Learn how to work with Headers and Footers and the ribbon features included.
When to use
Use a header or footer when you have some information that you would like to be automatically added to every page in your document, for example your name on a report, or your logo on a business letter.
Instructions
Access header with the mouse
- Move your mouse to the top margin of the page and double-click.
Observe the three changes to your screen:- The document portion is shaded and the header portion is bright.
- The dashed line appears with the header label.
- A new ribbon opens at the top:
- You can also scroll to the bottom to adjust your Footer or access it via the double click into the bottom margin of the page.
Access header with the Insert ribbon:
- Click the Insert Ribbon.
- Click Header drop-down arrow and choose a Header layout.
- Enter the text to display.
Two options to close the header/footer:
- Move your mouse to the document page and double click.
OR - Choose “Close Header/Footer” on the Header & Footer Tools ribbon.
- 00:04 Okay, this is lesson is all about headers and footers.
- 00:07 Basically, a header is any text or
- 00:09 logos or pictures that you would like to put in the top one inch of your margin.
- 00:14 Please take a look on the left-hand edge of my window.
- 00:16 The darkened part of the ruler is the top one inch.
- 00:19 This would be the header location, also known as your top margin.
- 00:23 Of course, the footer is at the bottom.
- 00:25 If I scroll down to the bottom, you can see on the ruler,
- 00:28 I have a bottom one inch, and this would be the footer section.
- 00:31 All right, in order to type into the header,
- 00:33 in my opinion the fastest way is just double-click into that top margin.
- 00:37 Click click, and it pops it open.
- 00:40 My words brightened up, my logo brightened up.
- 00:42 I have a dotted line with a header tag, and all the text down below dimmed down.
- 00:47 Now take your eyes up above to the ribbons.
- 00:48 We have a brand new Header and Footer ribbon.
- 00:50 You'll get very good at watching these ribbons pop up and when they're available,
- 00:54 so pay attention to that all the time.
- 00:56 All right, one of the best buttons here is this Go to Footer button.
- 00:59 This saves me from having to scroll, scroll, scroll to the bottom.
- 01:02 I simply click Go to Footer, and there I am right at the footer.
- 01:06 All right, at this point, I'm gonna go ahead and enter some text, brand new text.
- 01:11 And if I prefer I can enter page numbers.
- 01:14 Right over on the left I have header, I have footer, I have page number, but
- 01:17 we're going to have an entire new lesson about those.
- 01:20 I'm going to pop myself right back up to the Go to Header section, and
- 01:25 I want to show you something else.
- 01:27 I've got a two-page document, I'm gonna hit my Multiple Pages button,
- 01:31 which is already on my Quick Access tool bar, so you can see them side by side.
- 01:35 Now watch what happens when I click on the left-hand GoSkills logo and
- 01:39 drag it over to the center.
- 01:41 Keep your eyes on the right hand side, watch what happens at the same time.
- 01:44 Click and drag, here we go.
- 01:46 You see, these are all linked from page to page to page.
- 01:49 I only have one logo, but you can just see it on multiple pages.
- 01:53 Now what if I can click on this second page one and I move that over?
- 01:56 Take a look on the left.
- 01:57 It's moving along with me, do you see?
- 01:59 It's one image repeated on every page.
- 02:02 Of course there is a way to break that if you need to just switch different logos,
- 02:06 that's an advanced lesson, but for now you just need to understand.
- 02:09 Just put one in there, it will repeat itself on every page.
- 02:12 Now go back to my Single-page view and back to Page one, here we go, and OK.
- 02:20 I'm done with the header for now, so I'm going to double-click out of it.
- 02:23 Down into my document, double-click, and as you can see,
- 02:26 everything dimmed down into my top margin and brightened up in my document.
- 02:31 Please keep in mind, when I print this, everything will be nice and
- 02:33 bright and bold.
- 02:34 It's only dim on your screen in order to identify the header section.
- 02:39 All right, let's do this a different way.
- 02:40 Instead of double-clicking into the top margin, I'm going to click on Insert.
- 02:45 And right over here, I have a wonderful little Header button.
- 02:47 And now I'm going to wipe out my existing header and
- 02:50 replace it with a preformatted one.
- 02:52 When I click there, there you go, I just wiped out everything.
- 02:55 Be aware of that.
- 02:56 It's kind of nice if they're preformatted,
- 02:58 not too nice if you had something in there you really liked, okay?
- 03:01 So just be aware of that.
- 03:03 All right, we're gonna stay here just for a moment,
- 03:06 'cause I'm gonna show you the Header Footer design ribbon,
- 03:08 it's worth taking a look at all of these items again.
- 03:11 We will have a new lesson on page numbers, the date and time,
- 03:14 maybe I will like to enter the date and time, we'll just put April 2019.
- 03:19 Let's see, and it turned red.
- 03:21 You can still use all the home ribbon formatting tools.
- 03:24 You're not stuck with any color that's already there.
- 03:27 Go ahead an use your other tools, but
- 03:29 then just get yourself back to the header-footer design tools.
- 03:32 I can put document info, quick parts, pictures, many,
- 03:35 many different options in here.
- 03:37 I can go to the previous header, I could go to the next header.
- 03:41 But one of the most important things right up here is the position and
- 03:44 that of course the close header footer.
- 03:46 The position's kinda nice because you can actually determine how far
- 03:49 away from the edge of the paper you want this to print.
- 03:52 So I can enter .25, a quarter of an inch is about that limit.
- 03:55 That's the closest most printers will print from an edge of a piece of paper.
- 03:59 And then watch what happens when I click off of this.
- 04:03 Everything shifted.
- 04:04 See my date shifted up and my ruler shifted.
- 04:06 Now I'm gonna go put it back to .5 and
- 04:09 watch what happens, it moves down again, you see.
- 04:12 All right, I'll go ahead and close the header that's it for now,
- 04:15 we'll see you in the next lesson.
