When to use
Each time you open and use Keynote, you will be exposed to the UI. This lesson will help you to become more familiar with the interface to find features more quickly.
Instructions
We begin using Keynote by either opening an existing file or creating a new file:
- To open an existing file, we navigate the “Open” dialog box to the file we want to open, then double-click.
- To create a new file, we click on the “New Document” button, then choose from a series of standard templates.
There are two slide ratios to choose from when creating a new Keynote slide deck:
- standard
- wide
Note: if you aren’t sure which ratio to choose, I would suggest defaulting to wide (since most modern displays are widescreen). You can always change the ratio later by clicking on the “Document” button on the toolbar.
The Keynote interface is broken into 4 sections:
- toolbar
- formatting pane
- slide view
- canvas
The toolbar can be easily customized to fit your specific needs.
- To customize the Keynote toolbar, go to View > Customize Toolbar.
- To add buttons to the toolbar, simply drag and drop the button to the toolbar.
- To remove a button from our toolbar, we simply drag a button off the toolbar.
We can add just about anything to our canvas. Just remember that whatever is on the visible area of the canvas will ultimately be viewed by the audience (objects left outside of the visible area will be hidden from the audience).

- 00:11 Keynote is one of the three applications that make up Apple's productivity suite
- 00:15 called iWork.
- 00:16 The other two applications are called Pages and Numbers.
- 00:20 One thing I really love about Apple's iWork Suite is the number of similarities
- 00:23 in the UI from application to another.
- 00:26 If you can master the UI in Keynote for
- 00:28 example, you will already have a solid foundation for using Pages and Numbers.
- 00:33 So let's get started.
- 00:35 When we open Keynote for the first time we are prompted to either open an existing
- 00:38 document or to create a new one.
- 00:41 To open an existing document, we simply navigate through our open file dialog
- 00:45 to find the file that we want, then double click.
- 00:48 To create a new file, we'll want to click on the new document button, here.
- 00:52 This will open the theme chooser window where we can browse the various templates
- 00:56 that come pre installed with Keynote.
- 00:58 One thing to keep in mind when creating a new Keynote document
- 01:01 is that there are two slide ratios that we can work with, standard and wide.
- 01:06 At this point, it's probably a good idea to know the type of hardware that you will
- 01:09 be presenting on so that you can make the correct decision.
- 01:13 If you aren't sure, my preference would be to start with a wide screen since most
- 01:17 modern displays and projectors are considered wide screen.
- 01:21 You can change this later if you need to so it's not set in stone.
- 01:24 For this example,
- 01:25 we will start with the show room theme, which happens to be one of my favorites.
- 01:30 Now that Keynote is open, we can walk through the UI.
- 01:33 Keynote is broken into four sections.
- 01:35 The top section is called the tool bar.
- 01:38 This is where we can change our view of the document.
- 01:41 If we want to change the way we view our slides so that we can view
- 01:44 all of the slides at once, we simply change the view to light table.
- 01:48 We can also change how much detail we see on our slides by adjusting the zoom
- 01:52 slider here.
- 01:54 This is also where we can add various elements or objects to our slide.
- 01:58 To add an object, for example, a text box or
- 02:01 a chart, we can use the buttons located in the middle of the tool bar.
- 02:05 We simply click on the object that we want and
- 02:07 Keynote will drop that object onto our slide.
- 02:10 From here we can reposition and edit the object preferences to our liking.
- 02:15 On the right side of the toolbar, we can choose to add animations or
- 02:19 slide transitions.
- 02:20 We can also access document information here as well.
- 02:24 There's a lot more that we can use our toolbar for,
- 02:26 so let me show you a little secret.
- 02:28 If we go to view, customize toolbar, a new drop down menu will appear.
- 02:34 We can drag and drop any of the buttons to add to our toolbar.
- 02:38 We can also remove buttons by dragging them off the tool bar.
- 02:42 This allows us to customize the tool bar towards specific needs and preferences.
- 02:47 To the right side of the Keynote application is the formatting pane, this
- 02:51 is where we can view and make changes to properties of objects or the slide itself.
- 02:56 We'll go into much more detail in later lessons.
- 02:59 To the left of the Keynote application is where we see a list of slides that we have
- 03:03 in our slide deck.
- 03:04 This will help us to stay oriented with where we are in our document.
- 03:08 We can also use this section to change the order of slides.
- 03:11 We do this by dragging a slide, or even a series of slides up or down in the list.
- 03:17 We can also indent slides or collapse or expand a section,
- 03:21 making it easier to work with our slide deck.
- 03:24 The main section of the Keynote application is called our Canvas.
- 03:28 While a painter has a physical canvas to create his work of art,
- 03:31 we have a digital canvas.
- 03:33 Ultimately, this is what will be shown to the audience when it's time to present.
- 03:37 Keynote allows us to add just about anything to this canvas.
- 03:41 Text boxes, images, videos, even Photoshop files with transparent layers.
- 03:46 This is one of the many reasons why Keynote has quickly become the industry
- 03:49 leading presentation tool for professional presenters.
- 03:53 Now that we've had a chance to quickly walk through the various components of
- 03:55 the Keynote application, it's up to you to master it.
