Headers and Footers
Learn how to work with Headers and Footers and the ribbon features included.
When to use
Use a header or footer when you have some information that you would like to be automatically added to every page in your document, for example your name on a report, or your logo on a business letter.
Instructions
Access Header with the mouse:
- Move your mouse to the top margin of the page and double click. Observe the three changes to your screen:
- The document portion is shaded and the header portion is bright
- The dashed line appears with the header label
- A new ribbon opens at the top:
- You can also scroll to the bottom to adjust your Footer or access it via the double click into the bottom margin of the page.
Access Header with the Insert Ribbon:
- Click the Insert Ribbon
- Click Header drop-down arrow and choose a Header layout
- Enter the text to display
Two options to close the Header/Footer:
- Move your mouse to the document page and double click.
OR - Choose “Close Header/Footer” on the Header & Footer Tools ribbon

- 00:07 This is really important because a header is basically items that are typed in
- 00:11 the top part of the margin or
- 00:13 to the bottom part of the page margin but they repeat on every single page.
- 00:17 So see, I'm on page two and I've got the same header in the margin
- 00:22 that exists right up here on the top of page one.
- 00:25 So to access your headers, you can click on the Insert ribbon and choose,
- 00:30 Header and choose Edit and now I'm inside my header.
- 00:34 Of course, on page two, but I can scroll up and insert on page one.
- 00:38 Now, a couple things happened.
- 00:39 First of all, my insertion point is in the top margin.
- 00:43 Everything is bright in here.
- 00:45 My letters went bright.
- 00:46 My logo went bright.
- 00:47 I've got this header logo here with a guideline across the top.
- 00:50 I also have a header and footer toolbar
- 00:53 with all kinds of new things I could do in here, including the Close Header Footer.
- 00:57 So I can click Close Header Footer, which I'll do right now, click.
- 01:01 And, wow, it keeps taking me to that second page, I'll click on the first page.
- 01:06 All right, so there's a faster way to do all that.
- 01:08 You don't have to go to Insert Header.
- 01:11 Alls you have to you is float your mouse up in that top margin and
- 01:13 watch what happens when I double click.
- 01:15 Click, click, there.
- 01:17 Same thing, a lot less clicking.
- 01:20 So, my insertion point, the header marker, my logo is bright, and
- 01:25 my Header Footer design came up.
- 01:27 Now I could hit close Header Footer right here or
- 01:29 I could just double click back into my document text.
- 01:32 Before I do that, please note, my document text looks kind of faded.
- 01:35 That's how you can tell at a glance, are you in the header or the document?
- 01:39 Now watch what happens to the header.
- 01:41 I'm going to double click my document.
- 01:42 Click, click.
- 01:43 Now the header kind of looks faded out, but my document looks bright, all right?
- 01:47 So, let's do some work.
- 01:49 I'm going to double click into the header.
- 01:50 I'm actually going to move that logo over to the right.
- 01:53 Double click out of the header.
- 01:54 Double click back into the document.
- 01:56 But I want to scroll down and look at page two, top of page two.
- 02:00 Look, the logo happens to be in the center.
- 02:03 See, whatever you do on one of the headers happens to all of the headers.
- 02:07 All right, I’m gonna scroll up just a little bit, type Bottom of Page here.
- 02:10 So I'll double click and, let's see, I guess I already typed it.
- 02:14 I can go ahead and type it again, Bottom of Page.
- 02:17 Double click right there, and
- 02:18 when I scrolled down, the Bottom of Page is right here.
- 02:21 So that's for you to type on the practice file.
- 02:24 But I just want you to know that that when you double click into any of these things,
- 02:28 the headers or the footers, you can change it whatever you want and
- 02:32 align it any way you want.
- 02:34 You do have all of these tools,
- 02:36 I can add page numbering to my footer, I can add special headers.
- 02:42 Now I'm gonna go ahead and choose this header, it says type here, type here,
- 02:45 type here, it's all nicely aligned into thirds.
- 02:48 But, keep in mind, when I select that,
- 02:50 it's gonna wipe out what I currently have in the background as my header.
- 02:53 Okay, so I'm gonna go ahead and click.
- 02:55 And there we go.
- 02:56 Now these are fields, and I can just simply type right there and whatever I
- 03:01 type onto page one in the header magically appears on page two in the header, okay?
- 03:06 So, that is the lesson.
- 03:08 So double click to get out of there, and there we go.
- 03:12 Use your headers and footers, they're absolutely professional.
- 03:16 Everyone uses them, especially for page numbers.
