View Ribbon, Features
The View Ribbon allows you to control how you see your information.
When to use
You will rarely be using the Layout after you have it set up. Use this lesson to set your preferences.
Instructions
- Click the View ribbon and Locate the Layout section.
- The Folder Pane is the left-side panel that contains your email folders.
- The Reading Pane shows the text of the email to the Right or Bottom of the Inbox list.
- The To-Do Bar is on the right-side panel and shows a calendar, contacts, and/or tasks.
- The Message Preview allows a sneak peek into the email contents.
- With the Reading Pane set to Bottom, you can sort the columns by clicking the headings.

- 00:08 You can change the layout of the screen.
- 00:11 It's all done under the View ribbon,
- 00:13 which is one of the most important ribbons in any software.
- 00:16 So let's take a look at this.
- 00:17 On the View ribbon, on the far left hand side, we have Current View.
- 00:20 Now, I'm going to have an entire lesson just on this one,
- 00:23 I'm going to come back to that.
- 00:24 The next one is Messages.
- 00:26 We can show these in conversations, apply it to this folder,
- 00:30 or we can turn that off.
- 00:32 Now, you're not seeing a lot happened because of my view settings.
- 00:36 I'm going to come back to that with a separate lesson.
- 00:39 Now, let's do some business here on the Arrangement group.
- 00:43 Under the Arrangement, we can look at the Message Preview.
- 00:45 Now, this will expand and show me the first line of the message
- 00:50 right on my screen, maybe two lines, maybe three lines.
- 00:54 Notice every time I turn one of these on or off,
- 00:57 it asks me to this folder or all your folders, all mailboxes.
- 01:01 I'm just saying for this folder right now.
- 01:03 This is personal preference, you can do whatever you want there.
- 01:07 The Arrange By allows me to sort these by from,
- 01:12 by size, by subject, or type.
- 01:15 I'm just going to always stay by date.
- 01:18 Also notice I have a by date here, with the same list, From, To, Size, Subject.
- 01:25 I can reverse sort, which is obvious, it reverses them.
- 01:30 And I can add columns, but not in this view.
- 01:32 There are no columns.
- 01:34 My view is not table view right now, there's no columns to add.
- 01:37 Coming back to that in another lesson.
- 01:40 How about in the Layout group?
- 01:41 We have Use Tighter Spacing.
- 01:43 Now, you can barely see what happens.
- 01:45 It's expanding the depth of the email on the screen slightly.
- 01:50 I like to fit as many as possible, so I use tight spacing.
- 01:54 How about the folder pane?
- 01:55 The folder pane on the left-hand side is going to turn it off or
- 02:00 on, minimize it, turn it off entirely, turn it on in normal.
- 02:06 I always leave my folder over there because I work with multiple folders all
- 02:10 the time.
- 02:10 The reading pane is where you read the text for your email.
- 02:12 Mine is hanging out on the right-hand side.
- 02:15 You can hit the reading pane, push it to the bottom, and when we do that,
- 02:18 welcome to the table view.
- 02:19 This is my personal preference, but I have to force it to work because when I
- 02:24 switch my reading pane to the right, it doesn't work again.
- 02:29 So we will do this when we go back to the current view change settings.
- 02:34 We will fix this so that I can get, in my opinion, the best of both worlds.
- 02:39 I want the table view, but I want my reading pane on the right.
- 02:42 Can't do it automatically, have to kind of tweak it a little.
- 02:46 Now, what is the To Do bar?
- 02:48 This shows a pane on the right-hand side that will show you your calendar,
- 02:52 your contacts, your tasks, and look how much room it takes up,
- 02:56 squishes my reading view.
- 02:57 I'm going to turn that off because, take a look on the left.
- 03:00 The navigation pane way over on the left shows me my calendar,
- 03:05 my contacts, my tasks.
- 03:07 Why have a whole other panel on the right-hand side when
- 03:10 I've got a peekaboo one over on the left?
- 03:13 Check this one out, the windows right over here, a reminders window,
- 03:17 in case there are appointment reminders I want to know about.
- 03:21 I can open this screen in a brand new window.
- 03:24 So I can open Outlook in a second window, change it to my calendar, and
- 03:28 then move my calendar to a second monitor.
- 03:31 That's what the Open in New Window does for you.
- 03:33 It's fantastic.
- 03:35 A little tip of the day,
- 03:36 a right-click on your calendar will also offer you Open in New Window.
- 03:41 So there's two places to find that one, it's golden.
- 03:44 I use it daily.
- 03:46 Then we have the Close All Items.
- 03:48 So if there's anything open, maybe you got a calendar item open or
- 03:51 a contact item open, instead of closing them individually, you can close them all.
- 03:56 And then, of course, we have Immersive Reader,
- 03:58 which will actually read the screen to you.
- 04:00 Let's go ahead and hit Click and see what happens.
- 04:03 >> View Ribbon, Layout.
- 04:06 The Layout feature- >> Okay, so in case you need that feature,
- 04:10 you have it on your screen on the View Ribbon, Immersive Reader, and
- 04:15 an entire new ribbon pops open for you.
- 04:18 All right, this is a three-level lesson, okay?

- 04:22 Now, let's go to level two, change settings.
