Todoist Labels
Taking full advantage of what Todoist offers is so important. Labels are a way to organize your tasks in more detail.
The labels in the example are sorted by these categories:
- Time (5 min, 10 min, 20 min, 30 min, 1h)
- Tools (iPhone, Mac, Offline)
- Situation (offline)
- Energy levels (inactive, active, proactive)
When to use
- Use when you are looking to go from beginner to intermediate at Todoist usage
Instructions
- Go to "labels" tab on the menu bar
- Add a few sample labels
- Make sure to color code them to save time
- Begin adding to your tasks
- Add by hitting the "labels" button below the task
- Or using the "@" symbol to add new labels to tasks with intelligent input

- 00:09 and what we'll be doing is exploring the world of labels and filters.
- 00:14 We're gonna be starting with labels in this section so
- 00:17 that we can cover the resource.
- 00:19 Labels is a premium feature of Todoist.
- 00:22 Most of Todoist's experience is free anyway, so
- 00:25 I can imagine you'll be enjoying the experience.
- 00:27 But if you want to go a step further in maximizing your Todoist experience,
- 00:31 then this might be the step you need to take.
- 00:34 I would try and understand the features before you hit Premium button,
- 00:38 as we discussed at the start.
- 00:39 You need to totally be confident that this will bring an ROI to your productivity.
- 00:44 We're just gonna be discussing about the labels feature today, and
- 00:47 then in the next feature we're gonna discuss the filters function.
- 00:51 I find labels very useful, as you can see by my Today section.
- 00:55 You can see that it's organized in a way that you might not understand.
- 01:00 I highlight most of my activities based on three core things.
- 01:04 If I click on Labels, you'll see TIME.
- 01:07 TIME is an important part of a task.
- 01:10 I associate TIME to tasks so that whenever I can click into this one, for
- 01:14 example, I can see all of the items I can complete in 5 minutes,
- 01:18 all of the items I can complete in 10 minutes and same with 20, 30 and 1 hour.
- 01:24 Scrolling down from here, you can see IPHONE and MAC.
- 01:28 Now these are the equipment I need to complete the task.
- 01:31 So for example, I need my Mac to work on this project,
- 01:34 I need my Mac to work on this project.
- 01:37 And I need my iPhone to work on one in a moment, so it's a great way for
- 01:41 me to associate a task with it.
- 01:43 This is important, say, for example, if I'm in like a Taxi, I'm going somewhere,
- 01:48 and I'm like, I can't get my laptop out.
- 01:51 What task can I do while I'm in the car on the way to a meeting?
- 01:54 I can quickly click IPHONE, and it's a great way for
- 01:57 me to access that information.
- 01:59 Vice versa, if I've got my Mac and I know, like, God, I'm not gonna have my Mac
- 02:03 all of next week, I should only do the tasks that are Mac associated,
- 02:08 I can click on that and actually get started with all of those tasks.
- 02:12 So the next one is OFFLINE.
- 02:14 These are all tasks I can complete offline without the need necessarily for
- 02:18 Internet access.
- 02:19 I have three others, and that is energy levels.
- 02:22 Of course as you go about your routine, like right now I need
- 02:26 to be fairly proactive, which means I have a lot of energy, however,
- 02:30 there are tasks I need less energy, like social media.
- 02:33 It is an Inactive task for me, 'cause I enjoy it and it's quite relaxing.
- 02:38 It doesn't take too much energy for
- 02:40 me to do, 'cause I don't necessarily need to open up a heavy program, etc.
- 02:44 INACTIVE, ACTIVE, and
- 02:45 PROACTIVE determine the energy level I need to complete the task.
- 02:49 This way, with all of these different assets,
- 02:52 I can actually build up a good idea what I need to do to complete this task.
- 02:56 So it's actually an incredibly valuable way to organize and set up everything.
- 03:01 So this is something that is continually growing, but I find it incredibly useful
- 03:05 when I'm adding a new task or even trying to find something.
- 03:08 I can quickly access it and go a lot deeper.
- 03:11 This is something that I'll probably explain a little more.
- 03:14 However, I will include this in the exercise,
- 03:16 which will give you an overview of how you can be setting something like this up.
- 03:21 There's four key areas that you can experience a task around, and
- 03:24 we'll go through that with even more detail in the exercise.
