Creative Ideas - Create Picture files
Create a picture from a Publisher file in order to send it in the viewable portion, or body, of an email.
When to use
Marketing campaigns often include full color emails. This is a method to design your custom flyer and then email to multiple people with no cumbersome attachments.
Instructions
Begin by opening the corresponding Exercise File with this lesson, or to go File, New and find any Thank You postcard.
Follow along with the video and make the design changes below:
- Change the page size to 5 x 3: Page Design, Size, View, Master Page and delete the 2nd set of Thank you artwork.
- Reposition the remaining Thank you artwork over the page (or cut it and close Master View, then paste the artwork onto the main design page.)
- Make sure to Close Master Page to finish the project.
- File, Save As, click Browse, choose .JPG format , and name the picture 'Thank You Card'.
- Now open your email program and click New Email. Click into the body of the email (where you would type the message) and click Insert, Picture, find the Thank You Card.jpg that you just saved.
Things to know about emails and file types
- Not everyone has MS Publisher, so may not be able to open a .PUB attachment.
- Everyone can open a .PDF, but it has to travel as an attachment.
- The ideal way to get your message in front of an email recipient is to put a photo in the email itself; not as an attachment.
- To do this, save a Publisher file as a photo file type: .JPG .PNG .TIF.
- The size of the paper will be the size of the photo
- 00:04 This lesson is to show you how to take a Publisher creation,
- 00:08 make a picture out of it and then email that picture easily for others to see.
- 00:14 As an example we're going to go ahead and start with a thank you card, so
- 00:17 I clicked on File > New, do the search for thank yous.
- 00:19 And here we go, I have a thank you card.
- 00:21 I'll double click to open that up, create it, and I'll move that onto the screen.
- 00:27 And as you can see, the Thank You card opens up in a full 8.5 by 11.
- 00:30 Take a look at my ruler.
- 00:33 It measures 0 to 11 up on top, and 0 to 8 and a half on the bottom so
- 00:37 this full sheet of paper with 2 thank you cards.
- 00:40 But I want to make one single thank you card out of it.
- 00:43 So, first of all, let me back up just for a moment and
- 00:45 talk to you about things you need to know about emails and file types.
- 00:49 So if I want to email a document or thank you card publication, not everyone
- 00:54 has Publisher, so they may not be able to even open a .PUB attachment.
- 01:00 Now everyone can open a .PDF but PDFs have to travel as attachments.
- 01:05 They don't travel inside the emails.
- 01:07 So it's viewable when you open it.
- 01:09 The ideal way to solve this, to get your message in front of an email recipient is
- 01:14 to put it as a photo in the email body itself rather than as an attachment.
- 01:19 And to do this, you simply create it in publisher, and
- 01:23 then you do or see that as file type to a JPEG, a PNG, or a TIFF.
- 01:28 And by the way, the size of the paper will be the size of the photo.
- 01:32 So it all works out just fine.
- 01:33 So knowing those little tidbits, let's go ahead and take a look and
- 01:37 go back to our thank you card.
- 01:38 First thing we're going to do is change the paper size, so
- 01:42 that's on my Page Design.
- 01:43 I'll click on Size and at the bottom create a new a brand new paper size,
- 01:47 so I want to make sure this is set to one page per sheet,
- 01:50 the width is going to be 5 wide by 3 inches high.
- 01:54 When I hit OK, the paper size will change, but it looks a little odd.
- 01:58 See, this visually appears at 8 and a half by 11, but take a look at the ruler up on
- 02:03 top, from 0 to 5, so it's 5 inches across, and from 0 to 3 on the left.
- 02:09 But if I Ctrl+Zoom down there, you can see the original artwork is still there.
- 02:16 Now, I'm clicking on this and clicking and dragging and nothing is happening.
- 02:19 We did another lesson, please make sure to watch it about the master page.
- 02:23 When there are things on your screen, you're trying to click on and
- 02:26 it's not responding.
- 02:27 It's because it's in the background layer.
- 02:29 So I'll click on the View ribbon, and I'll come over here and activate master page.
- 02:33 The background turns yellow, which tells me I'm in master page.
- 02:37 And now I can click and drag these and you can see there, that's working.
- 02:41 So I click on that one, delete it and then to get rid of this message.
- 02:43 I'm going to going to go ahead and click on this one and
- 02:46 move it on to the background new page size that I created,
- 02:49 doesn't have to be perfect since this is just an example.
- 02:53 And then the little thank you note right here.
- 02:56 Now when I let go thank you, it vanishes because it with behind this.
- 03:00 So all you have to do is click this little item,
- 03:03 hit the right mouse button, click on order, send backward.
- 03:07 There, now went behind the little text box.
- 03:09 At this point, I can put in another text box here and say thank you for
- 03:13 visiting our trained show boost or whatever it is so it's not a pre-done.
- 03:17 Thank you card is just one you're going to customize on your own.
- 03:20 All right, I'm done with that, so I'm going to ahead and
- 03:22 Close Master Page, I still have this on the background.
- 03:25 It doesn't matter that you can see the white on the background,
- 03:27 that won't show upon the screen.
- 03:29 There are guidelines, if you those blue lines on the background,
- 03:32 those are simply guidelines, they won't print, but
- 03:34 you can turn them off if you want, so click on View, uncheck Guides.
- 03:38 Okay, we're ready to go ahead and save this.
- 03:41 So I'll click on File, I'll choose Save As.
- 03:44 When I get here, I'm going to hit the Browse button.
- 03:47 And right down here at the bottom,
- 03:48 Save as type, instead of Publisher File, I'm going to choose JPEG, JPEG
- 03:52 is kind of the smallest file size of a picture that still looks good and legible.
- 03:57 And so now I'm going to go ahead and call this the Thank you card, hit Save, Yes.
- 04:02 And now, I'm going to open up an email.
- 04:06 In fact, I've already got one laid out and ready.
- 04:08 So I've got it addressed to Friends and Family, the subject's just Thank you.
- 04:11 I simply hit Insert, go to my Pictures, they are in my documents,
- 04:16 and there happens to be the thank you card that I just created.
- 04:19 Hit Insert, and there you go.
- 04:21 I've got a 5-by-3 thank you card.
- 04:23 When they receive this email and
- 04:25 open it, boom, there's my thank you card picture right in front of them.
- 04:28 No attachment.
- 04:29 It can be personalized to whatever event I'm thanking them for.
- 04:33 It can go to hundreds of people.
- 04:35 It's a great little feature and I hope you use it.
