Navigation Pane
Learn how the Navigation Pane assists with document management.
When to use
The Navigation Pane will become a constant on-screen tool as you become an advanced MS Word user.
Instructions
Click the VIEW ribbon, and in the SHOW group, put a checkmark in the Navigation Pane box.
Click through the three options, Headings / Pages / Results, and observe the changes in the Navigation pane. Practice using these options on the Exercise file provided.
On the Results option, click the drop down arrow and click “Replace” (or press CTRL + H)
This allows you to find a certain word and Replace it with a different word.

- 00:05 In this lesson you're going to learn the tools of the trade,
- 00:08 and one of those is the navigation pane.
- 00:11 If you click on your view ribbon up on top,
- 00:14 over here in the show group you'll see the navigation pane box.
- 00:17 Please put a check mark there, and
- 00:19 on the left panel you'll see navigation pane show up.
- 00:22 In this navigation pane there are three sections, headings, pages, and results,
- 00:26 we're going to look at all three of those.
- 00:28 First of all we have a short list of headings.
- 00:30 If you go ahead and click on these, it will move you through your
- 00:33 document based on the style of the heading that's on the screen, now these styles
- 00:38 were applied on the home ribbon right over here in the styles group.
- 00:42 Notice heading one is selected, so
- 00:44 this heading one style corresponds to the navigation pane heading sections.
- 00:50 And again, this allows you to jump through a section at a time.
- 00:52 It's a wonderful way to work your way through a document.
- 00:55 Next one happens to be pages.
- 00:57 This is one of my favorite ones.
- 00:59 So when you click pages, these are called thumbnails, and
- 01:02 they basically show you your page layouts.
- 01:04 If I had 100 pages, I'd have 100 little thumbnails here, and
- 01:07 I could click from one to one, which would help me avoid the control page down,
- 01:11 or page up to get from one page to the next, also avoiding the scroll bar.
- 01:17 So I do like pages.
- 01:18 The most important thing about the navigation pane happens to be the results.
- 01:22 Now results, I can search for any word right here.
- 01:24 So I'm gonna type in the word sample,
- 01:26 cuz I obviously it's been used quite a few times.
- 01:29 When you type a word into a document, now this is just a short document, but
- 01:32 if it was a long one, it would find hundreds of these words, I'm sure of it.
- 01:36 So again, you can click through there, and
- 01:38 you can just find every instance of that word that's in there.
- 01:44 Now on the end of this old box right up here,
- 01:46 there's a drop down arrow, this is where all your advanced options are.
- 01:49 We've have Advanced Find, we can Find and Replace with another word, we can
- 01:54 Go To another page, or graphic or heading, and we have all these other things,
- 01:59 Find Graphics, Tables, Equations, Footnotes, Endnotes, Comments.
- 02:03 Let's go ahead and click on replace because I wanna show you how that works.
- 02:07 I'm gonna click replace.
- 02:09 We get a new box.
- 02:10 It says, find what replace, and we're gonna type the word other.
- 02:14 So we're gonna find sample and replace with other.
- 02:17 We can hit replace One at a time, or Replace All.
- 02:21 Just one fell swoop replace all the word sample with the word other.
- 02:25 And it says it found two replacements.
- 02:27 Do I want to continue from the beginning?
- 02:29 Sure.
- 02:30 And it found a total of six replacements.
- 02:32 Okay. And so now I'm gonna close that box and
- 02:36 I'm gonna come back over here to my Navigation pane, click on Headings, and
- 02:40 there, my short list before that said Sample Heading,
- 02:42 now says Other Heading, and I can click through and look through them all.
- 02:47 When you make use of the Navigation pane, it will help you become more efficient,
- 02:52 become a better user of Microsoft Word, and
- 02:55 just take some of the mystery away of how to work your way through a long document.
- 02:59 It's an incredibly valuable lesson here, and
- 03:02 it's one of the best things I can teach you.
