Control Form Interactions
Control how responders interact with the form.
When to use
We can control how responders interact with the form by adjusting the settings and specifying what we will and won't allow.
Instructions
Control Interactions
- Click the three dots and click Settings.
In the Who can fill in this form section, notice that Anyone can respond is grayed out. We cannot select this option when we have a question that allows for file uploads.
This is a security feature that prevents anyone and everyone from outside of our organization from uploading files.
Check the Record name check box to record the name of the person responding to the survey.
Check the One response per person check box to only allow people to respond once.
Enable the Form so Anyone Can Respond
- Scroll to the question that allows for file uploads.
- Click the question and click the trash can icon to Delete.
Options for Responses
Accept Form Responses
- Check the box next to Accept responses.
Set a Start and End Date
We can set a start and end date for our form to control the amount of time people have to respond to the survey. The form will not be available to respond to until the start date and the form will close on the end date.
- Check the Start date check box.
- Choose a date from the date picker.
- Check the End date check box.
- Choose a date from the date picker.
Set Time Duration
We can make the form available for a short time only by setting a time duration. For example, we could have the form open and available to respond to for a period of 30 minutes before closing it.
Customize Thank You Message
We can customize the page responders see once they've submitted the form.
- Check the Customize thank you message check box.
- Type the message you want them to see.
Response Receipts
- Check the Get email notification of each response check box to receive a notification when someone responds to the form.
- 00:04 In this lesson, we're going to take a look at how we can control who can respond
- 00:08 to our form and some of the options that they have.
- 00:12 So once again, we're working in our customer satisfaction survey, and
- 00:16 we're going to go all the way up to the top right-hand corner,
- 00:19 click the three dots and we're going to open up Settings.
- 00:23 Now, we've already been in here in a previous lesson, so
- 00:25 this should look reasonably familiar, at least the top part of this pane.
- 00:29 Now, notice we have who can fill in this form.
- 00:32 And currently, mine is set to only people in my organisation that can respond.
- 00:37 Now, when they do respond, I'm recording their name.
- 00:41 So this is helpful, because it allows me to see who has submitted which response.
- 00:45 Now, notice just above anyone can respond is greyed out.
- 00:49 Now, we know the reason for this, because we encountered it in a previous lesson.
- 00:54 If we hover our mouse over the information icon and click,
- 00:58 you can see it says file upload is only available when only people in my
- 01:02 organization can respond is the selected setting.
- 01:05 So because I have a file upload question in my form,
- 01:08 the form is basically locked down to only people within my organization,
- 01:12 which is why I can't select this option.
- 01:15 Now, if I scroll down to that question in the form and it is towards the bottom,
- 01:20 there it is and click on it, I can delete this question.
- 01:24 So I'm going to click the trash can icon to get rid of it.
- 01:28 And now, when I go to Settings, I should find that
- 01:31 this option is available to select, so just be aware of that.
- 01:36 Now, I am only going to keep this for people in my organization.
- 01:40 And if we scroll down a bit further, we have some options for responses.
- 01:44 So we have Accept Responses ticked by default, and
- 01:47 I would say that we always want to keep that checked.
- 01:50 And we can add a start date and an end date for our responses as well.
- 01:54 So effectively, we're giving this form a time limit.
- 01:58 So if I click on Start date, I can see that is today's date and
- 02:02 the time is set to 6 PM.
- 02:04 I'm going to change this to tomorrow's date at the end of the day, so
- 02:08 we'll leave that at 6 PM.
- 02:09 So that is the start date of this form, and then I can set an end date.
- 02:14 So maybe I'm only accepting responses to this form for
- 02:19 a seven-day period, I can click the date picker and
- 02:23 I'm going to say that this form closes on the 22nd of August at 6PM.
- 02:29 Now, if I wanted to set this response window to an even shorter period,
- 02:33 maybe everybody needs to get their responses in within 30 minutes,
- 02:37 I could choose Set time duration and I could add the minutes in here.
- 02:40 I could choose to add a progress bar that's sometimes quite nice.
- 02:44 It just allows people to see exactly how far they are through this form, and
- 02:49 I could even customize the thank you message.
- 02:52 So once they've submitted the form, currently, they get a page that says,
- 02:56 your response was submitted.
- 02:57 So I'm going to make this a little bit friendlier and
- 03:01 add thank you on the beginning.
- 03:03 We can also allow respondents to save their responses.
- 03:06 Now, most of the time, they don't really need to see their responses, so
- 03:10 I'm going to untick that.
- 03:11 Another option I might want to turn on here as the one who's sending out the form
- 03:15 is Get email notification of each response.
- 03:18 So every time somebody responds, I'm going to be notified.
- 03:22 So those are some of the options that I highly recommend you
- 03:26 review prior to sending out your form.
