Password Protect Your Notes
This lesson will show you how to password protect a section within OneNote.
When to use
You may want to keep certain sections more private.
Instructions
- Go into the Quick Notes notebook
- Right click on the section tab
- Click Password Protect this Section
- A new window will appear on the right
- Click Set Password
- Type in a password that you will remember
- Type in the exact same password in the box that says Confirm - it is case-sensitive - then click OK
- On the window on the right, click Lock All
- That section is now password protected

- If you go into the File Menu, and then Options, and then Advanced, you will see more options about the passwords
- 00:04 Now, I like to show you how to password protect your notes.
- 00:08 So maybe there are some notes that you want to make sure you keep them protected.
- 00:14 So this is exactly what we can do.
- 00:16 I want to go back to the other notebook that I made previously.
- 00:20 So I'm going to click on the pulldown where it says Quick Notes.
- 00:23 I'll use the Webinars notebook, good.
- 00:26 So I have that Crystal Reports section,
- 00:28 maybe I don't want other people to see that.
- 00:32 So, you're going to click on this section, and
- 00:35 then you pick on the review menu up top, Review.
- 00:38 And then you pick on the word Password down.
- 00:40 It's very good, just going to put a password on that one section.
- 00:43 So pick on Password and then you get this other window.
- 00:47 So I'll pick on Set Password and then you make up a password for yourself.
- 00:54 And then it wants you to verify that.
- 00:56 It is case sensitive, so you type in the exact same thing.
- 01:00 Now look what it says.
- 01:02 If you lose or forget the password, OneNode cannot recover your data.
- 01:06 So make sure you use something that you're going to remember.
- 01:09 And then, it is case sensitive as well.
- 01:11 So I'm going to click on OK.
- 01:13 Now, once you do that, to actually enforce the password at that time,
- 01:18 I'll pick on Lock All.
- 01:22 Good, so now,
- 01:23 here's one of those section groups that we talked about in the previous lesson.
- 01:29 I can go into Excel and Access and all that, but
- 01:33 I'm going to go back to the previous level.
- 01:36 And now I'm going to click on the Crystal Reports section and look what it says.
- 01:41 So, if somebody opens up this notebook, and they try to click on that section,
- 01:44 it says this section is password protected.
- 01:47 So, I'm going to press the Enter key and now it's going to ask for that password.
- 01:52 And again, it is going to be case sensitive.
- 01:55 And now, it's available at that time.
- 01:58 And then, when you want it to be locked again.
- 02:01 You open up that password window with the word Password here on the review menu.
- 02:07 And you pick on Lock All again, and now it's locked again.
- 02:11 Of course in this case, I can just press the Enter key, and
- 02:15 then type in my password, and now it's back.
- 02:19 So at that point, when you close that workbook, it'll lock that as well.
- 02:25 So that was under the review menu, where we picked on Password.
- 02:29 Another way to get to that same screen, let me close that window for a second.
- 02:34 If I right click on that sheet, right click.
- 02:37 Then we can say Password Protect This Section here, and
- 02:40 then you get that window again.
- 02:42 Notice this time, because that section already has a password.
- 02:46 I can either change the password, or I can remove it.
- 02:50 But to do either one of those,
- 02:51 you have to know the password that's on there right now.
- 02:55 I'm going to close that window again.
- 02:57 And again, what we did was we right clicked on this section, and
- 03:00 you say Password Protect This Section.
- 03:03 Let me show you some additional options that go along with that.
- 03:06 So I'll pick on the File menu, and I'll pick on Options - File, Options.
- 03:13 Good.
- 03:14 Now, we're going to come over here, and we'll pick on the advanced options,
- 03:18 I'll pick on Advanced, and I'm going to scroll down.
- 03:22 And notice it's talking about the passwords here.
- 03:25 So, some of these choices might be important for you,
- 03:28 if you're going to do this.
- 03:30 Once you unlock password protected sections, they stay unlocked for a while.
- 03:35 You can lock all sections with a keyboard shortcut.
- 03:39 It says lock password protected sections after I have not worked on them for
- 03:43 the following amount of time.
- 03:44 So that means, once you leave that section, it'll lock automatically, and
- 03:48 you can pick the amount of time there.
- 03:51 Another choice is, lock password protected sections as soon as I leave them.
- 03:56 So as soon as you leave that section, it'll lock it, if you choose that one.
- 03:59 And enable add-in programs to access password protected sections when they're
- 04:04 unlocked.
- 04:05 So I wanted to show you those options.
- 04:08 Here we picked on File and then Options and
- 04:10 then Advanced, and I scroll down to the password area.
- 04:14 I'm going to click on OK, and now you know how to password protect your OneNote.
