Using Labels and Filters
One of the more advanced features, labels and filters are used determine task importance and context.
Add labels helps to add detail, everything from time to complete task, all the way to what tool to use to complete the task.
Filters help users to sort and filter tasks into a view that will help them focus on the most important tasks to the situation.
Examples include anyone who travels lots with little online access with tasks that match that criteria or the professionals who like to map their week ahead out using filters.
When to use
- Once you've created all of your labels
- As you look to filter your task list into specifics
Instructions
- Open Todoist
- Open Labels and Filters panels in your sidebar
- Browse the pre-existing filters in Todoist
- Create a new Filter
- Title "Priority Today"
- Add query: "tod & p1" for priority 1 and today tasks
- View Filters
- Create a new Filter
- Title "Low Prority Tomorrow"
- Add query: "tom & @5mins"
- All tasks will appear that have a @5mins label and tomorrow due date
- Drag and drop these two filters to the top of the filter list
- Create new labels based on time, tools and location
- Use the Exercise to create your list of labels and filters

- 00:08 We are diving into labels and filters in a bit more detail.
- 00:12 Now we explained very briefly about the creation of labels which is accessible on
- 00:17 this left-hand panel.
- 00:18 And we also talked about a way that filters can be used to sort and
- 00:22 view some of your tasks based on different context points like project due date and
- 00:28 even labels.
- 00:29 So it's really accessible and it's a really great way
- 00:31 when you're using your Todoist account to really optimize it.
- 00:35 Because a lot of people don't tend to use these but
- 00:37 they're a great way to go much more advanced than you think.
- 00:41 Labels and filter can be used in many different ways.
- 00:43 Some people use it as a way to optimize their energy levels throughout their day.
- 00:48 Some people have the ability to go into Priority 1, for example, and
- 00:52 get on with their most important task first.
- 00:55 And others go into Priority 3 and
- 00:58 actually just do all their Priority 3 tasks when they've got low energy.
- 01:02 So that they're actually doing something when they have a little amount of energy
- 01:06 in their system.
- 01:07 If you want to be able to break down tasks,
- 01:09 we're going to give you a few examples of how you can use this very, very simply.
- 01:14 So if I wanted to, at any given point, create a priority for today section,
- 01:20 all I'd have to do is create a new filter, hit Priority Today.
- 01:25 Choose a berry red label and hit p1 & today.
- 01:31 Now if I click Enter, there's nothing in my priority today that is a p1.
- 01:35 But let's say I do need to iron these clothes, and
- 01:37 I'll just put a label on there.
- 01:39 If I go back down to Priority Today, you can see that that appears most important.
- 01:44 So for example, let's say I was like, okay, I've got a couple of items on my
- 01:48 today list but I actually need to get in the most important things done.
- 01:51 I could hit this one and it is very useful.
- 01:54 Now if you wanted to, as an example,
- 01:56 you can actually change this today to next 5 days and hit Save.
- 02:02 And what will happen is you'll see your next 5 days and
- 02:05 the p1 tasks that are highlighted.
- 02:07 And it's a great way to see your most important and priority items for the day.
- 02:12 Let's say you're planning a week.
- 02:13 You could, for example, start adding new items here and put Learn Portuguese.
- 02:19 And you can add it to a project from here without any fuss.
- 02:24 So you can start using this as a way to plot and plan your most important items.
- 02:29 So you're probably wondering, let's say you finish your day early and
- 02:32 you're like, okay, I need to get on with some of the items for tomorrow.
- 02:35 You can put Low Priority Tomorrow as one of your tasks.
- 02:40 You put the label color as yellow and you can add @5mins
- 02:44 because they're slow tasks and use the & symbol and put tomorrow.
- 02:48 And you click add filter, and you can start adding some tasks or
- 02:52 view any of the tasks that are there.
- 02:53 So for example let's say you've got it in for
- 02:56 tomorrow, if I put a few of these dates in for tomorrow, if I go back
- 03:00 to this low priority section, you can see some tasks have been populating now.
- 03:04 It's a great way to really take advantage of tomorrow.
- 03:07 Then you probably wondering how I moved stuff up here.
- 03:10 All you have to do if you want to move it up is grab it and
- 03:13 drag it up to the top, which is very helpful way to organize your filters.
- 03:18 Now you're probably wondering Labels wise, how do I take labels to next level?
- 03:22 And, of course, there's some great ways to do this.
- 03:25 And what I'm going to demonstrate is some time based ones, some tool based ones, and
- 03:29 scenario based ones.
- 03:31 So for example, let's say you've already created five minutes, 30 minutes.
- 03:35 Let's say I wanted a few in between like 15 minutes, and I'm going to drag it up
- 03:39 between, and I'm going to rename it, and a color to it, there you go.
- 03:44 So you can see here, I've got 5 minutes, 15 minutes, and 30 minutes,
- 03:47 maybe that's the most suitable for you.
- 03:49 Although, you could have, for example, one hour as a longer task.
- 03:53 Now if we click save and drag this one at top,
- 03:55 I've got four time based labels and it's a great way to visualize that.
- 04:00 Now for example I created, phone is a good example one but if I wanted to add PC,
- 04:04 that's a task that can be done on my PC, that's pretty easily done.
- 04:09 And I can actually add colors to both of these labels, really, really easily.
- 04:13 But it's a great way to go, okay, what tasks can I do on my PC?
- 04:16 What tasks can I do on my phone?
- 04:18 And as you can imagine, tools can be very helpful because you might
- 04:21 not necessarily have your laptop on you but you can do it on paper.
- 04:25 So for example we could put paper here and give it a light blue filter.
- 04:29 So it's really really easy to use.
- 04:31 We created town last time.
- 04:33 But let's say you wanted to put it at home.
- 04:35 So there are errands that you want to do at home.
- 04:37 And let's put office as well because you can do them in the office.
- 04:41 Now some people even put labels like car.
- 04:44 So they actually, before they start riding in the car, they actually have a list of
- 04:48 podcasts for example, ready to go that they can start listening to there.
- 04:52 Now, I can shuffle these up, very similar to what I did with the filters
- 04:56 to organize them and keep them really steady.
- 04:59 So you can see here I've got a host of filters.
- 05:01 They're a great way for me to get started.
- 05:03 So combining those with filters and
- 05:06 labels will really make a magical experience for your Todoist account.
- 05:10 And it does add a lot of color as well and at any given point, I can click into these and
- 05:15 see all of the tasks that I need to do per label.
