Rename, Modify, and Remove Styles
Use the Styles Manager to keep your new text and heading styles current or get rid of old unused styles.
When to use
Changing your text and heading styles is inevitable as a document develops.
Instructions
View the Style Inspector:
Alt + Ctrl + Shift + S, then click
- Open the Style Inspector and click on any existing text to view the formatting applied.
- When you float the mouse over the Style Inspector window, it will show the extreme details of the format.
Clear the Format from a styled text:
- Select the text to clean up.
- Click the “Clear Formatting” button on the Home Ribbon
- OR, Click the NORMAL Style in the Style Gallery
“Manage” Styles: Rename, Modify, and Remove
Alt + Ctrl + Shift + S, then click
- In the Manage Styles box, find the Style you want to modify and select it
- Click the Modify button
- Type a new name and click ok
- OR Delete the Style and click ok
- The Gallery will show the changes immediately.

- 00:07 we're going to rename, modify, and remove the styles.
- 00:10 This is all done on the home ribbon, in the styles gallery, and
- 00:14 with the styles dialog box operator on the corner.
- 00:18 So let's go ahead and start with renaming.
- 00:20 From our previous lesson, we made My Style 1, I want to rename to My 1.
- 00:25 Well, it's a simple right-click.
- 00:27 So on the gallery, hold my mouse on my Style 1, right-click,
- 00:31 and read the list, there we have Rename right there in the middle.
- 00:36 I'm going to rename that one and just call it My 1.
- 00:40 Hit OK.
- 00:42 And now I want to rename to My Style 2, so
- 00:45 I'm going to take it a little deeper this time.
- 00:47 You can press Alt+Ctrl+Shift+S, that's a lot of keys to press all at once.
- 00:53 I like the dialog box operator, notice a tooltip comes up with Alt+Ctrl+Shift+S.
- 00:57 This just one click, easy, and I get to the same place.
- 01:01 Notice I got My 1 at the top, then My Style 2, float your mouse, it gives you
- 01:06 the details of the style, and notice there's a drop-down arrow off to the side.
- 01:10 Hit the drop-down arrow, read the list, do you see rename?
- 01:14 Hm, neither do I, but I do see modify, click on Modify.
- 01:20 And there we have it.
- 01:21 The name up at the top, I can just alter the name.
- 01:25 Okay, done.
- 01:27 Renamed it.
- 01:28 Okay, the second part of this is we're going to modify the color and
- 01:32 the font style of MY 1 and MY 2.
- 01:34 Do you think a right-click might do this?
- 01:36 Well, let's try it.
- 01:37 In the gallery on style My 1, right-click and there's Modify, easy-peasy.
- 01:44 Clicking on the Modify, I want that to be bright green and
- 01:50 a different font style, hitting OK.
- 01:54 Now, even though it's not applied right here, it is applied right down here,
- 01:58 I should have showed that to you first.
- 02:00 Okay, now I'm going to click on My Style 2.
- 02:03 This time I could right-click on Modify,
- 02:06 but I need to show you that this has in three places.
- 02:09 Over on the My 2 on the Styles panel, I get it to drop down,
- 02:14 Modify, it takes us to the exact same place.
- 02:18 Hit Cancel on that.
- 02:20 And there's also right down here, we have a Manage Styles
- 02:25 button with an A with a checkmark, Manage Styles and a Modify.
- 02:31 So either way, whatever place you choose to go to find it,
- 02:34 you'll be able to find it, it's in three places.
- 02:37 I'll go ahead and adjust that to the same color in the Calibri.
- 02:40 Hitting OK on that screen and pushing pause here just for
- 02:44 a moment to look at the Manage Styles.
- 02:46 Look at this, we have Edit, Recommend.
- 02:49 You can recommend certain styles for your coworkers to use.
- 02:52 You can move them up and around the list and you can import, export those,
- 02:57 so everyone in the office are using the same set of styles.
- 03:01 You can restrict certain styles to be used and
- 03:04 export that list, you can also set defaults and export that list.
- 03:09 Why would you ever do that?
- 03:11 It depends on what industry you are in.
- 03:13 The legal industry is very accustomed to not getting fancy on their documents.
- 03:19 The court of law, they just want basic text.
- 03:21 So this is one of those instances where getting into the details of
- 03:25 managing styles, it would be worth spending some time there.
- 03:29 Okay, I'm just going to click OK on this.
- 03:32 Notice my Style 2 looks just fine.
- 03:35 Now let's go ahead and remove this.
- 03:37 We're going to remove or clear the style formatting from the two headings below.
- 03:42 When I select the line, my mini bar pops up, I can hit Styles and
- 03:46 right at the bottom, it says Clear Formatting.
- 03:49 I'll just clear the formatting right off that line.
- 03:51 Well, that was easy.
- 03:53 Well, there's another way to do this.
- 03:54 On the Styles panel on the right-hand side,
- 03:58 there is a button called an inspector, Style Inspector.
- 04:02 When I activate that button, I'm going to click into the next line.
- 04:05 Okay, when I activate this button,
- 04:07 notice I've got this big panel over here on the left-hand side,
- 04:10 it shows me the paragraph formatting with a little eraser on the right-hand side.
- 04:14 That's a pencil eraser, so I can erase certain parts of that style.
- 04:20 I'm going to put it right back because I want to show you way at the bottom,
- 04:24 instead of clicking all those erasers, just hit the Clear All button, and
- 04:27 that'll handle it as well.
- 04:29 So that's how you remove formatting from a line.
- 04:33 There's also a little known trick that you can select a line
- 04:37 that doesn't have any formatting.
- 04:39 Activate the format painter, which will copy the formatting and
- 04:44 paste that formatting.
- 04:46 That's kind of a cheat to do the same thing.
- 04:49 Okay, kind of erase formatting.
- 04:52 So here we did it.
- 04:53 We renamed them, we modified them, and we removed the styles from the text.
