna see a lot change on my screen.
- 01:31 Boundaries are gonna outline all the text boxes.
- 01:33 Guides are going to put lines in the background,
- 01:36 a little grid that helps me align my objects and my pictures and then fields.
- 01:40 If this was a mail merge and I had fields showing up, they'd line up as well.
- 01:43 Now this looks busy and to me, it looks a little too busy.
- 01:48 So, it looks confusing.
- 01:49 So generally, I don't work with my guides on or my fields on.
- 01:53 I will leave my boundaries on.
- 01:54 But if I want a nice clean view, I will even turn those off.
- 01:58 The next one is Rulers.
- 01:59 Now if I uncheck my Rulers, my top and left margin ruler are gonna go away.
- 02:05 So, uncheck it and they are gone.
- 02:07 Check it and they are right there.
- 02:09 Keep in mind that these Rulers, this top corner,
- 02:11 you can move these Rulers where ever you want or need them.
- 02:14 So, y ou're not stuck with where they are.
- 02:17 So, feel free to move those around.
- 02:18 But generally, yes, I have my rulers on.
- 02:20 Turn Page Navigation off?
- 02:22 Absolutely not, I leave mine on all the time.
- 02:25 And Scratch Area, let me check the whole page here.
- 02:28 Scratch Area, this is where you can land pictures until you're ready to use them in
- 02:32 the left and right Scratch Area.
- 02:34 Now, watch what happens when I turn it off.
- 02:36 Nothing.
- 02:37 It's still the same, I can still use it.
- 02:39 So, I'm not quite sure why that's there.
- 02:41 But anyway, I'll go ahead and leave that on.
- 02:44 Graphics Manager, this is a task pane on the right and
- 02:47 this is gonna show you all the graphics in your entire publication.
- 02:50 Now I have mine clicked to Show Thumbnail.
- 02:53 When I turn it off, now I have to know the name of the graphics.
- 02:56 No, no, no.
- 02:57 Hit the Show T humbnail, leave those graphics on there and keep working.
- 03:02 Again, we do have an entire lesson on that feature as well.
- 03:05 And of course, Baselines.
- 03:06 Baselines are different than Guides.
- 03:08 Guides put the grid on here, Baselines just put the lines for the text,
- 03:12 to line up text.
- 03:13 So I'm gonna turn that off, as well.
- 03:15 This next section is zoom.
- 03:17 I can zoom to 100% with one click.
- 03:19 I could click back to whole page and see my entire page.
- 03:22 I can click the Page Width, if I want.
- 03:24 I can click on an object and then tell zoom to Selected Object.
- 03:28 Notice every time I made one of these changes, this measurement changed.
- 03:33 But I can also click there and type my own measurement if I want and go to 800%,
- 03:37 which i didn't intend to do.
- 03:39 But very quickly, hit Whole Page.
- 03:42 Now right over here on the left, we have Arrange All and Cascade.
- 03:44 If I were to click those right now, it's gonna kind of ruin this video.
- 03:47 So I'm not going to touch this, but I would encourage you to.
- 03:50 If you have multiple publications open though, this switch windows.
- 03:53 You could switch to your other blank publication or
- 03:56 come right back to Switch Windows and go back to the one you're working on.
- 03:59 That's it for the View ribbon.

- 04:02 Practice it.
- 04:02 Get good at it.
