Learn how the Navigation Pane assists with document management.
When to use
The Navigation Pane will become a constant on-screen tool as you become an advanced MS Word user.
Instructions
Click the VIEW ribbon, and in the SHOW group, put a checkmark in the Navigation Pane box.
Click through the three options, Headings / Pages / Results, and observe the changes in the Navigation pane. Practice using these options on the Exercise file provided.
On the Results option, click the drop down arrow and click “Replace” (or press CTRL + H)
This allows you to find a certain word and Replace it with a different word.

- 00:09 There's two places to turn that on.
- 00:11 So you can click on view and activate navigation pane.
- 00:15 Also down here on the bottom left where it says page one of two,
- 00:17 if you just click that, up comes your navigation pane by default.
- 00:21 Now, on the navigation pane itself there's three sections.
- 00:24 There's headings, which will list all the headings.
- 00:27 There's pages, which will show you thumbnails of all the pages.
- 00:31 And there's results, and
- 00:32 this is if you search the document like Ctrl + F for find.
- 00:35 And so, let's go ahead and start with the headings.
- 00:38 First of all, headings on the document are set up on the home ribbon in this section,
- 00:43 the style section and headings.
- 00:45 So this is how you quickly can click and
- 00:47 navigate though a document to all the different headings.
- 00:50 Wonderful if it's a long, manual with headings all through it.
- 00:54 You can just skip to the one you want.
- 00:56 Now, the pages, same story.
- 00:59 I only had two pages here, but I can just click on whatever page, and
- 01:02 it will zoom me right there.
- 01:04 I'm not scrolling at all,
- 01:05 I'm just clicking on which thumbnail I want to activate and it does.
- 01:09 If I had 100 pages, I would have 100 thumbnails right there.
- 01:12 Now another way to zoom through a document is that the results basically the find
- 01:18 function that our little magnifying glass indicates that we are gonna search for
- 01:22 something.
- 01:23 And I'm gonna search for the word sample.
- 01:25 So I just type that in there and I didn't even hit Enter.
- 01:28 It just automatically highlighted all the instances of the word sample.
- 01:34 And plus, I can go ahead and click to the one I want.
- 01:38 A wonderful way, especially, with hundreds of pages in the document.
- 01:42 A wonderful way just to find a certain word.
- 01:44 But we have more.
- 01:45 So notice, on this navigation table there is a dropdown arrow at the end.
- 01:49 We have options, advanced find, replace, go to a certain page.
- 01:54 And you can also find graphics, and tables, and equations, and comments, and
- 01:57 all these wonderful things, but I do wanna show you the Replace,
- 02:01 cuz this is the best way to find one word and replace it with another.
- 02:05 So, I'm gonna go ahead and activate Replace and
- 02:07 I wanna find the word sample and replace it with the word other.
- 02:11 But before I do that.
- 02:12 And I am going to do that, and hit replace all.
- 02:14 Cuz I don't want to waste any time doing one area at a time.
- 02:16 I want them all gone.
- 02:17 But look at this button, the more button.
- 02:20 When I activate that, you can actually find and replace a certain format,
- 02:26 or a special character, as long as you just know
- 02:30 that this little more button right here has a little bit of magic, okay?
- 02:35 So I'll go ahead and find Sample, replace with Other, and
- 02:39 I'm gonna go to Replace All.
- 02:41 And just like that, it says we made 3 replacements.
- 02:43 Do you wanna continue searching from the beginning?
- 02:45 Of course I do, then for a total of 6 replacements.
- 02:49 Hit OK, and when I close that, there they are.
- 02:53 So now if I find the word let’s see other, it will automatically highlight and
- 02:59 go to all the instances of other, and it won’t even find any sample ones at all.
- 03:03 So that is a great way of how you use the navigation pane, and
- 03:07 I must tell you when I am working in Microsoft Word, it is my habit to make
- 03:11 sure my navigation pane is on at all times because skipping around to the headings,
- 03:16 skipping around to the pages is invaluable.
