When to use
To print your presentation in a range of formats or share it via other media.
Instructions
- To print the presentation, use the keyboard shortcut Ctrl+P or the File tab.
- Options to print are:
- To select a specific printer and change the properties for that printer.
- Print what – all slides, the current slide selected, or a specific range of slides identified by typing the slide numbers.
- Print layout – full-page slides or the Notes Page, the Outline Page, or a range of Handouts containing from 1 to 9 slide thumbnails.
- Print on one side or double sided (may depend on the capability of your printer to print double-sided).
- Whether to collate the pages when printed – collation means for printing to copies of a five-page presentation, there would be two separate piles of print containing slides 1 to 5.
- Color, grayscale, or pure black and white.
- Other options available on the Share tab of the Backstage view are:
- Save the presentation to the cloud such as a SkyDrive location – Microsoft’s online cloud storage system.
- Send the presentation by email.
- Present online as broadcast.
- Publish the slides to a slide library – a corporate storage system.
- Other options available on the Export tab of the Backstage view are to:
- Create a PDF or XPS document.
- Create a video. Note that this version of PowerPoint supports a higher screen resolution when exported as video (1920 x 1080).
- Package the presentation for CD.
- Create handouts, or
- Save as different file type.
Also note:
In this version of PowerPoint, print dialogue is part of the view known as the Backstage view.
A Section of slides within PowerPoint can be printed from within the print dialogue provided the presentation does indeed contain a Section.

- 00:12 In this video we're going to look at sharing your presentation through print and
- 00:15 mention briefly a few other PowerPoint features as well.
- 00:19 The easiest way to commence printing is with the keyboard short cut of control+P
- 00:22 which brings up the print dialogue box and of course via the file tab.
- 00:27 So within the print dialogue box, or really the area known as backstage,
- 00:31 we have four general areas that help us understand our printed output.
- 00:34 For area one, I'm going to focus on the printer itself.
- 00:39 It's a little drop down arrow,
- 00:40 let's us select from a range of printers, and you can see that I've
- 00:43 got hardware printers setup on other computers via the network and
- 00:47 a range of virtual printers that produce a file output rather than a printed page.
- 00:51 Also notice the print properties menu item, and
- 00:54 that's where we can customize the printer itself.
- 00:57 In this second area, we have a range of settings that will customize our output.
- 01:00 So this area effectively governs what our presentation will look like.
- 01:05 We can print all slides, which is the whole presentation, a selection,
- 01:09 the current slide that is previewed here, or a custom range of slides.
- 01:14 We can even type a range in this little box such as 1 hyphen 3 or 1 comma 2.
- 01:20 Now let's understand the selection option.
- 01:23 I hit escape on the keyboard, select three thumbnails in the slides pane by
- 01:28 selecting the first, hold the shift key, and then the third one.
- 01:32 Go control+P and now it previews the number of three slides, as seen in
- 01:37 this little counter on the bottom, because we have three slides we've selected.
- 01:42 The next dropdown item is whether we want to print a slide or the notes page or
- 01:46 outline.
- 01:48 Note that the notes page and the outline pane are the subject of other videos but
- 01:51 the notes page is a combination of our slide and
- 01:54 the text from the notes pane, while the outline pane is effectively the text in
- 01:59 our presentation without any graphics.
- 02:01 We can also print a range of slide combinations,
- 02:04 such as one slide, two slides, three slides.
- 02:09 And notice that this option allows us to combine slides with notes for
- 02:12 that slide from the slide pane and so on.
- 02:16 We also have the option to print one sided or double sided to plate the document,
- 02:21 that is, to sort pages in sequence, such as page one to four or
- 02:25 group all of page ones together or all of page twos together, for example.
- 02:30 And we can select color, grayscale or black and white.
- 02:33 Notice the changes in the preview as I select these various options.
- 02:37 The chart on slide two for pure black and
- 02:40 white shows a bar that takes on a particular hatch, which is a bit
- 02:44 common in scientific publishing rather than using and printing in colors.
- 02:49 Notice also the option to edit the header or footer.
- 02:52 And even though that can be done elsewhere in PowerPoint,
- 02:55 it's often forgotten until we actually print.
- 02:58 The third area is, of course, the area here where we can preview our output.
- 03:02 Again, notice the slide counter so we can scroll across slides or zoom function.
- 03:07 The fourth area is where we can select to print the final product as well as
- 03:11 the number of copies.
- 03:12 Remember also that our presentations can be distributed to people in a range of
- 03:16 formats, such as attached to an email, as a .pdf, as a video, or packaged to CD.
- 03:22 So printing is very easy.
- 03:23 Control+P, or through the file tab, gets you access to the area.
- 03:27 You can print in a range of formats, as well as customize your printer.
- 03:31 That's well worth exploring.
