Screen Overview, Ribbon options
When viewing Outlook for the first time, it is important to become familiar with the screen aspects and button locations.
When to use
You will use this the first time you are in Outlook and any time you need to navigate around Outlook. In future lessons, you will focus on specific items and areas.
Instructions
Follow along with the video for an introduction to the Outlook screen elements. This includes:
- The Quick Access Toolbar (QAT) - add commands for easy access
- Ribbons - File, Home, Send/Receive, Folder, View
- The "Search" bar for help typed in simple sentences or words
- Navigation and Folder Pane - navigate through your Calendar, People, and Tasks icons as well as your folders
- Email Reading Pane - read and reply to emails
- Reading Views and Zoom Control - switch between Normal and Reading View and zoom in or out

- 00:14 First of all, take a look at the top left.
- 00:16 This is called a quick access toolbar.
- 00:18 In our next video lesson, we will show you how to set this up and
- 00:22 get the most use out of it.
- 00:24 Then, of course, we have our search box.
- 00:28 You click here and type any word, it'll search through emails, and
- 00:30 calendars, and contacts.
- 00:30 It's very versatile and very user-friendly.
- 00:34 Of course, over here, we have our profile bubble.
- 00:37 You click that, hit the View account, go ahead and set up your picture in there, or
- 00:42 any other details.
- 00:43 We have the little diamond, which simply explains benefits of the Microsoft 365.
- 00:49 And then the Minimize, the Maximize, or Resize, and also the Close buttons.
- 00:54 Moving away from that, look over on the left-hand side,
- 00:57 this is called your navigation pane.
- 00:59 Now, as you click through each one of these,
- 01:02 you will actually see your entire screen change, and
- 01:05 then, of course, you have more settings that you can do inside of there.
- 01:09 But the most important thing here are the ribbons.
- 01:11 Right up on top, we have the File, Home, Send/Receive, Folder, View, and Help.
- 01:17 Now, a simple double-click on any one of those ribbon names will collapse it.
- 01:22 This gives you more room to read your emails or look at your calendars.
- 01:26 Now, I can still activate them with a single click, they'll show up, but
- 01:30 when I click off of that, they vanish.
- 01:32 If you'd like to expand them or lock them back in, I'll double-click.
- 01:36 Click-click on any one of the names will lock it back again.
- 01:41 Now, for the rest of this course, I will leave mine open, so
- 01:44 you can always see my buttons at the top, but it's your choice on how you use yours.
- 01:48 Down on the bottom, now, I am on my inbox on the Home ribbon.
- 01:52 And you can see that I have some arrows that are clickable,
- 01:55 and they will expand, collapse whatever is in there.
- 01:58 On my Favorites, same thing here.
- 02:01 And then, of course, on my Archives, same thing as well.
- 02:05 On the file ribbon, as soon as I click that, that was really fast,
- 02:09 let me do it again.
- 02:10 I'm going to float my mouse and then click on File so
- 02:12 you can see how quick it changes.
- 02:14 We have Info.
- 02:15 Now, this tells us about our account settings, and our mailbox settings,
- 02:20 rules and alerts, or add-ins, if we want those.
- 02:23 You can open and export certain files.
- 02:27 You can print files.
- 02:27 And then, of course, right down here at the bottom, we have options.
- 02:31 Now, the options allow us to go in and
- 02:34 change settings in any of these other sections.
- 02:38 I'll hit Cancel right now.
- 02:40 Right over here, we have Connected, Normal versus Pinned Panes, and then of course,
- 02:45 the Reading View, which will hide all of the panes.
- 02:48 So I'll go ahead and click the Reading View.
- 02:51 And now what happened is, my navigation pane collapsed.
- 02:55 I can expand it again by forcing it, and then pinning it, and notice this switch.
- 03:02 Let me do it again.
- 03:03 I'll hit the little Reading View, and back to the normal,
- 03:08 or Reading View, expand it, pin it, switches it back to normal.
- 03:14 You need to know that.
- 03:15 The last thing I'd like to show you is over here on the zoom control,
- 03:19 let me get an email on my screen.
- 03:21 On the zoom control, I can hit plus-minus to zoom in the text or
- 03:26 zoom down on the text for easier reading.
