Instructions
The Quick Access Toolbar (QAT)
- This is the single row of icons at the top left of the screen
- Gives one click access to your most used commands
- To add more commands to the QAT, click the down arrow on the right end of the small icons
The Ribbon
- Made up of Tabs, Groups and Commands
- Tabs are used to hold groups of similar natures
- Groups are collections of related controls
- Controls can consist of buttons, menus and galleries
Dialog Box Launchers
- Located in the bottom right corner of many (but not all) groups
- Look like little arrows in boxes
- Launch advanced options for the group
Keyboard Navigation
- All ribbon commands can be activated by the keyboard
- Press the ALT key, then type the series of letters that lead you through the tabs to your commands
Dynamic Resizing
- The Ribbon dynamically resizes depending on the screen size
- Groups and controls will collapse into smaller versions so that all commands fit on screen
- 00:05 Before we can really get off the ground and running with Excel,

- 00:14 So that's what the purpose of this video is,
- 00:15 just to get familiar with some of the terminology around the ribbon.
- 00:19 So what is the ribbon?
- 00:21 Well, it's this great big piece here,
- 00:22 everything from the formula bar up is all part of the ribbon.
- 00:27 Now it's broken into two components.
- 00:30 The very first one is what we call the Quick Access Toolbar, or QAT,
- 00:34 and that's this piece at the top here, in dark green.
- 00:37 You'll notice that it has only a few commands on it.
- 00:40 One of them that's grayed-out is called AutoSave.
- 00:43 And as you can see from the tool tip task that pops up when I mouse over any menu
- 00:47 command, in this case, the AutoSave is not turned on because our file is
- 00:51 actually stored in a local folder on the computer that's not synced to One Drive or
- 00:55 SharePoint Online.
- 00:57 If it were, this button would actually be turned on and
- 01:00 automatically save any changes as I go along.
- 01:02 And that's really useful for
- 01:04 things like co-authoring which actually should be in Excel 2019 and higher.
- 01:09 Now you'll also notice that we have a Save icon.
- 01:11 And we've got the undo and redo commands, which are not
- 01:14 available at the moment because there's no commands that have been issued yet.
- 01:18 But I also have the ability under this little widget here to customize
- 01:22 the quick access toolbar and add other buttons.
- 01:25 Why would I do this?
- 01:26 Well, maybe I want one click access to the open functionality.
- 01:31 And that's what this whole little tool bar, the QAT is all about,
- 01:34 is getting one click access to the commands that are most important to us.
- 01:38 So maybe I always want to take a look at my print job before I print it out,
- 01:42 I'll choose to turn on Print Preview and
- 01:44 Print, and now on the ribbon this will always show up for me.
- 01:48 And if there's commands that aren't in this list, that I want, I can go to
- 01:53 More Commands, and at this point, I can actually find any command in Excel.
- 01:58 I may need to change this little drop down here to say I want commands that aren't
- 02:02 in the ribbon, or some different ones that are here.
- 02:05 But ultimately it will give me a list, and
- 02:06 I can add any single one by clicking on it and clicking Add.
- 02:10 And at that point it would show up on my quick access toolbar and
- 02:13 give me one-click access to that command.
- 02:15 So it's a very, very useful thing to be able to customize.
- 02:19 The next row down is what we call ribbon tabs.
- 02:22 We've got File, Home, Insert, Page Layout, Formulas, Data,
- 02:26 there's all kinds of different ribbon tabs.
- 02:28 This groups up commands that are in the same sort of sphere of influence,
- 02:33 if you will, that we may want to jump into.
- 02:36 Now I'm gonna go back to the Home tab for a second and
- 02:39 I'm gonna show you that we actually have one more type of tab that we can call up.
- 02:43 Notice what I'm gonna do,
- 02:44 is I'm gonna click somewhere down in this little blue table down here.
- 02:47 And when I click on it, I want you to watch the ribbon.
- 02:50 So here we go, and take a look, we got a new ribbon tab, table tools design.
- 02:55 And when I go and click on it,
- 02:56 it gives me commands that are very specific to working with this table.
- 03:00 If I click outside, the table tools Design tab goes away.
- 03:04 And when I click back in it again, back it comes.
- 03:07 This is what we call a contextual tab.
- 03:10 These tabs only show up when the item that can use it is in context or selected.
- 03:17 So there's lots of other different tabs that you won't have seen yet but
- 03:21 it will only show up when you actually have them available for use.
- 03:24 And this is good, because it doesn't clutter your user interface with a bunch
- 03:26 of commands that you can't use,
- 03:28 it only brings them into context when you actually need them.
- 03:31 So I'm gonna click outside to make that one go again.
- 03:34 Now the next thing I wanna call out is on any specific tab,
- 03:37 you'll notice that we have these groups.
- 03:38 There's the clipboard group and the font group and the alignment group and
- 03:42 this is where we group up like types of commands so that you can find them.
- 03:46 If you're ever wondering what one of them does just mouse over it and
- 03:49 the tool tip text will pop up to tell you.
- 03:52 You can go and you can change things like fonts for example, for the drop downs or
- 03:57 you could click little buttons to change the sizes up or down.
- 04:00 All of these items are available for your use.
- 04:03 But there's one more command on each group here that isn't as intuitive.
- 04:07 And it's this little box down in the bottom right hand corner.
- 04:10 This is called a dialog box launcher.
- 04:13 And when you click it, it takes you into even more advanced commands for
- 04:16 this particular cell group.
- 04:17 Some of the things that don't show in the ribbon.
- 04:20 So never be afraid to click on one of these,
- 04:21 because some of the most advanced features are actually buried underneath that.
- 04:26 Now, the next thing I wanna show you is, what if you don't want to use your mouse?
- 04:30 Well if you press the, well actually, let's go and
- 04:32 select something in a table for a second here first.
- 04:35 And now what I'm gonna do, is I'm gonna press the Alt key, and you'll notice that
- 04:38 it pops up a bunch of information here, little letters and numbers on these tabs.
- 04:42 What I'm gonna do, is I'm gonna press A, which is right underneath data.
- 04:46 Now if I go and press on that, it now takes me into the data tab and
- 04:50 it gives me the option to go and play around with a bunch of different things.
- 04:54 Notice that the icon to sort in ascending order is actually listed here with S-A.
- 05:00 So I'm going to type S-A and now it sorts my table.
- 05:04 And then dismisses the actual letters.
- 05:06 If I go back and
- 05:07 press Alt again by accident, I can press Esc to make it go away.
- 05:12 The last thing that I wanna show you in here is I wanna show you what actually
- 05:16 happens when we go and we click on my restore down.
- 05:21 And I want you to watch what happens to my ribbon.
- 05:23 And when I click it on it now,
- 05:25 you'll see that some of these commands have actually got a little bit shorter.
- 05:28 So if I go back to the Home tab, for example,
- 05:31 we can actually see what's going on here.
- 05:33 With book 1 behind, notice that my conditional formatting, format as table,
- 05:36 and cell styles have now collapsed into a small button.
- 05:40 And if I go and make this even narrower,
- 05:42 you can start to see how some of these things collapse down even smaller.
- 05:46 Under Cells, I still have Insert, Delete, and Format,
- 05:50 which is what's showing over here.
- 05:52 The reason this happens is that that ribbon dynamically resizes so
- 05:56 that all of the commands will fit on your tabs.
- 05:58 So if you're looking at my ribbon and it looks different than yours,
- 06:01 maybe you have a full gallery of styles showing there, or
- 06:05 you've got a few different options for tables.
- 06:07 The commands are all still there,
- 06:08 it's just that I'm running in a lower screen resolution than you are.
- 06:12 So just be aware of that, that the command is there somewhere,
- 06:14 we just have to find it.
