Formatting Projects
Your projects can be adjusted and maintained all within your Todoist account. Formatting projects is possible in order to tweak your projects view and optimise it for your ideal set-up. You can edit, indent, add to favourites and archive projects. Great for mastering the look of your projects within the Todoist sidebar.
When to use
- Once all projects have been created in Todoist and when adding cosmetic edits
Instructions
- Open Todoist
- Head to the Sidebar
- Open the "Projects" Tab
- To indent a project, select the options (three-dots)
- Indent your project (under/above)
- To favourite projects, select the options (three-dots)
- Hit "Add to Favourites"
- The project will be pinned to the top of your sidebar
- To archive a project, hit options (three-dots)
- Hit "Archive" to archive the current project
- Select "Archived Projects" to see all past projects
- You can also delete projects, too
Hints & tips
- Indenting projects are good for managing long-winded projects
- Archived projects are useful for future templates
- Delete projects will be removed and appear in trash

- 00:08 Now in the last feature, we discussed about creating your first project.
- 00:13 And, of course, that's a very valuable thing.
- 00:15 As you can see on the left-hand side,
- 00:17 you'll be able to see all of your projects in action.
- 00:20 And I want to demonstrate some of the formatting functions and a little bit more
- 00:23 of the advanced functions of using projects as you go about your day.
- 00:27 Once you are able to do this,
- 00:29 you'll be able to manage your projects a little easily, and
- 00:32 it becomes more structured when you're using and setting up new projects.
- 00:36 So as you can see here, you can use the tap to open up any projects and,
- 00:41 expand them right here.
- 00:42 Now, in the last session, we created birthday and, what I want to demonstrate
- 00:47 is how you can use the Indian function to create the perfect setup.
- 00:52 Now, you're probably wondering, why I didn't include that inside of personal,
- 00:56 maybe the birthday's a personal tasks that I want.
- 00:59 So, of course,
- 01:00 as we demonstrated last time, you can change the order of your projects.
- 01:04 But the one thing you can do inside the project options,
- 01:07 clicking Edit project you can create indent.
- 01:10 So an indent is going inwards will be created like that.
- 01:15 And as you can see, it will nest underneath this project here.
- 01:19 If I was to click this button here,
- 01:21 the indent out, I'll be able to see it appear back where it left off.
- 01:26 So you can have as many indents as you'd like.
- 01:28 Once I click save, you see it comes part of the personal section.
- 01:34 If I click on personal,
- 01:35 you should be able to see the project available inside of this nest.
- 01:39 This is a great way to organize if you have like a project that is over arching
- 01:44 a couple of other projects, or you have different categories to your project.
- 01:49 Now this is a great way of doing it.
- 01:51 Now for example, if I wanted to create a new project like Conference for
- 01:55 example, and title this one Conference and
- 01:59 give it a color, I could indent this one and add project.
- 02:03 Then as you can here, the conference appears underneath the work based items.
- 02:09 Now once I go to the inbox, I can drag this task into the conference section and
- 02:13 it becomes available there.
- 02:14 So you should be able to see the task just below that.
- 02:17 Now there is a way of adding even more detail to this.
- 02:20 As you can see, you can hide them, but if you want to open them up, you can.
- 02:24 But in this case, I do actually want to pin one of these projects,
- 02:28 and I want to pin conference to this left-hand panel.
- 02:31 Now, you can do that quite easily.
- 02:33 You should be able to see a setting called add to favorites.
- 02:37 Once you click add to favorites, it appears below the next seven days.
- 02:41 And you can do this with any projects, labels and filters.
- 02:45 It's really easy to do this, too.
- 02:46 Any given point, if you want to, for example,
- 02:49 let's say the birthday finished, archive, a certain item or project you can do so.
- 02:54 Now if I click archive, it will go into the archive project section.
- 02:58 As you can see here, I've got a few demonstrations of previous projects.
- 03:02 You can click in and
- 03:03 actually see all of the different items that you have in there.
- 03:06 It won't be clickable but
- 03:08 you can restore the project if you want using the Unarchive tab.
- 03:13 Now, this is useful in case you create a project, so you want to create template.
- 03:17 In this demonstration,
- 03:18 I've actually going to delete this one because I no longer need it.
- 03:21 Deleting the project is really easy.
- 03:23 You just have to select Delete, and that will be fully deleted from your account.
- 03:27 You can hide Archived if you want to go after that, too.
- 03:31 Now, of course, these are small additions, but they're very helpful when using your
- 03:34 Todoist account, and especially once you get going with projects.
- 03:38 So hopefully, that was a nice overview.
