Modify and Organize Presentations
Use Copilot to make changes to a presentation and organize the slides into sections.
When to use
We use Copilot to make changes to our presentation whenever there is something we need to change, delete, or replace.
Instructions
Change Text
Let's use Copilot to make changes to the text in the presentation.
- Type the prompt: Replace the text in bullet 2 with the text 'Yoga was originally developed as a way to calm the mind and body'.
- Press Enter.
Change the Background Fill
- Type the prompt: 'Change the background fill color of this slide to black'.
- Press Enter.
Copilot will change the background fill. Let's try and change the background fill of all slides to black.
- Type the prompt: 'Change the background fill color of all slides to black'.
- Press Enter.
Copilot is unable to perform this task. If we ask Copilot to complete a task where it doesn't have access to the commands, it will show us instructions instead and direct us to the correct option on the ribbon.
- Click Do it for me.
Increase the Font Size
Let's see if Copilot can increase the font size of all text in title placeholders.
- Type the prompt: 'Increase the font size of the text in the title placeholder on slide 1 to 44pts'.
- Press Enter.
Add Sections
Copilot can help us organize the slides in our presentation by adding sections.
- Type the prompt: 'Add sections to the presentation'.
- Press Enter.
Copilot will show an outline of the slide deck and add sections to the presentation where necessary. Sections can be renamed manually and we can move slides to different sections if required.
Hints & tips
- Currently, Copilot cannot move slides from one position to another. This needs to be done manually in the thumbnail pane.
- 00:04 Let's take a look at some more modifications that we can make to existing

- 00:10 So we're working with our yoga presentation.
- 00:13 I'm on slide two, and I'm going to ask Copilot to replace some of the text.
- 00:18 So I wanted to replace the text in bullet two with the text,
- 00:23 yoga was originally developed as a way to calm the mind and body.
- 00:28 So I've made a slight wording change just there.
- 00:31 Let's send it through and see if it can change the text.
- 00:34 And I can see that yes, it can.
- 00:36 So you're not stuck with the text that it's generated,
- 00:38 you can make modifications.
- 00:39 Let's make another change.
- 00:42 This time I'm going to say,
- 00:43 change the background fill color of this slide to black.
- 00:47 So let's see if it can apply formatting.
- 00:49 And there we go, it's changed that background color.
- 00:53 Now notice I specifically said this slide only.
- 00:56 So let's try and do this for all of the slides.
- 00:59 So I'm going to say change the background fill color of all slides to black.
- 01:04 Now you can see there it says that it's changed the background color of all slides
- 01:08 to black, but it actually hasn't.
- 01:10 So I can still see if I look at my presentation that the rest
- 01:13 of these slides still have that green background, so
- 01:16 sometimes Copilot can be a little bit inconsistent.
- 01:19 Now that can be to do with the way that you've worded the prompt, so
- 01:23 you might want to reword your prompt and give it another go, or
- 01:26 sometimes it just simply can't do what you're asking it to do at this stage.
- 01:31 Remember, this is a product that is going to evolve over time and
- 01:35 more features will be added to make it even more powerful.
- 01:38 So I'm going to change the wording of my prompt, this time to format the background
- 01:42 of all slides to black and see if it works any better using that prompt instead.
- 01:47 Now I can see that it still hasn't done it, but this time,
- 01:50 it's actually giving me a little bit more information, so
- 01:52 it's giving me directions about where I need to go.
- 01:55 And if I click on Show Me,
- 01:56 it's going to take me to the option I need to format the background.
- 02:00 So from here I can now change it to black.
- 02:03 And if I click Apply to All at the bottom,
- 02:06 is going to apply that black formatting to the background of all of my slides.
- 02:11 So sometimes even if Copilot can't do it directly for you,
- 02:15 it will show you in PowerPoint where you need to go to access that feature,
- 02:19 which is also pretty cool, it's like an inbuilt help.
- 02:22 Let's type another prompt.
- 02:24 This time we're going to increase the font in the title
- 02:27 placeholder on slide 1 to 24 points.
- 02:30 So I basically, just want to make that title a lot bigger.
- 02:32 Now remember for things like this at the moment,
- 02:35 it is quicker just to do some of these things manually.
- 02:39 But the speed of Copilot, again is something that will change overtime.
- 02:42 Now, I can see here that that font size has been increased to 24, but
- 02:46 that's actually a bit too small for me.
- 02:48 So let's change this to 44 points and send that through.
- 02:52 And there we go.
- 02:53 If you take a look in the font group up at the font size drop down,
- 02:55 you can now see that that says 44 points.
- 02:56 Now this time, I'm going to get Copilot to add sections into my presentation.
- 03:04 And sections just allow us to break up our presentation into smaller topics or
- 03:09 related slides.
- 03:10 And we can collapse and expand them so
- 03:12 that we can focus in on which part of the presentation we are most interested in.
- 03:17 Now, this is one of the things that I found to be a little bit flaky when
- 03:21 working with Copilot.
- 03:22 Sometimes it does it, sometimes it doesn't.
- 03:24 Now you can see here, it actually has done it for me,
- 03:27 it's added sections into my presentation.
- 03:30 And I can see here in the slide pane, it's telling me or
- 03:33 it's giving me an overview of the different sections that it's created and
- 03:37 the slides that have been added to those sections.
- 03:39 And I can use these to collapse and expand different sections up to
- 03:43 focus on the section of the document that I'm most interested in.
- 03:46 So this is a nice, neat way of organizing your presentation.
- 03:50 I'm going to type in hide the notes pane.
- 03:52 Let's see if it can do that.
- 03:54 Now, this is one of those things that it can't do.
- 03:55 You can see it says you can find the notes feature on the view tab of the ribbon, but
- 04:00 I can't access it directly.
- 04:02 Would you like me to show you?
- 04:03 So yes, show me, and it's going to take me right there.
- 04:07 When I click Notes, it's going to hide those notes.
- 04:10 So even if Copilot can't do something for you at this stage,
- 04:13 it's pretty good at directing you as to where you need to go.
- 04:17 So considering that we had absolutely nothing five minutes ago,
- 04:21 I think we're on our way to building a pretty awesome presentation.
