Styles Gallery
The Style Gallery provides creative heading styles as well as functionality within a document.
When to use
Styles are simply pre-designed font styles that save time rather than creating your own. It is common to use Styles in a report format in order to visually separate topics. Styles also act as organizational tools which we will address in another lesson.
Instructions
- Click the line of text that you want to apply a Style to.
- Click the HOME ribbon and move the mouse to the Style Gallery.
- Click the drop-down arrow to view all the available Styles and float the mouse over the styles to preview the effect on your text.
- Finally, click the Style you like best.
Tips:
Limit font styles and variations to three within any document. Otherwise, it appears unprofessional and distracts the reader from your topic.
Clicking in the left margin beside a line will select the entire line, plus the MiniBar appears and now has a Styles button included. This saves time from traveling up to the Home Ribbon to access the Style Gallery.

- 00:07 it's on the far right hand side of the Home ribbon.
- 00:11 And if you hit the dropdown arrow beside it, you'll see many other styles.
- 00:16 Now this is a way to apply preformatted font styles and fonts and color,
- 00:20 but there's also functionality that will come in with it.
- 00:24 Let's go ahead and set some examples on this screen.
- 00:29 Notice I have titled a report on the exercise document.
- 00:32 When I bring my mouse over to the left hand side,
- 00:36 one click will select that entire line.
- 00:39 And when font is selected, a menu bar shows up.
- 00:42 Notice on the menu bar about in the center, there's a Styles button.
- 00:46 You see I don't have to go up to the Home ribbon, I can just select the text and
- 00:51 there it is on the menu bar.
- 00:53 At this moment, I want to go ahead and apply Heading 1, the main heading.
- 00:57 Notice there's Heading 2, Heading 2, as I float my mouse through these,
- 01:02 you can see that it's applying to the document.
- 01:04 I think I'll just go ahead and choose title for the Title of Report.
- 01:08 All right, let's go to the next level, Heading Style 1.
- 01:11 I'll select it on the left hand margin, selects the entire line,
- 01:16 come over to Styles and choose Heading.
- 01:21 Heading style 2 again, I can click and drag it, that's fine,
- 01:24 it just takes longer when I select that.
- 01:27 Then menu bar shows up, Styles right on there.
- 01:29 This is new, folks.
- 01:30 Styles never used to be on the menu bar, so I kind of love it,
- 01:32 it's very convenient.
- 01:33 I don't have to go all the way up to that Home ribbon anymore.
- 01:36 I'll go ahead and click Heading 2.
- 01:39 Now I'll select a subheading to this one, I don't want it to be a heading,
- 01:44 I just want it to be sort of a design, so I'll choose Strong design.
- 01:48 Now who named this?
- 01:49 Why are they named these things?
- 01:51 Someone at Microsoft, that's all.
- 01:53 They just designed a font and decided they would label it that.
- 01:56 I'll go with Heading 3 on this particular one, Heading 3.
- 02:01 Okay, now about the functionality part.
- 02:04 Notice, right over here, as I float my mouse through,
- 02:07 do you see this arrow showing up in the margin?
- 02:10 That arrow won't print, it's a collapse arrow.
- 02:13 If I've got a long document full of headings, I can simply click the collapse
- 02:17 arrow and everything else underneath that heading will be swallowed up.
- 02:21 Now I can expand the collapse arrow.
- 02:24 Now down here on the Heading Style 3, click that one,
- 02:27 the only thing under it was its particular line, and expand it.
- 02:30 How about the Heading Style 1?
- 02:32 It's going to swallow up everything underneath of it,
- 02:35 a wonderful way to manage a large document.
- 02:38 If you want to see all your headings, just right here listed on one page, you just
- 02:43 simply hit the expand collapse arrows beside the Heading Style, it's fantastic.
- 02:48 Now in a future lesson,
- 02:49 we're going to see how the styles work splendidly with a navigation pane.
- 02:54 They are vital to keeping yourself organized.
- 02:57 All right, one more thing about the Styles Gallery, I'll come right up here.
- 03:00 Notice, on the Home ribbon Styles Gallery, again, we do have the drop down arrow.
- 03:05 Underneath, we have Create a Style, Clear Formatting, Apply Styles.
- 03:08 And we also have an expand dialog box button that shows
- 03:13 a tooltip Alt + Ctrl + Shift + S.
- 03:15 I'm probably not going to memorize that one, but if we expand this,
- 03:19 we can see even more options.
- 03:21 We'll be going through this in later lessons.
