Add a File Upload Field
Allow respondents to upload a file into the survey.
When to use
We can allow respondents to upload a file into a survey when we need additional information in a specific file format.
Instructions
Upload a File
- Click Add New.
- Click the drop-down arrow to open the more options menu.
- Click Upload File.
- Type the question.
- Add a subtitle (optional_).
- Click the three dots.
- Click File Type.
We can control the type of file that is uploaded by selecting one or more file types. For example, if we only want respondees to be able to upload PDF files, we can select the checkbox next to PDF and uncheck everything else.
- Click the drop-down arrow next to File number limit.
- Select 5 from the list to control the number of files that can be uploaded.
- Click the drop-down arrow next to Single file size limit.
- Select 10MB from the list to limit the size of each file.
Limitations
There are some limitations when we upload a file into a form.
- Click the three dots in the top right-hand corner of the page.
- Click Settings.
In the Who can fill in this form section you will notice that Anyone can respond is grayed out and Only people in my organization can respond is selected.
This means that only people within our organization can upload files into a form.
This makes sense as it could be a big security risk to allow anyone to upload files into a form.
Preview the Form
- Click the Preview button to preview the form.
- 00:04 One of the things that we can add into our survey is the option to upload a file.
- 00:09 Now, that sounds pretty great,
- 00:11 but it is worth noting that this does come with some security restrictions.
- 00:15 So let's take a look at how we can add the Upload File link to the form, and
- 00:20 then we'll talk about those restrictions.
- 00:22 So I'm going to scroll down to the bottom.
- 00:25 We're going to click the More Options dropdown, and
- 00:28 we're going to choose the Upload File option from the list.
- 00:32 And for the question, I'm just going to say,
- 00:36 if you would like to upload a file, please do so here.
- 00:40 Once again, we can enter a subtitle.
- 00:42 If we take a look at our other options, we can choose File type, so
- 00:47 we can limit this to specific file types.
- 00:51 Notice that by default, all of these are selected, but
- 00:54 if we only wanted people to be able to upload PDF documents, for example,
- 00:59 we could pretty much deselect everything else and only allow PDFs.
- 01:04 Also, notice we can set a file limit as well.
- 01:07 So by default, the file limit is 1, but maybe we're going to allow them to
- 01:12 add up to 5 files, and then we can choose the single file size limit.
- 01:17 So this is the limit per file that you allow, not the limit in total.
- 01:22 Now, I wouldn't recommend allowing 1 gig, that is a huge, huge file.
- 01:27 I'm going to keep mine on 10 meg.
- 01:29 So, when we click away, that's what this question looks like.
- 01:33 And underneath, we can see all of the options that we set so
- 01:36 that the customer knows what they can and can't do.
- 01:39 Now, I mentioned at the beginning of this lesson that there were some limitations
- 01:44 with this option.
- 01:45 So what we're going to do is all the way up in the right-hand corner,
- 01:48 let's click on the three dots, and we're going to jump into Settings.
- 01:52 Notice that Anyone can respond, is gray out, I can't select that.
- 01:57 Now, if we hover our mouse over the little information icon just here,
- 02:02 you can see it says file upload is only available when Only people in my
- 02:06 organization can respond is the selected setting.
- 02:10 And you can see that that is what I have selected underneath.
- 02:13 So this is only available if you're creating a survey that's going to go to
- 02:18 people within your organization.
- 02:20 And this only applies to this Upload File option.
- 02:24 Now, the reason why this has been locked down is fairly straightforward.
- 02:28 If we could send this form and allow anybody to respond, and I mean,
- 02:32 anybody in the wider world outside of our organization,
- 02:35 that could open up a lot of security risks.
- 02:38 We could have people attaching files that contain malicious code, and then when we
- 02:42 open that, we could transfer that onto our computer or our company network.
- 02:47 So it's completely understandable why Microsoft have locked down this specific
- 02:51 option, so that only people within your organization can upload files.
- 02:56 So just bear that in mind if you want to use this option.
- 02:59 So technically, because this is a form that I want to share with customers
- 03:04 outside of the Happy Flame Candle company, I wouldn't be able to use this option.
- 03:10 But saying that, it's always good to know how to add these types of things
- 03:14 into a survey if you ever require it.
- 03:16 Finally, let's preview our form.
- 03:18 We're going to click on Preview.
- 03:19 This is what that option looks like when we're viewing on a computer.
- 03:23 We have our standard Upload File link, and if we click it, it's going to open up
- 03:27 File Explorer and we can select the file that we want to upload.
- 03:31 Also notice, at the bottom here, because we locked this down to PDF files only,
- 03:36 that's all I can select from here.
- 03:38 Let's take a look at Mobile.
- 03:40 Scroll down, and there we have that same button.
