Use the Send to OneNote Feature
This lesson will show you how to quickly send information from either Word, PowerPoint, Outlook, or Excel into OneNote.
When to use
This will save you time, as you won't have to retype information that is already in another program.
Instructions
- Go into either a Word, PowerPoint or Excel document
- Click on the File Menu, and click Print
- Click on the pull-down to select your printer and choose OneNote
- Click Print
- Switch back to OneNote. You will be asked to choose a OneNote notebook where you want the information to be placed. Select one and click OK
- It will now take you to OneNote, and you will see the information from the other program

- 00:14 So now I'm going to go into a Word document, and then this is the way
- 00:19 you would do it either in Word or PowerPoint or Excel or Outlook.
- 00:25 I'll pick on the File menu, and I'll just pick on Print.
- 00:30 File, Print is one way that we can do it.
- 00:34 And then you click on the pulldown where it says Printer, and
- 00:37 then in that list you should see OneNote.
- 00:39 So I'll pick on OneNote there, and then we'll pick on Print.
- 00:45 And then it's going to ask you well, in this case, I have issues with the margins
- 00:50 in this particular document, but that's not a big deal, so I'll say Yes there.
- 00:55 And now, notice how the OneNote icon is blinking down at the bottom.
- 00:59 That means something is going on with that.
- 01:01 So I'll pick on the OneNote, and now it's asking me which notebook I want to put
- 01:06 that into, and I'll put it into our Quick Notes, and I'll click on OK.
- 01:12 And then let's see what's going to happen here.
- 01:14 It made a whole different page, and
- 01:16 then there's that exact text from the Word document.
- 01:20 Let's try it from Excel.
- 01:22 So I'll go back into Excel now, and
- 01:26 here I'll open up a different Excel file.
- 01:31 This one's fine.
- 01:33 So now I'll pick on File and
- 01:37 then we'll pick on Print.
- 01:41 And then for the printer, you will pick on OneNote there,
- 01:45 that should be available for you.
- 01:47 And then I'll pick on Print.
- 01:50 So again, notice how the OneNote icon is blinking.
- 01:55 So once you know which notebook we want to put that in,
- 01:58 I'll pick on the Quick Notes again, just for practice, and I'll click on OK.
- 02:02 And now that made a separate page out of the Excel spreadsheet.
- 02:06 You can really see how the programs in Microsoft Office or
- 02:10 in Office 365 all really tie together.
- 02:13 So I'm just trying to show you how to get the information from the other programs
- 02:17 into OneNote.
- 02:18 Let's go back to PowerPoint and the same thing would apply there.
- 02:21 So just use any PowerPoint document that might be on your computer.
- 02:28 So again, same kind of thing, right?
- 02:30 I'll pick on File, Print, and one of your printers should be OneNote.
- 02:38 Pick on Print.
- 02:40 Again, your OneNote icon should be blinking at the bottom,
- 02:44 it's going to ask you which notebook you want to put that into.
- 02:47 I'll use Quick Notes of course, naturally, you can pick on any notebook,
- 02:52 right, and I'll pick on OK.
- 02:54 And now it made a page out of the PowerPoint pretty easily.
- 02:59 And let's see if we can do that from Microsoft Outlook.
- 03:03 I'll go into Outlook again.
- 03:06 If you pick on File, Print, and then here, OneNote is one of the choices.
- 03:11 Now in Outlook, you would pick what you want to print.
- 03:15 So let's go back to the calendar for example,
- 03:19 and then I'll pick on File, Print.
- 03:23 OneNote is my printer.
- 03:25 I'll pick on Print there.
- 03:27 And then once again, the OneNote is going to be available.
- 03:33 I'll pick on the Quick Notes, click on OK.
- 03:36 And now, it made that into its own separate page as well.
- 03:41 So that was a really great choice being able to send information from Word,
- 03:46 PowerPoint, Excel, or Outlook directly into OneNote.
- 03:51 You just do a File, Print, and
- 03:53 one of the printers should be OneNote and it shows up just like that.
