Slide 8, Our Products - Working with Hyperlinks - Part 2
In Part 2 of this lesson we are going to continue building the 'Our Products' slide that links to other slides in the presentation. We will design the slides we need to link to with shapes and pictures, make color adjustments to images, insert hyperlinks to other slides, add helpful screentips, add bulleted and numbered lists and create a back button.
When to use
We use hyperlinks in a presentation whenever we want the reader to be able to jump to different slides or external websites by clicking on a link.
Instructions
In our presentation, we want to be able to jump to different slides from the main 'Our Products' slide.
Design the Slides to Link To
Prior to creating hyperlinks, we need to create the slide or slides we intend to link to.
- From the Insert tab, in the Illustrations group, select Shapes.
- Select the Right Trinangle.
- Draw a triangle in the bottom left-hand corner of the slide.
- From the Shape Format tab, in the Shape Styles group, select Colored Fill - Purple Accent 5 from the Shape Styles gallery.
- From the Shape Format tab, in the Shape Styles group, select Shape Outline.
- Select No Outline.
- From the Insert tab, in the Illustrations group, select Shapes.
- Select the Rectangle shape.
- Hold down SHIFT and draw a square.
- Draw a rectrangle on the slide.
- From the Shape Format tab, in the Shape Styles group, select Shape Outline.
- Select No Outline.
- Move the rectangle so it overlaps the triangle on the left-most side of the slide.
- Select the triangle.
- From the Shape Format tab, in the Arrange group, select Bring to Front.
- From the Insert tab, in the Illustrations group, select Shapes.
- Select the Rectangle shape.
- Draw a thin rectangle on the slide.
- From the Shape Format tab, in the Shape Styles group, select Colored Fill - Olive Green Accent 3 from the Shape Styles gallery.
- Select Shape Outline and No Outline.
- Press CTRL+D to duplicate the shape.
- From the Shape Format tab, in the Shape Styles group, select Colored Fill - Blue-Grey Accent 2 from the Shape Styles gallery.
- Select Shape Outline and No Outline.
- Select the square shape.
- Right-click and select Format Shape from the contextual menu.
- From the Shape Options tab, in the Fill area, select Picture and texture Fill.
- Click Insert and From a File.
- Browse to where the picture is saved.
- Select the picture and click Insert.
- From the Picture Format tab, in the Size group, click the lower-half of the Crop button.
- Click Fill.
- Repostition the picture as required.
- Click Crop.
- From the Picture Format tab, in the Adjust group, select Color.
- In the Color Saturation category, select Saturation: 0%.
- Copy and paste the slide title from another slide and modify the text to say 'Voiceovers'.
- From the Insert tab, in the Text group, select Text box.
- Draw a text box under the heading and add a full description of the product.
Bulleted and Numbered Lists
Lists of information can be formatted with bullets or numbering.
- From the Home tab, in the Paragraph group, click the drop-down arrow next to Bullets.
- Choose a bullet style.
- Type the list items. Each time you press enter a new bullet will be added to the next line.
- Select the bulleted list.
- From the Home tab, in the Paragraph group, click the drop-down arrow next to Numbering.
- Choose a numbering style.
Reuse and Modify a Slide
Once we have the first slide design, we can duplicate it 4 times and simply modify the information. This saves time as we don't have to create each slide from scratch. Change the text and replace the picture on each slide with one thats relevent to the product.
Add Hyperlinks
We can now link to these new slides from the main 'Our Products' slide.
- Select the the first picture on the 'Our Products' slide.
- Right-click and select Link.
- In the Link To area, select Place in this document.
- Select the slide to link to from the Select a place in this document list.
- Select slide 12.
- Click Screentip.
- Add the text you want to show when the mouse is hovered over the image e.g. 'Please click to jump to Voiceovers'.
- Click OK and OK again.
- Repeat steps 2-8 for the rest of the pictures on the slide.
- Run the slide show (F5) and ensure the hyperlinks are working correctly.
Create a Back Link
It's all very well hyperlinking to other slides in the presentation, but we need to be able to jump back to the main slide easily. For this, we can add a back button. A back button could be text, an image, a shape or an icon.
- Select the 'Voiceover' slide.
- From the Insert tab, in the Illustrations group, select Icons.
- Search for the keyword 'house'.
- Select an icon and click Insert.
- Format the icon as desired.
- Position the icon in the bottom corner of the slide.
- Right-click and select Link.
- In the Link To area, select Place in this document.
- Select the slide to link back to from the Select a place in this document list.
- Select slide 11.
- Click Screentip.
- Add the text 'Jump to Home'.
- Click OK and OK again.
- Run the slide show (F5) and ensure the hyperlinks are working correctly.
- Add a back link to all of the slides.
Hints & tips
- If you will be using hyperlinks frequently, add the command to the Quick Access Toolbar.

- 00:08 So I'm basically going to pick up where we left off in the last lesson.
- 00:12 And if you remember, we designed a page to showcase our products and services.
- 00:17 And what I want to do here is, I want to create a whole bunch of slides,
- 00:22 and then hyperlink from this main Our Products page.
- 00:26 And to kind of get us started, I've already created one of them, and
- 00:30 that is the slide for the live training.
- 00:33 So I'm quickly going to recreate this, so you can see how I did it.
- 00:37 And it is very straightforward, just using shapes and pictures.
- 00:41 So we're going to start by drawing a triangle.
- 00:44 So we're going to go to our Shapes Gallery, grab our right triangle.
- 00:49 I'm going to hold down Shift as I drag, I'm just
- 00:54 going to put this across the corner and use a shape style as the fill color.
- 00:59 And I don't think I want an outline on here, so let's go to Outline and
- 01:03 select No Outline.
- 01:05 The next thing I need to do is add in a square,
- 01:07 which is basically going to contain the picture for each of these slides.
- 01:12 So back up to Insert, into Shapes, let's grab our rectangle.
- 01:16 And because I want a square, I'm going to hold down Shift and drag that out.
- 01:23 And I'm going to move that so that it's about just there.
- 01:27 And once again, I'm going to the outline from that shape.
- 01:31 Now, essentially what I want here is to have that triangle in front of the square.
- 01:35 So remember, we can change the positions, or the z-order as it's called
- 01:40 in PowerPoint, by using a couple of tools in the Arrange group.
- 01:44 So if we jump up to Shape Format in the Arrange group here,
- 01:47 I can choose to Bring Forward or Send Backward.
- 01:50 So let's click on the triangle, that's probably a little bit easier.
- 01:54 Click the drop-down and say Bring to Front, and there we go.
- 01:58 Now all we need to do is add another couple of shapes.
- 02:01 So we're going to go back to Shapes and grab our rectangle tool.
- 02:06 I'm going to add one shape that kind of runs like that, and
- 02:10 we're going to change the color of this shape to a green color.
- 02:14 And we're also going to remove the outline, Ctrl+D to duplicate the shape.
- 02:20 And we're going to place this one, Next to it,
- 02:25 but this one's going to go all the way down to the bottom.
- 02:28 And we're going to change this to a blue fill color, and once again,
- 02:32 we're going to remove the outline.
- 02:34 So I now have the basic skeleton of my slide design.
- 02:38 The only thing I need to do now is add in my picture.
- 02:41 So if we go back to the Our Products page, this is the slide that I'm doing,
- 02:46 the one for Voiceovers.
- 02:48 So this is the image that I want to use.
- 02:50 So click in the shape, right-click, Format Shape.
- 02:55 We're going to fill it with a picture, we're going to select our picture source,
- 03:00 which is going to be my desktop.
- 03:02 I'm going to select my picture and click on Insert.
- 03:05 And then of course, we're going to do a good old crop and
- 03:08 fill to make sure that this isn't squashed up.
- 03:12 And I'm just going to move her over very slightly and click on Crop.
- 03:16 Now, in these particular slides,
- 03:18 I want all of the images to be in black and white.
- 03:21 So let's click on the image, jump up to Picture Format, and
- 03:24 then we're going to utilize the Color Adjustment tool.
- 03:28 And I'm going to basically take the saturation of this picture down to 0%,
- 03:32 which is going to give me that black and white feel.
- 03:36 The only thing left to do is to add the text.
- 03:38 So I'm going to grab this title, Ctrl+C, Ctrl+V.
- 03:44 And remember, it's going to paste in exactly the same location,
- 03:48 which in this case is perfect.
- 03:50 And I can change the title here,
- 03:55 To Voiceovers, I can then insert the text box and add in my text.
- 04:00 The one thing we haven't discussed yet, if I very quickly insert a text box,
- 04:05 is the use of bullets and numbering in your PowerPoint slides.
- 04:09 And in general, I tend to stay away from bullets and numbering,
- 04:13 as I feel they're a little bit old-school these days.
- 04:15 If you look at any modern presentations,
- 04:18 you'll see very few bullets or numbered items used.
- 04:22 But in case you do want to use them,
- 04:23 let me just show you very quickly how you would do that.
- 04:26 So up on the Home tab in the Paragraph group,
- 04:29 you have the option to insert some bullets.
- 04:32 And you have a small gallery of different bullet styles that you can insert, and
- 04:36 you also have an option to insert numbered items.
- 04:39 So I'm just going to use these basic bullets just here.
- 04:43 I could add my first bullet point, hit Enter,
- 04:51 So very straightforward to add bulleted text.
- 04:54 And of course, if you decide that you want to change this to a numbered list,
- 04:59 you can select all of the bullet points, jump up to Numbers, and
- 05:02 then choose the style of numbering that you'd like to use.
- 05:06 The final little thing we're going to do here is just jump onto the next slide, and
- 05:10 grab the company logo.
- 05:12 Ctrl+C to copy, Ctrl+V to paste, and it pastes it in in exactly the same spot.
- 05:18 So I'm going to go away and
- 05:19 create the rest of these slides in exactly the same way.
- 05:22 So join me back here in a few moments, and
- 05:24 I'll show you how you can set up hyperlinks.
- 05:27 So now all we need to do is add hyperlinks to this main page,
- 05:31 to link to the correct slides.
- 05:33 And this is very, very simple.
- 05:35 We're going to select what we want to be able to click on,
- 05:39 which in this case is the picture.
- 05:41 And you could either right-click your mouse,
- 05:43 and you'll find that you'll have an option for link in here.
- 05:46 Or alternatively, if you go to the Insert tab in the middle here,
- 05:50 you have a drop-down for Link.
- 05:52 Now, because we're going to be using Link quite a lot, what I'm going to do is
- 05:56 right-click on the top half of this button and add it to my Quick Access toolbar.
- 06:01 Now I can simply click on Link.
- 06:03 Now, you can link to many different things.
- 06:06 You can link to external websites and documents, and also email addresses.
- 06:11 But in this case, we want to link to a slide that's already in this document.
- 06:15 So make sure you have Place in This Document selected,
- 06:19 and then you're going to see all of your different slides.
- 06:22 So I want to link to slide number 12, which is the Voiceovers slide.
- 06:28 So let's select it, and if you want a little screen tip when you hover over,
- 06:33 click on Screen Tip and type in the text you want users to be able to see.
- 06:37 And click on OK and OK again, and you've basically created a link.
- 06:42 Let's do it one more time, let's click on Live Training this time.
- 06:46 Click on Insert Link, and this time I want to link to slide number 13.
- 06:51 Just for quickness, I'm not going to add a screen tip this time.
- 06:54 But obviously, you can if you want to, click on OK.
- 06:57 I'm going to go through and do the rest of these links.
- 07:00 So now, let's run our slideshow from the current slide.
- 07:04 And you should notice that when I hover my mouse over this first one,
- 07:07 I get that screen tip, please click to jump to Voiceovers.
- 07:10 And if I click, I'm going to jump me to that particular slide.
- 07:14 Now as I said before, we don't have a way of getting back to that main slide.
- 07:19 So something you might want to think about doing is adding some kind of back button
- 07:24 onto these sub-slides.
- 07:25 You can use a shape, or you can use an icon or a picture, or anything you like.
- 07:30 So let's just add a very quick icon.
- 07:33 And I'm going to search for house, and let's just choose this one just here.
- 07:39 Click on Inserts, and I'm going to change the graphic's fill color to white.
- 07:45 Let's make this a little bit smaller, and
- 07:48 I'm going to put that down in the bottom corner.
- 07:51 I can then insert a hyperlink that's going to jump me back to slide 11,
- 07:56 that main slide.
- 07:57 I'm going to do this in the same way.
- 07:59 Click on Link, and this time we want to link back to slide number 11.
- 08:05 And this time, I'm going to add a screen tip, JUMP TO HOME.
- 08:09 Click on OK and OK again.
- 08:12 Let's run our slideshow and make sure that this is working.
- 08:16 So now, if I click on the little house icon,
- 08:20 it's going to jump me back to my product page.
- 08:23 And I can then dive into a completely different page if I want to.
- 08:27 So I would suggest that you think about doing that.
- 08:30 I'm going to go through and
- 08:31 add that little home button onto each of these pages.
