The Navigation Pane assists with document management.
When to use
The Navigation Pane will become a constant on-screen tool as you become an advanced MS Word user.
Instructions
Click the VIEW ribbon, and in the SHOW group, put a checkmark in the Navigation Pane box.
Click through the three options, Headings / Pages / Results, and observe the changes in the Navigation pane. Practice using these options on the Exercise file provided.
On the Results option, click the drop-down arrow and click “Replace” (or press CTRL + H.)
This allows you to find a certain word and Replace it with a different word.

- 00:07 In my opinion, one of the most important tools available in Microsoft Word.
- 00:11 In fact, when I'm in Word, I always have a check mark in the Navigation Pane,
- 00:15 it always resides on the left-hand side of my screen.
- 00:18 Now when I just turn that on, you can easily, at a glance,
- 00:21 see that I've got two pages.
- 00:22 And the beauty about this is it defaults to the thumbnail views, but
- 00:27 take a look at the Headings.
- 00:29 When I click on Headings, now we have a list of all the headings in this document.
- 00:33 And I can literally click and go directly to whatever heading I want to go to.
- 00:39 So if you have a 30 page document and it is set up with headings,
- 00:43 it is fantastic just to hop, skip, jump around that document.
- 00:47 All right, now the Pages of course, that's kind of awesome as well,
- 00:50 because you can actually see the layout and format on each page.
- 00:54 Now I want to make this skinnier.
- 00:55 So I can flip my mouse over on the edge of this and
- 00:58 I can make this a little narrower.
- 01:01 So now I have a vertical list of those pages.
- 01:04 It's your personal preference of how you want to see your Navigation Pane and
- 01:08 how much room you want to allow it to take.
- 01:11 What are the results?
- 01:12 Well, in a previous lesson, we had done the Ctrl + F for find, Ctrl + H for
- 01:16 replace, and so that is also located on the Navigation Pane, which is why it's so
- 01:21 valuable to have open all the time.
- 01:23 On that note,
- 01:24 make sure you hit the drop down arrow when you're in the results view.
- 01:27 because it's not just a matter of finding words, you can also find Graphics, Tables,
- 01:32 Equations, Footnotes/Endnotes, comments, kind of a cool feature.
- 01:36 All right, let's focus back on the Pages and work with the Navigation Pane itself.
- 01:40 Notice when I float my mouse into the heading where Navigation is I get a four
- 01:44 arrow, that's a moving arrow.
- 01:46 I call it north, south, east, or west, move it somewhere.
- 01:49 So I'm going to click and drag, but it's not going to glide out of here,
- 01:52 kind of snaps out, so don't give up.
- 01:54 Okay, click and dragging, and then it finally released to moved out.
- 01:58 This allows me to stretch the Navigation Pane as tall as I want it to be.
- 02:04 I can also move it to a second monitor, whoosh, right out to a second monitor, or
- 02:08 bring it right back.
- 02:09 I can also do a slow on the edge, a slow, slow, slow, click and
- 02:14 drag and it will dock.
- 02:16 It will dock itself to the right hand side.
- 02:19 Click and drag it out of there, and maybe slowly dock it to the left.
- 02:22 So it's either floating or docked, kind of that water park theme.
- 02:27 When you have your Navigation Pane open, you have a lot of visibility into
- 02:31 what's happening with the document, that's why it's so important.
- 02:36 So again, I can click from page to page, I can click the Headings and
- 02:41 skip around, hop, skip, jump from heading to heading.
- 02:45 If I'm on the very bottom of it, notice this little up arrow takes me directly to
- 02:50 the beginning, or I can look at the results of the Navigation Pane,
- 02:54 which of course, is my find replace settings.
- 02:57 It's so cool, leave your Navigation Pane on all the time.
- 03:00 In fact, for the rest of these lessons, I'm probably going to have my
- 03:03 Navigation Pane over on the left hand side of my screen.
