Outlook Screen Overview
When viewing Outlook 2016 for the first time, it is important to become familiar with the screen aspects and button locations.
When to use
You will use this the first time you are in Outlook 2016 and any time you need to navigate around Outlook. In future lessons you will focus on specific items.
Instructions
Follow along with the video for an introduction to the Outlook 2016 screen elements. This includes:
- The Quick Access Toolbar (QAT) - add commands for easy access
- Ribbons - File, Home, Send/Receive, Folder, View
- "Tell me what you want to do" - search for help and commands
- Navigation Pane - navigate through your folders
- Peek Pane - hover over the Calendar, People and Tasks icons for a quick view of these items
- Email Reading Pane - read and reply to emails
- Reading Views and Zoom Control - switch between Normal and Reading View and zoom in or out

- 00:07 I will be taking you through the Outlook 2016 course.
- 00:10 Whether you're new to Outlook or if you've used it before, it makes good sense to
- 00:14 first take a preview of the screen to see any changes they've made.
- 00:17 So here we have our ribbons, our File, Home, Send/Receive, Folder,
- 00:21 View and this right here is not a ribbon this is actually a search box.
- 00:25 So you can just type in there, whatever you need to search for and
- 00:28 it will bring up help for you.
- 00:29 Right above our ribbons, is our quick access tool bar.
- 00:32 We'll be having a short video on that in the future to customize that.
- 00:36 Way over on the right hand side this is actually the ribbon hide button.
- 00:41 You can just show the tabs or you can show the tabs and all the buttons,
- 00:45 it's your personal preference.
- 00:47 If you have a smaller screen area you're using you might wanna just show the tabs.
- 00:52 And of course we have our Minimize button, our Maximize button, and
- 00:55 look what they've done to the Close button.
- 00:57 They made it turn bright red and I love that feature, very good.
- 01:01 Okay, over on the left hand side, this is our navigation pane and
- 01:04 right below the navigation pane these little items used to be stacked but
- 01:07 now they're in a row.
- 01:08 So there's our mail, here's our calendar.
- 01:10 And look at that, it kind of pops open.
- 01:11 It's called a peek pane.
- 01:13 You kinda peek into your calendar and the people peek pane and
- 01:18 then the task peek pane.
- 01:20 I'm not clicking on this at all folks it just shows up
- 01:22 when you float your mouse there, and I like it a lot, very useful actually.
- 01:27 We do have our email list right here, and
- 01:29 in our email list you can read all your emails, or just focus on the unread ones.
- 01:34 And you also have your sorting features right there.
- 01:37 You can change a screen which we will do.
- 01:39 We'll customize our screen in a future video.
- 01:42 And right over here in the email itself we have a Reply, Reply All, and
- 01:45 Forward right there in the email.
- 01:47 Now watch what happens when I hit Reply.
- 01:49 Naturally designs a reply right here on the same screen.
- 01:52 And if you change your mind and you wanna get rid of it,
- 01:55 you just hit the Discard button gets rid of it.
- 01:58 Or maybe you do want a separate screen.
- 02:00 You can hit reply and just hit the Pop Out, and it'll actually bring it out
- 02:03 to a separate screen, and then you could close that if you wanted.
- 02:07 So just so you know you have those options.
- 02:09 I'm gonna go ahead and close that.
- 02:11 All right and then over here on the bottom, we have our zoom control and
- 02:15 we have our Reading and our Normal.
- 02:17 Right now I'm set to Normal, but when I click Reading Pane, my
- 02:20 navigation pane's gonna collapse to give me a larger reading surface for the email.
- 02:24 And then, of course, I can just click right back to normal, and
- 02:27 it brings it right back.
- 02:28 In the bottom left hand corner,
- 02:30 it always shows you a current count of whatever you're on.
- 02:32 If I'm on my inbox, it's counting my inbox.
- 02:35 If I was on my people pane it would be counting how many contacts are in there.
- 02:38 So just at a glance,
- 02:40 you can see how much of emails are in whatever folder you're looking at.
- 02:44 All right, well, that's a screen overview.
- 02:47 This is gonna be a great course.
- 02:49 I'm gonna teach you a lot of tricks about using Outlook,
- 02:52 a lot of hidden features in there.
- 02:53 So stay with me, go with me through this course.
