When to use
To change the application interface of PowerPoint to achieve various tasks.
Instructions
- On the View tab, in the Presentation Views group, click:
- Normal to see thumbnails of slides, a large slide editing area and Speaker Notes for that slide, or
- Outline View to work with text, or
- Slide Sorter to organize and manipulate slides, or
- Notes Page to view the slide, combined with Speaker notes, or
- Reading View to view the slide show of your presentation in a window without switching to a full screen slide show.

As covered in other modules, Master Views help you work with a specific Master – buttons in the Master Views group allow you to access the Slide Master, Handout Master, and the Notes Master.

- 00:04 All the of views in Powerpoint are really about making
- 00:07 sure you've got the right tool for the job.
- 00:09 So that it allows you to make tasks happen quickly and painlessly.
- 00:12 And so a view really does make a difference.
- 00:14 I hope you like that.
- 00:16 Even though I've used Powerpoint for a number of years, I've got to admit that I
- 00:19 never really appreciated the various views that were available.
- 00:23 And so I was stuck in a little bit of a rut and then I started using all
- 00:27 the PowerPoint views and they're well worth getting to know and use.
- 00:30 Because they change the arrangement of your PowerPoint application so
- 00:34 that you can perform different functions.
- 00:36 And this helps you with your design, your production of a show, or a document, or
- 00:40 when you need to present a particular slide show.
- 00:44 Our concepts of the outline pane and
- 00:46 the notes pane will be covered more extensively in other videos.
- 00:50 In the presentation that I've already created,
- 00:52 I've already accessed the view tab.
- 00:55 And you can see, with this highlighted button,
- 00:57 that the current view that I've selected is normal view.
- 01:00 The button already shows a thumbnail of the application arrangement.
- 01:04 We have our slide thumbnails on the slide pane, and
- 01:07 we can click on those thumbnails to change the active slide.
- 01:11 And even though we can't add content to the slides themselves within the slides
- 01:15 pane, where we have these thumbnails, we can certainly do so on the slide itself.
- 01:22 Now the view that we see is a classic three pane editing view that we're also
- 01:26 familiar with.
- 01:27 And other than the slides pane, and the slides area, the third of this
- 01:32 arrangement is the notes pane, that we can see below the active slide.
- 01:36 We can go to the outline view, we get a text pane, or an outline pane,
- 01:41 where we can work with and manipulate text.
- 01:44 And this is the topic of discussion in another video.
- 01:47 In the Slide Sorter view, we can see the slide itself.
- 01:51 And this is an area where we can add slides and sections, and
- 01:54 sections will be covered also elsewhere.
- 01:57 We can duplicate slides, or we can add slides, or even quickly move them around.
- 02:02 As well with getting to know the keyboard shortcuts,
- 02:05 such as control D, which is duplicate, or we can click and
- 02:10 drag with the mouse and hold the control key, and then drop.
- 02:13 Another presentation view is the notes page, for example,
- 02:17 when we add text to the notes area, and then we move to the notes view,
- 02:21 we can see a preview of the text as well as our slide.
- 02:24 This output is excellent for producing our slides with notes to be printed and
- 02:28 handed out,
- 02:28 however it also allows us to cut down on the amount of text that's on our slides.
- 02:33 It's also very handy in presenter view.
- 02:35 We can see this when I press F5 on the keyboard, that even though
- 02:40 we can't see the actual presentation, because it's on another monitor.
- 02:43 We can see here the notes and
- 02:45 that allows us to deliver our presentation with a lot more confidence.
- 02:48 Know too, that PowerPoint 2016 allows you to use presenter view,
- 02:53 even if you just have one display.
- 02:56 Now, reading view, is where we can preview the presentation with animations and
- 03:00 transitions without switching to full screen mode.
- 03:03 And you can notice that the slide show is constrained by the actual
- 03:06 application window.
- 03:07 At the bottom of our program window is a status bar and
- 03:11 there are various buttons on the status bar that allow us to select various views,
- 03:14 such as normal, slide sorter and importantly, a slide show view.
- 03:21 If you go into the slide show, or the reading views,
- 03:24 you can get out again by hitting the escape key on your keyboard.
- 03:27 And this very handy slider zoom thing that we can use to change the zoom of a slides,
- 03:33 as well as, a button to fit the slide to the size of the current window.
- 03:37 In PowerPoint 2016, there's a new option called Tell Me,
- 03:40 where you can type in what you wanna do and get some help.
- 03:43 For instance, I type in move a slide, and notice there is no immediate option given.
- 03:50 So I click on Smart Lookup, the Insights pane appears,
- 03:55 and I can click to get more help.
- 03:57 Another new feature of PowerPoint
- 04:00 2016 in the Office 365 version is the slide designer.
- 04:04 On the first slide, I click the design tab,
- 04:08 design ideas button in the design grid and I'm offered options.
- 04:13 Now there are some rules behind how this works and
- 04:16 that's the subject of another video.
- 04:18 So PowerPoint's presentation views are very effective
- 04:21 to help us control our content and present it effectively to our audience.
- 04:26 It's well worth an investment of our time exploring these.
