Small businesses and teams can find a lot of benefits in using Todoist for everyday administration tasks and planning ahead as a team.
The sharing abilities of Todoist combined with features like delegating task, comments and filters make for a haven for teams. Teams can create and manage projects at will and go further by planning the week or month ahead.

- Todoist can be organized into two core experiences:
- Administration for recurring habits and routines
- Project management for working with clients or internal projects
- Use recurring reminders to set-up daily routines in the office
- Assign a chief of adminstration for Todoist to avoid stress
- Begin planning the week ahead using the Next 7 days section
- Add meetings to your Todoist for your team to view (using time-based tasks)
- Use the exercise to tally all of your admin/project based work
- Begin applying the lessons to your Todoist account

- 00:09 Now, we are going to be diving into the first of the case studies area.
- 00:13 We are going to be speaking about how you can use Todoist for small businesses.
- 00:17 Now, this will kick off a short case study, so
- 00:19 if you want to understand how you can use it for each of the different situations,
- 00:24 do check out this section, because it will be a very valuable section.
- 00:28 So for small businesses, you obviously have a host of different objectives.
- 00:32 The first of those objectives as a small business would be to manage
- 00:36 administration.
- 00:37 This could be a host of different things, routine, daily habits,
- 00:41 meeting administration, and reviewing the week ahead.
- 00:44 If you have a small team,
- 00:46 those are the things you want to keep managing inside of your Todoist account.
- 00:50 The other is project management, whether you work with internal projects or
- 00:55 many with client work, then managing internal projects and planning out that
- 01:00 client success Is quite important, and you can do that all inside of Todoist.
- 01:05 Now let's start with team administration.
- 01:08 There are some features that really benefit small businesses when
- 01:11 it comes to team administration.
- 01:13 The first of them are creating recurring reminders and due dates.
- 01:18 Now this is very important if you have a habit of doing something every Friday at
- 01:23 4:30 PM, like check orders for Amazon, then you can set a recurring
- 01:27 reminder to do that, and assign it to someone in the team.
- 01:31 This is quite helpful, and a good way of keeping a healthy habit and routine
- 01:35 without missing out on it amongst all of the other tasks that you have to do.
- 01:40 Another feature is actually assigning a chief of administration for your projects.
- 01:44 This is helpful when it comes to managing different projects, and
- 01:48 administration becomes a lot easier when you assign it to one person.
- 01:53 And the other feature is using the next seven days to plan the week ahead.
- 01:56 A lot of people use this,
- 01:58 as well as the filter section to coordinate what's coming up.
- 02:01 In terms of best practices,
- 02:03 it's really important to shortlist your most common habits.
- 02:07 This could include printing, office security, accounting, planning.
- 02:12 All of those different things,
- 02:14 and actually assign that inside of Todoist to recurring reminders.
- 02:18 The other thing that you can do is use the projects to add in-meeting
- 02:22 activities using time-based tasks.
- 02:24 So for example, let's say you're sat in a meeting.
- 02:27 Start adding some of the tasks set to come out of that meeting, and also,
- 02:31 you can actually add your meetings as time-based tasks inside there so
- 02:35 that all of the team remember what's coming up.
- 02:38 Now in terms of client projects,
- 02:40 it's important to use the feature settings inside of Todoist to coordinate that, and
- 02:44 creating a project per client is something that is very popular for small businesses.
- 02:49 And once you have that project, invite the most relevant people to each project.
- 02:53 You don't have to invite everyone,
- 02:55 you can invite those people that most need to see all of that information.
- 02:59 And you can even invite external freelancers and contractors to help make
- 03:04 that relationship even better and actually assign work to them.
- 03:08 You can also use the comments section to discuss a task's concerns, or
- 03:12 even the importance of the task.
- 03:14 And in terms of best practice,
- 03:16 asking your team how they'd like to manage it before, it's very important.
- 03:20 Organizing routine meetings to discuss improvement for your Todoist account,
- 03:25 and how you manage client projects is very important, too.
- 03:28 So carving out ten minutes every week to quickly discuss
- 03:31 that can really help improve your Todoist account.
- 03:34 Now in terms of a small exercise for your small business,
- 03:37 if you're planning to use Todoist for this,
- 03:40 you need to start tallying up your admin and project objectives.
- 03:43 You need to checklist your routine and project items so that you can help reduce
- 03:47 strain when you're setting up your Todoist account for your small business.
- 03:51 Whether that's a list of all the admin stuff that you do already, or
- 03:55 all of the project stuff you do already and
- 03:57 how you'd apply that inside of your Todoist account.
- 03:59 That's going to be a great way to get set up in your Todoist.
