Envelopes and Labels
Learn how to quickly produce a printed envelope or label for postal mail.
When to use
Printed correspondence requires an addressed envelope or sometimes a label to place onto a large envelope.
Instructions
Print an Envelope
- Select the address text on the document.
- On the MAILINGS ribbon, Create group (on far left), click Envelopes
- The address should appear on the top of the box, have an envelope ready in your printer, and click PRINT.
Add an Envelope to the Document page
- Same steps 1 & 2 above, except click
‘Add to Document” and an envelope page will be placed above your document for repeated future use.
Print a Label or sheet of Labels
- Select the address text on the document.
- On the MAILINGS ribbon, Create group (on far left), click Labels
- Choose Full page or Single label, and make sure the correct Label style is shown
- If it needs to be changed, check your label box for the brand and style #, click OPTIONS, and select the matching Label information.
- 00:04 In this lesson, I wanna show you how easy it is to print envelopes and labels.
- 00:09 On the mailings ribbon, on the left-hand side, we have the Envelopes and
- 00:11 Labels button.
- 00:13 On the matching Exercise file, there's an address already typed.
- 00:16 Please highlight that, then come up and click Envelopes.
- 00:20 It automatically puts what you highlighted in the top box.
- 00:23 It allows me to type a return address here, which I don't have to.
- 00:26 My envelopes are pre-printed with return address.
- 00:29 And over here on the Feed button,
- 00:30 it shows me because Microsoft Word is talking to my printer.
- 00:34 It shows me how to feed the envelope bin properly.
- 00:37 At the bottom, I have a Print button.
- 00:38 If I hit that, it will print an envelope right now.
- 00:41 And then I have an Add to Document button.
- 00:43 The reason you would hit this is because it will literally add an envelope to
- 00:47 the top of that document.
- 00:48 So if this is a recurring mailing that you do every month,
- 00:51 why go through the process again?
- 00:53 Just put the envelope on top.
- 00:55 If I hit Print, it shows me.
- 00:56 I'm gonna print my envelope first, and then my document page will come next.
- 01:00 All right. When I go back to the screen,
- 01:02 let's go back into the envelope.
- 01:05 I wanna show you one more thing.
- 01:06 Right over here I have an Options button.
- 01:08 Cuz what if you don't wanna print to a standard long envelope?
- 01:11 Now the printing options, tells me, well, I have the options to
- 01:14 change how I feed it, but I'm going to take the suggestion from My Computer.
- 01:19 And then, the envelopes option, this is where you choose the different size
- 01:22 envelope, also can change the font sizes for the delivery address and
- 01:25 the font size for the return address.
- 01:28 All right. I'm gonna go ahead and
- 01:29 hit Cancel on those.
- 01:30 The ePostage properties,
- 01:31 you have to have a subscription service set up to print for ePostage.
- 01:36 I don't have that set up.
- 01:37 But if you do, you can go ahead and use that.
- 01:39 It actually print the postage to your envelope.
- 01:42 All right. Let's go ahead and do a label now.
- 01:45 Same as strategy.
- 01:46 Highlight the address first, come up to the Labels button.
- 01:49 And in here, it puts in what you had already highlighted.
- 01:52 And now you can tell if full page of the same label or just a single label.
- 01:57 Well, I wanna just make sure I'm using the correct label in the first place.
- 02:01 So let me show you something.
- 02:03 I've got a little picture of a label box right down here.
- 02:06 And if I zoom in, this number right down here says 5261 and the brand is Avery.
- 02:12 When you are printing labels,
- 02:15 you have have to tell it what style you're using.
- 02:20 So, if you need to change what's right here, you simply click the Options.
- 02:24 You find your manufacturer of your labels.
- 02:26 And then, you would match up which number that was on the box.
- 02:30 So, it's very convenient.
- 02:32 The Microsoft has these relationships with these label companies.
- 02:35 And they've got them all cataloged in Microsoft Word.
- 02:38 All right. Now,
- 02:39 I can choose Full Page of the same label or just a single label.
- 02:42 Now, why would I want just a single label and tell it which row and which column?
- 02:46 I don't know about you.
- 02:46 But I have sheets of labels that I've peeled off of, and
- 02:49 I have some spares leftover.
- 02:51 You could actually tell it, row two, column three.
- 02:54 And so, right now, I'm gonna just do a full page of the same label.
- 02:58 And I'm gonna send that to a brand new document.
- 03:01 When I click New Document, there it is.
- 03:03 I have an entire sheet of labels of the same label.
- 03:07 I'll print that out.
- 03:08 And now, I don't have to worry about envelopes.
- 03:10 I'll just peel off a label, stick it to the envelope, and
- 03:12 mail that correspondence.
- 03:14 Because it's incredibly convenient to do that.
- 03:16 So that's how simple it is to print envelopes or print a full sheet of labels.
- 03:23 One more little tip for you.
- 03:24 If this is something you're going to use on a regular basis,
- 03:26 might be a good idea to add these buttons to your quick access bar.
- 03:30 Again, float your mouse on the Envelopes button, right click, and
- 03:33 the very top option says, Add to Quick Access Bar.
- 03:36 When I do that, I have a little Envelopes button right here.
- 03:39 So, if I go back to my other document and have the address highlighted, now,
- 03:43 I just hit my little Envelopes button and there you go.
