Learn how to manage all of your personal tasks and projects within a Trello board.
When to use
To understand the different ways that you can manage to-dos within a board.
Instructions
Trello is an excellent application for managing your personal tasks and projects in addition to collaborating with a team. Within a board, you can create various lists that represent different stages of your own productivity system.
The different lists represented in this Project and To-Do List example include:
Ideas: This is where you can use cards to take notes and include your new ideas.
Projects: This list represents all of your key projects or goals.
Tasks - Today: This list represents all of the tasks that you decided to accomplish today.
Tasks - Future: This list represents all of the tasks that you want to accomplish in the future.
Completed: This list represents the final step in the task list process. To-Dos which have been completed can be moved here for reference.

- 00:17 In this board example, I'm gonna show you how to manage
- 00:20 everything on your plate all within a single board.
- 00:25 Let's start by reviewing each list in this particular board.
- 00:29 The first list is titled Ideas.
- 00:32 And this is meant to be a place to collect all of those new ideas,
- 00:36 all those new thoughts that pop up in your mind throughout the day.
- 00:41 Of course not every single idea is going to blossom into a project or
- 00:47 will be committed to an actual to-do.
- 00:49 So it can be great to have a list just where you can free form add content and
- 00:54 add ideas here.
- 00:56 Of course, many of these ideas will become projects, and
- 00:59 that's why I have listed the Projects list next.
- 01:03 It can be great to have a single list to see all of the big projects,
- 01:09 all of the major projects that you're working on at any given time.
- 01:14 Remember, within the card itself we can add as much
- 01:18 detail as we like including attachments, and notes, and images.
- 01:22 But on the front of the card we can keep our projects nice and clean and simple,
- 01:27 so we can evaluate what we are working on at any given time.
- 01:33 Now projects of course are made up of individual tasks and
- 01:37 that's the next two lists represent.
- 01:40 I have Tasks Today,
- 01:42 this represents everything that I'd like to accomplish today.
- 01:46 And then I have a second list titled Tasks- Future.
- 01:50 These are other to-dos that I have committed to doing, but
- 01:53 I'm not planning to work on these today.
- 01:56 You may feel the need to add even further lists representing all of your tasks.
- 02:01 I've seen many people have a task today, a tasks tomorrow and
- 02:06 then a tasks next week or in the future.
- 02:10 Whatever feels best for you or however you would like to manage your tasks,
- 02:15 of course, Trello gives you unlimited lists for you to do so.
- 02:19 And then lastly, we had a list titled Completed.
- 02:24 This can be very helpful if you'd like to see what you have completed in a given
- 02:28 week, or if you'd like to come back and see all the things that you've finished.
- 02:32 Once I've reviewed this marketing report,
- 02:34 perhaps I'd like to drag it over to the completed list.
- 02:38 And of course at some time in the future I may want to come back and
- 02:42 just archive everything in this list if it starts to get too long or
- 02:47 if I'm no longer making good use of this list.
- 02:51 Of course, this is just one way to manage your projects and manage your to-dos.
- 02:57 And remember, because Trello does have dedicated mobile applications both for
- 03:02 Android devices, iOS devices, and many other devices, it can be very
- 03:08 easy to manage all of your to dos and manage all of your tasks when on the go.
