Search Contacts and People Pane
Learn how to find a Contact or People.
When to use
If you find yourself digging through folders looking for an attachment from a certain person, use the Search Box on Outlook's Title bar instead. Type any person’s name and all of the meetings, attachments, and emails they have ever sent you will appear.
Instructions
There are five methods shown in our lesson to find people:
- Float the mouse on the People icon on the left Navigation Panel, click Search People
- Click the People icon on the left Navigation Panel, then click Search People on the top right-side of the Home ribbon
- Click the Alphabet strip alongside the Contact view (if set to Business Cards or People)
- Click the Outlook Title Bar “Search box”
- Go to Email and click the View Ribbon, To Do Bar button, People button
Hints & tips
- Ctrl + 3 opens Contacts
- Ctrl + 1 opens Email
- 00:04 Whether you have just a handful, like 14 contacts on your screen, or
- 00:09 1,400 contacts, it's important to know how to search for them.
- 00:13 On the Contacts, on the left-hand panel, notice first of all that
- 00:17 when I float my mouse on this icon, it comes up with Search People.
- 00:22 You need to know that people and contacts, those two words go hand in hand.
- 00:26 So Microsoft is switching from the word context to the word people that there's
- 00:30 some holdovers.
- 00:30 It doesn't matter.
- 00:31 I'm going to go ahead and click right here where it says Search People.
- 00:35 Search the word Bob, and all of a sudden Bob shows up.
- 00:39 How about I search my name, Andy?
- 00:42 And we get two options that show up.
- 00:44 What about just And, anyone who has the word And?
- 00:48 There now I have three options, Al Anderson came up, see?
- 00:52 All right, so that's kind of handy right there on the icon,
- 00:55 the people icon on the left navigation way.
- 00:58 Let's go to the next level.
- 01:00 I click on Contacts, and over on the right-hand side, we have Search People.
- 01:07 This time, I'll type Lon for Lonny.
- 01:10 And there's Lonnie, kind of nice.
- 01:12 You can just click in there.
- 01:14 Notice also on the left-hand panel, keep in mind in the Current View,
- 01:18 I'm on Business Card.
- 01:20 I could click People as well.
- 01:22 Regardless of what I click,
- 01:24 it always has an alphabet over here on the left-hand side.
- 01:27 So I can just click any one of these and
- 01:29 it will take me directly to that letter of the alphabet.
- 01:33 How about the E's and F's?
- 01:35 And there we go, G was my closest one?
- 01:37 How about the A's?
- 01:39 The A_Team group.
- 01:40 So that's kind of a nice way to search as well, in fact, that's my favorite way.
- 01:45 And now we have one more area right up on top, the search box up on the title bar.
- 01:50 When I click there, this time, I'm going to type Adobe.
- 01:54 And when I hit Enter, it's searching current folder, well, where am I?
- 01:58 I'm in Contacts, on my Contacts folder.
- 02:01 When I hit Enter on Adobe, there it is, it just found it, all right?
- 02:05 It's just searching that folder.
- 02:07 I could change at any time to search Subfolders,
- 02:11 All Contact Items, or All Outlook Items.
- 02:15 So when I click that one, there's emails, contacts, calendar appointments,
- 02:20 it all shows up.
- 02:21 All right, I'm going to clear that search by hitting the X.
- 02:25 There's one more little trick in the background, and that is on email.
- 02:27 So I'll hit Ctrl+1 to activate my email.
- 02:30 And right in here on my email, under the View ribbon,
- 02:35 over here on the right-hand side, we have the To-Do Bar, and notice the word People.
- 02:42 So from my email screen, I could have a people search bar on the right-hand side.
- 02:49 So I don't have to jump into context just to search for someone,
- 02:53 I could search right here.
- 02:55 I'll go ahead and search for the word and, A-N-D.
- 02:58 And there's all my people that have some version of the word And in their name.
- 03:03 Kind of handy to not have to jump back and forth on the screen.
- 03:07 Okay, all that to say, coming back to my people icon, my Contacts group,
- 03:13 and my Contacts folder, this is where you will mainly stay.
- 03:17 You'll mainly reside in here looking for people, searching for people.
- 03:21 Just kind of handy to know the trick about the email.
